The path to publication can be unsettling when you’re unsure what’s happening with your paper. Learn about staple journal workflows to see the detailed steps required for ensuring a rigorous and ethical publication.

Your team has prepared the paper, written a cover letter and completed the submission form. From here, it can sometimes feel like a waiting game while the journal has your paper.  It can be unclear exactly who is currently handling your paper as most individuals are only involved in a few steps of the overall process. Journals are responsible for overseeing the peer review, publication and archival process: editors, reviewers, technical editors, production staff and other internal staff all have their roles in ensuring submissions meet rigorous scientific and ethical reporting standards. 

Read on for an inside look at how a conventional peer-reviewed journal helps authors transform their initial submission to a certified publication. 

Note that the description below is based on the process at PLOS journals. It is likely that at other journals, various roles (e.g. technical editor) may in fact also be played by the editor, and some journals may not have journal staff at all, with all roles played by volunteer academics. As such, please consider the processes and waypoints, rather than who performs them, as the key information.

Internal Checks on New Submissions

When a journal first receives your submission, there are typically two separate checks to confirm that the paper is appropriate and ready for peer review:

  • Technical check.   Performed by a technical editor to ensure that the submission has been properly completed and is ready for further assessment. Blurry figures, missing ethical statements, and incomplete author affiliations are common issues that are addressed at this initial stage. Typically, there are three technical checks: upon initial submission, alongside the first decision letter, and upon acceptance. 
  • Editorial screening . Once a paper passes the first check, an editor with subject expertise assesses the paper and determines whether it is within the journal’s scope and if it could potentially meet the required publication criteria. While there may be requests for further information and minor edits from the author as needed, the paper will either be desk rejected by the editor or allowed to proceed to peer review. 

Both editors at this point will additionally make notes for items to be followed-up on at later stages. The publication process involves finding a careful balance for when each check occurs. Early checks need to be thorough so that editors with relevant expertise can focus on the scientific content and more advanced reporting standards, but no one wants to be asked to reformat references only to have their paper desk rejected a few days later.

Estimated time: 1 month.

Depending on the journal’s editorial structure, the editor who performed the initial assessment may also oversee peer review or another editor with more specific expertise may be assigned.  Regardless of the journal’s specific process, the various roles and responsibilities during peer review include:  

Initial evaluation to ensure the paper is ready for review, securing reviewers with relevant expertise and processing a decision on the paper. 
Submitting reviewer comments within a reasonable timeframe, typically around 2 weeks unless an extension is requested. 
Ensuring that the process follows journal guidelines and proceeds on an acceptable schedule; answering questions to provide assistance for editors, reviewers and authors.

When you have questions or are unsure who your manuscripts is currently with, reach out to the journal staff for help (eg. [email protected]). They will be your lifeline, connecting you to all the other contributors working to assess the manuscript. 

Whether an editor needs a reminder that all reviews are complete or a reviewer has asked for an extension, the journal acts as a central hub of communication for those involved with the publication process. As editors and reviewers are used to hearing from journal staff about their duties, any messages you send to the journal can be forwarded to them with proper context and instructions on how to proceed appropriately. Additionally, journal staff will be able to inform you of any delays, such as reviewer availability during summer and holiday periods.

Estimated time: 1 day.

Editors evaluate peer reviewer feedback and their own expert assessment of the manuscript to reach a decision. After your editor submits a decision on your manuscript, the journal may review it before formally processing the decision and sending it on to you. 

A technical editor may scan the manuscript and the review comments to ensure that journal standards have been followed. At this stage, the technical editor will also add requests to ensure the paper, if published, will adhere to journal requirements for data sharing, copyright, ethical reporting and the like. 

Performing the second technical check at this stage and adding the journal requirements to the decision letter ultimately saves time by allowing authors to resolve the journal’s queries while making revisions based on comments from the reviewers. 

Revised Submission Received

Revised Submission Received

Estimated time: 3 days.

Upon receiving your revised submission, a technical editor will assess the revisions to confirm that the requests from the journal have been properly addressed. Before the paper is returned to the editor for their consideration, the journal needs to be confident that the paper won’t have any issues related to the metadata and reporting standards that could prevent publication. The editor may contact you to resolve any serious issues, though minor items can wait until the paper is accepted.

Subsequent Peer Review

Subsequent Peer Review

Estimated time: 2 weeks, highly variable.

When your resubmitted paper has passed the required checks, it’ll be assigned back to the same editor who handled it during the first round of peer review. At this point, your paper has gone through two sets of journal checks and one round of peer review. If all has gone well so far, the paper should feel quite solid both in terms of scientific content and proper reporting standards. 

When the editor receives your revised paper, they are asked to check if all reviewer comments have been adequately addressed and if the paper now adheres to the journal’s publication criteria. Depending on the situation, some editors may feel confident making this decision based on their own expertise while others may re-invite the previous reviewers for their opinions. 

Individual responsibilities are the same as the initial round of peer review, but it is generally expected that later stages of peer review proceed quicker unless new concerns have been introduced as part of the revision. 

Preliminary Acceptance

Preliminary Acceptance

Estimated time: 1 week.

Your editor is satisfied with the scientific quality of your work and has chosen to accept it in principle. Before it can proceed to production and typesetting, the journal office will perform it’s third and final technical check, requesting any formatting changes or additional details that may be required. 

When fulfilling these final journal requests, double check the final files to confirm all information is correct. If you need to make changes beyond those specifically required in the decision letter, inform the journal and explain why you made the unrequested changes. Any change that could affect the scientific meaning of the work will need to be approved by the handling editor. While including your rationale for the changes will help avoid delays, if there are extensive changes made at this point the paper may need to go through another round of formal review.

Formal Acceptance and Publication

Formal Acceptance and Publication

Estimated time: 2 weeks.

After a technical editor has confirmed that all requests from the provisional acceptance letter have been addressed, you will receive your formal acceptance letter. This letter indicates that your paper is being passed from the Editorial department to the production department—that all information has been editorially approved. The scientific content has been approved through peer review, and the journal’s publication requirements have been met. 

Congratulations to you and your co-authors! Your article will be available as soon as the journal transforms the submission into a typeset, consistently structured scientific manuscript, ready to be read and cited by your peers.

Before you hit “submit,” here’s a checklist (and pitfalls to avoid)

As scholars, we strive to do high-quality research that will advance science. We come up with what we believe are unique hypotheses, base our work on robust data and use an appropriate research methodology. As we write up our findings, we aim to provide theoretical insight, and share theoretical and practical implications about our work. Then we submit our manuscript for publication in a peer-reviewed journal. For many, this is the hardest part of research. In my seven years of research and teaching, I have observed several shortcomings in the manuscript preparation and submission process that often lead to research being rejected for publication. Being aware of these shortcomings will increase your chances of having your manuscript published and also boost your research profile and career progression.

In this article, intended for doctoral students and other young scholars, I identify common pitfalls and offer helpful solutions to prepare more impactful papers. While there are several types of research articles, such as short communications, review papers and so forth, these guidelines focus on preparing a full article (including a literature review), whether based on qualitative or quantitative methodology, from the perspective of the management, education, information sciences and social sciences disciplines.

Writing for academic journals is a highly competitive activity, and it’s important to understand that there could be several reasons behind a rejection. Furthermore, the journal peer-review process is an essential element of publication because no writer could identify and address all potential issues with a manuscript.

1. Do not rush submitting your article for publication.

In my first article for Elsevier Connect – “Five secrets to surviving (and thriving in) a PhD program” – I emphasized that scholars should start writing during the early stages of your research or doctoral study career. This secret does not entail submitting your manuscript for publication the moment you have crafted its conclusion. Authors sometimes rely on the fact that they will always have an opportunity to address their work’s shortcomings after the feedback received from the journal editor and reviewers has identified them.

A proactive approach and attitude will reduce the chance of rejection and disappointment. In my opinion, a logical flow of activities dominates every research activity and should be followed for preparing a manuscript as well. Such activities include carefully re-reading your manuscript at different times and perhaps at different places. Re-reading is essential in the research field and helps identify the most common problems and shortcomings in the manuscript, which might otherwise be overlooked. Second, I find it very helpful to share my manuscripts with my colleagues and other researchers in my network and to request their feedback. In doing so, I highlight any sections of the manuscript that I would like reviewers to be absolutely clear on.

2. Select an appropriate publication outlet.

I also ask colleagues about the most appropriate journal to submit my manuscript to; finding the right journal for your article can dramatically improve the chances of acceptance and ensure it reaches your target audience.

Authors enter the article title, a brief abstract and the field of research to get a list of the most appropriate journals for their article. Less experienced scholars sometimes choose to submit their research work to two or more journals at the same time. Research ethics and policies of all scholarly journals suggest that authors should submit a manuscript to only one journal at a time. Doing otherwise can cause embarrassment and lead to copyright problems for the author, the university employer and the journals involved.

3. Read the aims and scope and author guidelines of your target journal carefully.

Once you have read and re-read your manuscript carefully several times, received feedback from your colleagues, and identified a target journal, the next important step is to read the aims and scope of the journals in your target research area. Doing so will improve the chances of having your manuscript accepted for publishing. Another important step is to download and absorb the author guidelines and ensure your manuscript conforms to them. Some publishers report that one paper in five does not follow the style and format requirements of the target journal, which might specify requirements for figures, tables and references.

Rejection can come at different times and in different formats. For instance, if your research objective is not in line with the aims and scope of the target journal, or if your manuscript is not structured and formatted according to the target journal layout, or if your manuscript does not have a reasonable chance of being able to satisfy the target journal’s publishing expectations, the manuscript can receive a desk rejection from the editor without being sent out for peer review. Desk rejections can be disheartening for authors, making them feel they have wasted valuable time and might even cause them to lose enthusiasm for their research topic. Sun and Linton (2014), Hierons (2016) and Craig (2010) offer useful discussions on the subject of “desk rejections.”

4. Make a good first impression with your title and abstract.

The title and abstract are incredibly important components of a manuscript as they are the first elements a journal editor sees. I have been fortunate to receive advice from editors and reviewers on my submissions, and feedback from many colleagues at academic conferences, and this is what I’ve learned:

The title should summarize the main theme of the article and reflect your contribution to the theory.

The abstract should be crafted carefully and encompass the aim and scope of the study; the key problem to be addressed and theory; the method used; the data set; key findings; limitations; and implications for theory and practice.

5. Have a professional editing firm copy-edit (not just proofread) your manuscript, including the main text, list of references, tables and figures.

The key characteristic of scientific writing is clarity. Before submitting a manuscript for publication, it is highly advisable to have a professional editing firm copy-edit your manuscript. An article submitted to a peer-reviewed journal will be scrutinized critically by the editorial board before it is selected for peer review. According to a statistic shared by Elsevier, between 30 percent and 50 percent of articles submitted to Elsevier journals are rejected before they even reach the peer-review stage, and one of the top reasons for rejection is poor language. A properly written, edited and presented text will be error free and understandable and will project a professional image that will help ensure your work is taken seriously in the world of publishing. On occasion, the major revisions conducted at the request of a reviewer will necessitate another round of editing. Authors can facilitate the editing of their manuscripts by taking precautions at their end. These include proofreading their own manuscript for accuracy and wordiness (avoid unnecessary or normative descriptions like “it should be noted here” and “the authors believe) and sending it for editing only when it is complete in all respects and ready for publishing. Professional editing companies charge hefty fees, and it is simply not financially viable to have them conduct multiple rounds of editing on your article. Applications like the spelling and grammar checker in Microsoft Word or Grammarly are certainly worth applying to your article, but the benefits of proper editing are undeniable. 6. Submit a cover letter with the manuscript.

Never underestimate the importance of a cover letter addressed to the editor or editor-in-chief of the target journal. Last year, I attended a conference in Boston. A “meet the editors” session revealed that many submissions do not include a covering letter, but the editors-in-chief present, who represented renewed and ISI-indexed Elsevier journals, argued that the cover letter gives authors an important opportunity to convince them that their research work is worth reviewing.

Accordingly, the content of the cover letter is also worth spending time on. Some inexperienced scholars paste the article’s abstract into their letter thinking it will be sufficient to make the case for publication; it is a practice best avoided. A good cover letter first outlines the main theme of the paper; second, argues the novelty of the paper; and third, justifies the relevance of the manuscript to the target journal. I would suggest limiting the cover letter to half a page. More importantly, peers and colleagues who read the article and provided feedback before the manuscript’s submission should be acknowledged in the cover letter.

7. Address reviewer comments very carefully.

Editors and editors-in-chief usually couch the acceptance of a manuscript as subject to a “revise and resubmit” based on the recommendations provided by the reviewer or reviewers. These revisions may necessitate either major or minor changes in the manuscript. Inexperienced scholars should understand a few key aspects of the revision process. First, it important to address the revisions diligently; second, is imperative to address all the comments received from the reviewers and avoid oversights; third, the resubmission of the revised manuscript must happen by the deadline provided by the journal; fourth, the revision process might comprise multiple rounds. The revision process requires two major documents. The first is the revised manuscript highlighting all the modifications made following the recommendations received from the reviewers. The second is a letter listing the authors’ responses illustrating they have addressed all the concerns of the reviewers and editors. These two documents should be drafted carefully. The authors of the manuscript can agree or disagree with the comments of the reviewers (typically agreement is encouraged) and are not always obliged to implement their recommendations, but they should in all cases provide a well-argued justification for their course of action.

Given the ever increasing number of manuscripts submitted for publication, the process of preparing a manuscript well enough to have it accepted by a journal can be daunting. High-impact journals accept less than 10 percent of the articles submitted to them, although the acceptance ratio for special issues or special topics sections is normally over 40 percent. Scholars might have to resign themselves to having their articles rejected and then reworking them to submit them to a different journal before the manuscript is accepted.

The advice offered here is not exhaustive but it’s also not difficult to implement. These recommendations require proper attention, planning and careful implementation; however, following this advice could help doctoral students and other scholars improve the likelihood of getting their work published, and that is key to having a productive, exciting and rewarding academic career.

Communicating research findings is an essential step in the research process. Often, peer-reviewed journals are the forum for such communication, yet many researchers are never taught how to write a publishable scientific paper. In this article, we explain the basic structure of a scientific paper and describe the information that should be included in each section. We also identify common pitfalls for each section and recommend strategies to avoid them. Further, we give advice about target journal selection and authorship. Introduction

Writing a scientific paper is an important component of the research process, yet researchers often receive little formal training in scientific writing. This is especially true in low-resource settings. In this article, we explain why choosing a target journal is important, give advice about authorship, provide a basic structure for writing each section of a scientific paper, and describe common pitfalls and recommendations for each section. In the online resource 1 , we also include an annotated journal article that identifies the key elements and writing approaches that we detail here. Before you begin your research, make sure you have ethical clearance from all relevant ethical review boards.

Select a Target Journal Early in the Writing Process

We recommend that you select a “target journal” early in the writing process; a “target journal” is the journal to which you plan to submit your paper. Each journal has a set of core readers and you should tailor your writing to this readership. For example, if you plan to submit a manuscript about vaping during pregnancy to a pregnancy-focused journal, you will need to explain what vaping is because readers of this journal may not have a background in this topic. However, if you were to submit that same article to a tobacco journal, you would not need to provide as much background information about vaping.

Information about a journal’s core readership can be found on its website, usually in a section called “About this journal” or something similar. For example, the Journal of Cancer Education presents such information on the “Aims and Scope” page of its website, which can be found here: https://www.springer.com/journal/13187/aims-and-scope .

Peer reviewer guidelines from your target journal are an additional resource that can help you tailor your writing to the journal and provide additional advice about crafting an effective article [ 1 ]. These are not always available, but it is worth a quick web search to find out.

Identify Author Roles Early in the Process

Early in the writing process, identify authors, determine the order of authors, and discuss the responsibilities of each author. Standard author responsibilities have been identified by The International Committee of Medical Journal Editors (ICMJE) [ 2 ]. To set clear expectations about each team member’s responsibilities and prevent errors in communication, we also suggest outlining more detailed roles, such as who will draft each section of the manuscript, write the abstract, submit the paper electronically, serve as corresponding author, and write the cover letter. It is best to formalize this agreement in writing after discussing it, circulating the document to the author team for approval. We suggest creating a title page on which all authors are listed in the agreed-upon order. It may be necessary to adjust authorship roles and order during the development of the paper. If a new author order is agreed upon, be sure to update the title page in the manuscript draft.

In the case where multiple papers will result from a single study, authors should discuss who will author each paper. Additionally, authors should agree on a deadline for each paper and the lead author should take responsibility for producing an initial draft by this deadline.

Structure of the Introduction Section

The introduction section should be approximately three to five paragraphs in length. Look at examples from your target journal to decide the appropriate length. This section should include the elements shown in Fig.  1 . Begin with a general context, narrowing to the specific focus of the paper. Include five main elements: why your research is important, what is already known about the topic, the “gap” or what is not yet known about the topic, why it is important to learn the new information that your research adds, and the specific research aim(s) that your paper addresses. Your research aim should address the gap you identified. Be sure to add enough background information to enable readers to understand your study. Table 1 provides common introduction section pitfalls and recommendations for addressing them.

Methods Section

The purpose of the methods section is twofold: to explain how the study was done in enough detail to enable its replication and to provide enough contextual detail to enable readers to understand and interpret the results. In general, the essential elements of a methods section are the following: a description of the setting and participants, the study design and timing, the recruitment and sampling, the data collection process, the dataset, the dependent and independent variables, the covariates, the analytic approach for each research objective, and the ethical approval. The hallmark of an exemplary methods section is the justification of why each method was used. Table 2 provides common methods section pitfalls and recommendations for addressing them.

Results Section

The focus of the results section should be associations, or lack thereof, rather than statistical tests. Two considerations should guide your writing here. First, the results should present answers to each part of the research aim. Second, return to the methods section to ensure that the analysis and variables for each result have been explained.

Begin the results section by describing the number of participants in the final sample and details such as the number who were approached to participate, the proportion who were eligible and who enrolled, and the number of participants who dropped out. The next part of the results should describe the participant characteristics. After that, you may organize your results by the aim or by putting the most exciting results first. Do not forget to report your non-significant associations. These are still findings.

Tables and figures capture the reader’s attention and efficiently communicate your main findings [ 3 ]. Each table and figure should have a clear message and should complement, rather than repeat, the text. Tables and figures should communicate all salient details necessary for a reader to understand the findings without consulting the text. Include information on comparisons and tests, as well as information about the sample and timing of the study in the title, legend, or in a footnote. Note that figures are often more visually interesting than tables, so if it is feasible to make a figure, make a figure. To avoid confusing the reader, either avoid abbreviations in tables and figures, or define them in a footnote. Note that there should not be citations in the results section and you should not interpret results here. Table 3 provides common results section pitfalls and recommendations for addressing them.

Discussion Section

Opposite the introduction section, the discussion should take the form of a right-side-up triangle beginning with interpretation of your results and moving to general implications (Fig.  2 ). This section typically begins with a restatement of the main findings, which can usually be accomplished with a few carefully-crafted sentences.

Next, interpret the meaning or explain the significance of your results, lifting the reader’s gaze from the study’s specific findings to more general applications. Then, compare these study findings with other research. Are these findings in agreement or disagreement with those from other studies? Does this study impart additional nuance to well-accepted theories? Situate your findings within the broader context of scientific literature, then explain the pathways or mechanisms that might give rise to, or explain, the results.

Journals vary in their approach to strengths and limitations sections: some are embedded paragraphs within the discussion section, while some mandate separate section headings. Keep in mind that every study has strengths and limitations. Candidly reporting yours helps readers to correctly interpret your research findings.

The next element of the discussion is a summary of the potential impacts and applications of the research. Should these results be used to optimally design an intervention? Does the work have implications for clinical protocols or public policy? These considerations will help the reader to further grasp the possible impacts of the presented work.

Finally, the discussion should conclude with specific suggestions for future work. Here, you have an opportunity to illuminate specific gaps in the literature that compel further study. Avoid the phrase “future research is necessary” because the recommendation is too general to be helpful to readers. Instead, provide substantive and specific recommendations for future studies. Table 4 provides common discussion section pitfalls and recommendations for addressing them.

Follow the Journal’s Author Guidelines

After you select a target journal, identify the journal’s author guidelines to guide the formatting of your manuscript and references. Author guidelines will often (but not always) include instructions for titles, cover letters, and other components of a manuscript submission. Read the guidelines carefully. If you do not follow the guidelines, your article will be sent back to you.

Finally, do not submit your paper to more than one journal at a time. Even if this is not explicitly stated in the author guidelines of your target journal, it is considered inappropriate and unprofessional.

Your title should invite readers to continue reading beyond the first page [ 4 , 5 ]. It should be informative and interesting. Consider describing the independent and dependent variables, the population and setting, the study design, the timing, and even the main result in your title. Because the focus of the paper can change as you write and revise, we recommend you wait until you have finished writing your paper before composing the title.

Be sure that the title is useful for potential readers searching for your topic. The keywords you select should complement those in your title to maximize the likelihood that a researcher will find your paper through a database search. Avoid using abbreviations in your title unless they are very well known, such as SNP, because it is more likely that someone will use a complete word rather than an abbreviation as a search term to help readers find your paper.

After you have written a complete draft, use the checklist (Fig. 3 ) below to guide your revisions and editing. Additional resources are available on writing the abstract and citing references [ 5 ]. When you feel that your work is ready, ask a trusted colleague or two to read the work and provide informal feedback. The box below provides a checklist that summarizes the key points offered in this article.

How to Write and Publish a Research Paper in 7 Steps

What comes next after you're done with your research? Publishing the results in a journal of course! We tell you how to present your work in the best way possible.

This post is part of a series, which serves to provide hands-on information and resources for authors and editors.

Things have gotten busy in scholarly publishing: These days, a new article gets published in the 50,000 most important peer-reviewed journals every few seconds, while each one takes on average 40 minutes to read. Hundreds of thousands of papers reach the desks of editors and reviewers worldwide each year and 50% of all submissions end up rejected at some stage.

In a nutshell: there is a lot of competition, and the people who decide upon the fate of your manuscript are short on time and overworked. But there are ways to make their lives a little easier and improve your own chances of getting your work published!

Well, it may seem obvious, but before submitting an academic paper, always make sure that it is an excellent reflection of the research you have done and that you present it in the most professional way possible. Incomplete or poorly presented manuscripts can create a great deal of frustration and annoyance for editors who probably won’t even bother wasting the time of the reviewers!

This post will discuss 7 steps to the successful publication of your research paper:

1. Check Whether Your Research Is Publication-Ready

Should you publish your research at all?

If your work holds academic value – of course – a well-written scholarly article could open doors to your research community. However, if you are not yet sure, whether your research is ready for publication, here are some key questions to ask yourself depending on your field of expertise:

  • Have you done or found something new and interesting? Something unique?
  • Is the work directly related to a current hot topic?
  • Have you checked the latest results or research in the field?
  • Have you provided solutions to any difficult problems?
  • Have the findings been verified?
  • Have the appropriate controls been performed if required?
  • Are your findings comprehensive?

If the answers to all relevant questions are “yes”, you need to prepare a good, strong manuscript. Remember, a research paper is only useful if it is clearly understood, reproducible and if it is read and used .

2. Choose An Article Type

The first step is to determine which type of paper is most appropriate for your work and what you want to achieve. The following list contains the most important, usually peer-reviewed article types in the natural sciences:

Full original research papers disseminate completed research findings. On average this type of paper is 8-10 pages long, contains five figures, and 25-30 references. Full original research papers are an important part of the process when developing your career.

Review papers present a critical synthesis of a specific research topic. These papers are usually much longer than original papers and will contain numerous references. More often than not, they will be commissioned by journal editors. Reviews present an excellent way to solidify your research career.

Letters, Rapid or Short Communications are often published for the quick and early communication of significant and original advances. They are much shorter than full articles and usually limited in length by the journal. Journals specifically dedicated to short communications or letters are also published in some fields. In these the authors can present short preliminary findings before developing a full-length paper.

3. Choose a Journal

Submit to journals that you already read, that you have a good feel for. If you do so, you will have a better appreciation of both its culture and the requirements of the editors and reviewers.

Other factors to consider are:

  • The specific subject area
  • The aims and scope of the journal
  • The type of manuscript you have written
  • The significance of your work
  • The reputation of the journal
  • The reputation of the editors within the community
  • The editorial/review and production speeds of the journal
  • The community served by the journal
  • The coverage and distribution
  • The accessibility ( open access vs. closed access)

4. Construct Your Paper

Each element of a paper has its purpose, so you should make these sections easy to index and search.

Don’t forget that requirements can differ highly per publication, so always make sure to apply a journal’s specific instructions – or guide – for authors to your manuscript, even to the first draft (text layout, paper citation, nomenclature, figures and table, etc.) It will save you time, and the editor’s.

Also, even in these days of Internet-based publishing, space is still at a premium, so be as concise as possible. As a good journalist would say: “Never use three words when one will do!”

Let’s look at the typical structure of a full research paper, but bear in mind certain subject disciplines may have their own specific requirements so check the instructions for authors on the journal’s home page.

4.1 The Title

It’s important to use the title to tell the reader what your paper is all about! You want to attract their attention, a bit like a newspaper headline does. Be specific and to the point. Keep it informative and concise, and avoid jargon and abbreviations (unless they are universally recognized like DNA, for example).

4.2 The Abstract

This could be termed as the “advertisement” for your article. Make it interesting and easily understood without the reader having to read the whole article. Be accurate and specific, and keep it as brief and concise as possible. Some journals (particularly in the medical fields) will ask you to structure the abstract in distinct, labeled sections, which makes it even more accessible.

A clear abstract will influence whether or not your work is considered and whether an editor should invest more time on it or send it for review.

4.3 Keywords

Keywords are used by abstracting and indexing services, such as PubMed and Web of Science. They are the labels of your manuscript, which make it “searchable” online by other researchers.

Include words or phrases (usually 4-8) that are closely related to your topic but not “too niche” for anyone to find them. Make sure to only use established abbreviations. Think about what scientific terms and its variations your potential readers are likely to use and search for. You can also do a test run of your selected keywords in one of the common academic search engines. Do similar articles to your own appear? Yes? Then that’s a good sign.

4.4 Introduction

This first part of the main text should introduce the problem, as well as any existing solutions you are aware of and the main limitations. Also, state what you hope to achieve with your research.

Do not confuse the introduction with the results, discussion or conclusion.

4.5 Methods

Every research article should include a detailed Methods section (also referred to as “Materials and Methods”) to provide the reader with enough information to be able to judge whether the study is valid and reproducible.

Include detailed information so that a knowledgeable reader can reproduce the experiment. However, use references and supplementary materials to indicate previously published procedures.

4.6 Results

In this section, you will present the essential or primary results of your study. To display them in a comprehensible way, you should use subheadings as well as illustrations such as figures, graphs, tables and photos, as appropriate.

4.7 Discussion

Here you should tell your readers what the results mean .

Do state how the results relate to the study’s aims and hypotheses and how the findings relate to those of other studies. Explain all possible interpretations of your findings and the study’s limitations.

Do not make “grand statements” that are not supported by the data. Also, do not introduce any new results or terms. Moreover, do not ignore work that conflicts or disagrees with your findings. Instead …

Be brave! Address conflicting study results and convince the reader you are the one who is correct.

4.8 Conclusion

Your conclusion isn’t just a summary of what you’ve already written. It should take your paper one step further and answer any unresolved questions.

Sum up what you have shown in your study and indicate possible applications and extensions. The main question your conclusion should answer is: What do my results mean for the research field and my community?

4.9 Acknowledgments and Ethical Statements

It is extremely important to acknowledge anyone who has helped you with your paper, including researchers who supplied materials or reagents (e.g. vectors or antibodies); and anyone who helped with the writing or English, or offered critical comments about the content.

Remember to state why people have been acknowledged and ask their permission . Ensure that you acknowledge sources of funding, including any grant or reference numbers.

Furthermore, if you have worked with animals or humans, you need to include information about the ethical approval of your study and, if applicable, whether informed consent was given. Also, state whether you have any competing interests regarding the study (e.g. because of financial or personal relationships.)

4.10 References

The end is in sight, but don’t relax just yet!

De facto, there are often more mistakes in the references than in any other part of the manuscript. It is also one of the most annoying and time-consuming problems for editors.

Remember to cite the main scientific publications on which your work is based. But do not inflate the manuscript with too many references. Avoid excessive – and especially unnecessary – self-citations. Also, avoid excessive citations of publications from the same institute or region.

5. Decide the Order of Authors

In the sciences, the most common way to order the names of the authors is by relative contribution.

Generally, the first author conducts and/or supervises the data analysis and the proper presentation and interpretation of the results. They put the paper together and usually submit the paper to the journal.

Co-authors make intellectual contributions to the data analysis and contribute to data interpretation. They review each paper draft. All of them must be able to present the paper and its results, as well as to defend the implications and discuss study limitations.

Do not leave out authors who should be included or add “gift authors”, i.e. authors who did not contribute significantly.

6. Check and Double-Check

As a final step before submission, ask colleagues to read your work and be constructively critical .

Make sure that the paper is appropriate for the journal – take a last look at their aims and scope. Check if all of the requirements in the instructions for authors are met.

Ensure that the cited literature is balanced. Are the aims, purpose and significance of the results clear?

Conduct a final check for language, either by a native English speaker or an editing service.

7. Submit Your Paper

When you and your co-authors have double-, triple-, quadruple-checked the manuscript: submit it via e-mail or online submission system. Along with your manuscript, submit a cover letter, which highlights the reasons why your paper would appeal to the journal and which ensures that you have received approval of all authors for submission.

It is up to the editors and the peer-reviewers now to provide you with their (ideally constructive and helpful) comments and feedback. Time to take a breather!

If the paper gets rejected, do not despair – it happens to literally everybody. If the journal suggests major or minor revisions, take the chance to provide a thorough response and make improvements as you see fit. If the paper gets accepted, congrats!

  • Make a bulleted list of the key points, then go back and cross completed items off as you’re writing.

There are many ways to generate an idea for a research paper, from brainstorming with pen and paper to talking it through with a fellow student or professor.

You can try free writing, which involves taking a broad topic and writing continuously for two or three minutes to identify absolutely anything relevant that could be interesting.

You can also gain inspiration from other research. The discussion or recommendations sections of research papers often include ideas for other specific topics that require further examination.

Once you have a broad subject area, narrow it down to choose a topic that interests you, m eets the criteria of your assignment, and i s possible to research. Aim for ideas that are both original and specific:

  • A paper following the chronology of World War II would not be original or specific enough.
  • A paper on the experience of Danish citizens living close to the German border during World War II would be specific and could be original enough.

Note any discussions that seem important to the topic, and try to find an issue that you can focus your paper around. Use a variety of sources , including journals, books, and reliable websites, to ensure you do not miss anything glaring.

Do not only verify the ideas you have in mind, but look for sources that contradict your point of view.

  • Is there anything people seem to overlook in the sources you research?
  • Are there any heated debates you can address?
  • Do you have a unique take on your topic?
  • Have there been some recent developments that build on the extant research?

In this stage, you might find it helpful to formulate some research questions to help guide you. To write research questions, try to finish the following sentence: “I want to know how/what/why…”

A thesis statement is a statement of your central argument — it establishes the purpose and position of your paper. If you started with a research question, the thesis statement should answer it. It should also show what evidence and reasoning you’ll use to support that answer.

The thesis statement should be concise, contentious, and coherent. That means it should briefly summarize your argument in a sentence or two, make a claim that requires further evidence or analysis, and make a coherent point that relates to every part of the paper.

You will probably revise and refine the thesis statement as you do more research, but it can serve as a guide throughout the writing process. Every paragraph should aim to support and develop this central claim.

A research paper outline is essentially a list of the key topics, arguments, and evidence you want to include, divided into sections with headings so that you know roughly what the paper will look like before you start writing.

A structure outline can help make the writing process much more efficient, so it’s worth dedicating some time to create one.

Your first draft won’t be perfect — you can polish later on. Your priorities at this stage are as follows:

  • Maintaining forward momentum — write now, perfect later.
  • Paying attention to clear organization and logical ordering of paragraphs and sentences, which will help when you come to the second draft.
  • Expressing your ideas as clearly as possible, so you know what you were trying to say when you come back to the text.

Paragraph structure

Paragraphs are the basic building blocks of research papers. Each one should focus on a single claim or idea that helps to establish the overall argument or purpose of the paper.

George Orwell’s 1946 essay “Politics and the English Language” has had an enduring impact on thought about the relationship between politics and language. This impact is particularly obvious in light of the various critical review articles that have recently referenced the essay. For example, consider Mark Falcoff’s 2009 article in The National Review Online, “The Perversion of Language; or, Orwell Revisited,” in which he analyzes several common words (“activist,” “civil-rights leader,” “diversity,” and more). Falcoff’s close analysis of the ambiguity built into political language intentionally mirrors Orwell’s own point-by-point analysis of the political language of his day. Even 63 years after its publication, Orwell’s essay is emulated by contemporary thinkers.

It’s also important to keep track of citations at this stage to avoid accidental plagiarism . Each time you use a source, make sure to take note of where the information came from.

The research paper introduction should address three questions: What, why, and how? After finishing the introduction, the reader should know what the paper is about, why it is worth reading, and how you’ll build your arguments.

What? Be specific about the topic of the paper, introduce the background, and define key terms or concepts.

Why? This is the most important, but also the most difficult, part of the introduction. Try to provide brief answers to the following questions: What new material or insight are you offering? What important issues does your essay help define or answer?

How? To let the reader know what to expect from the rest of the paper, the introduction should include a “map” of what will be discussed, briefly presenting the key elements of the paper in chronological order.

The major struggle faced by most writers is how to organize the information presented in the paper, which is one reason an outline is so useful. However, remember that the outline is only a guide and, when writing, you can be flexible with the order in which the information and arguments are presented.

One way to stay on track is to use your thesis statement and topic sentences . Check:

  • topic sentences against the thesis statement;
  • topic sentences against each other, for similarities and logical ordering;
  • and each sentence against the topic sentence of that paragraph.

Be aware of paragraphs that seem to cover the same things. If two paragraphs discuss something similar, they must approach that topic in different ways. Aim to create smooth transitions between sentences, paragraphs, and sections.

The research paper conclusion is designed to help your reader out of the paper’s argument, giving them a sense of finality.

Trace the course of the paper, emphasizing how it all comes together to prove your thesis statement. Give the paper a sense of finality by making sure the reader understands how you’ve settled the issues raised in the introduction.

You might also discuss the more general consequences of the argument, outline what the paper offers to future students of the topic, and suggest any questions the paper’s argument raises but cannot or does not try to answer.

You should not :

  • Offer new arguments or essential information
  • Take up any more space than necessary
  • Begin with stock phrases that signal you are ending the paper (e.g. “In conclusion”)

There are four main considerations when it comes to the second draft.

  • Check how your vision of the paper lines up with the first draft and, more importantly, that your paper still answers the assignment.
  • Identify any assumptions that might require (more substantial) justification, keeping your reader’s perspective foremost in mind. Remove these points if you cannot substantiate them further.
  • Be open to rearranging your ideas. Check whether any sections feel out of place and whether your ideas could be better organized.
  • If you find that old ideas do not fit as well as you anticipated, you should cut them out or condense them. You might also find that new and well-suited ideas occurred to you during the writing of the first draft — now is the time to make them part of the paper.

The goal during the revision and proofreading process is to ensure you have completed all the necessary tasks and that the paper is as well-articulated as possible. You can speed up the proofreading process by using the AI proofreader .

  • Confirm that your paper completes every task specified in your assignment sheet.
  • Check for logical organization and flow of paragraphs.
  • Check paragraphs against the introduction and thesis statement.

Check the content of each paragraph, making sure that:

Below, we set out the steps before going into more detail on each one. Getting a feel for these steps will help you to visualise what lies ahead, and prepare yourself for each of them in turn. It’s important to remember that you won’t actually have control over every step – in fact, some of them will be decided by people you’ll probably never meet. However, knowing which parts of the process are yours to decide will allow you to adjust your approach and attitude accordingly.

Step 1: Preparing Your Research Paper

It all starts here. The quality and content of your research paper is of fundamental importance if you want to get it published. This step will be different for every researcher depending on the nature of your research, but if you haven’t yet settled on a topic, then consider the following advice:

  • Choose an interesting and relevant topic that aligns with current trends in your field. If your research touches on the passions and concerns of your academic peers or wider society, it may be more likely to capture attention and get published successfully.
  • Conduct a comprehensive literature review (link to lit. review article once it’s published) to identify the state of existing research and any knowledge gaps within it. Aiming to fill a clear gap in the knowledge of your field is a great way to increase the practicality of your research and improve its chances of getting published.
  • Structure your paper in a clear and organised manner, including all the necessary sections such as title, abstract, introduction (link to the ‘how to write a research paper intro’ article once it’s published) , methodology, results, discussion, and conclusion.
  • Adhere to the formatting guidelines provided by your target journal to ensure that your paper is accepted as viable for publishing. More on this in the next section…

Step 2: Finding the Right Journal

Understanding how to publish a research paper involves selecting the appropriate journal for your work. This step is critical for successful publication, and you should take several factors into account when deciding which journal to apply for:

  • Conduct thorough research to identify journals that specialise in your field of study and have published similar research. Naturally, if you submit a piece of research in molecular genetics to a journal that specialises in geology, you won’t be likely to get very far.
  • Consider factors such as the journal’s scope, impact factor, and target audience. Today there is a wide array of journals to choose from, including traditional and respected print journals, as well as numerous online, open-access endeavours. Some, like Nature , even straddle both worlds.
  • Review the submission guidelines provided by the journal and ensure your paper meets all the formatting requirements and word limits. This step is key. Nature, for example, offers a highly informative series of pages that tells you everything you need to know in order to satisfy their formatting guidelines (plus more on the whole submission process).
  • Note that these guidelines can differ dramatically from journal to journal, and details really do matter. You might submit an outstanding piece of research, but if it includes, for example, images in the wrong size or format, this could mean a lengthy delay to getting it published. If you get everything right first time, you’ll save yourself a lot of time and trouble, as well as strengthen your publishing chances in the first place.

Step 3: Crafting a Strong Manuscript

Crafting a strong manuscript is crucial to impress journal editors and reviewers. Look at your paper as a complete package, and ensure that all the sections tie together to deliver your findings with clarity and precision.

  • Begin by creating a clear and concise title that accurately reflects the content of your paper.
  • Compose an informative abstract that summarises the purpose, methodology, results, and significance of your study.
  • Craft an engaging introduction (link to the research paper introduction article) that draws your reader in.
  • Develop a well-structured methodology section, presenting your results effectively using tables and figures.
  • Write a compelling discussion and conclusion that emphasise the significance of your findings.

Step 4: Navigating the Peer-Review Process

Once you submit your research paper to a journal, it undergoes a rigorous peer-review process to ensure its quality and validity. In peer-review, experts in your field assess your research and provide feedback and suggestions for improvement, ultimately determining whether your paper is eligible for publishing or not. You are likely to encounter several models of peer-review, based on which party – author, reviewer, or both – remains anonymous throughout the process.

When your paper undergoes the peer-review process, be prepared for constructive criticism and address the comments you receive from your reviewer thoughtfully, providing clear and concise responses to their concerns or suggestions. These could make all the difference when it comes to making your next submission.

Before the final submission, thoroughly proofread your paper for errors, including grammar, spelling, and any inconsistencies in your data or analysis. At this stage, consider seeking feedback from colleagues or mentors to further improve the quality of your paper.

Step 6: Dealing with Rejections and Revising Your Paper

Rejection is a common part of the publishing process, but it shouldn’t discourage you. Analyse reviewer comments objectively and focus on the constructive feedback provided. Make necessary revisions and improvements to your paper to address the concerns raised by reviewers. If needed, consider submitting your paper to a different journal that is a better fit for your research.

Publishing: How Long Does it Take?

These days, graduate students learn early that to get and keep an academic job they need to publish, publish, publish.  In fact, many programs have turned requirements like a Master’s thesis into a paper so that students have something early on to place before they hit the job market.  What’s not as often communicated is what to expect in terms of timeline. No one can tell you exactly when you need to submit a paper to a peer review journal in order to have an acceptance in hand to be on the market by fall of 2024 as the process is incredibly variable.  That said, there are a number of known factors that contribute to how long it could take and some common advice on what to consider.  

How Many Submissions Might it Take

I did a poll on Twitter asking folks across the academic world the highest number of submissions they had ever had before placing a manuscript.  116 people responded in the 24 hours the poll was up, so this provides a decent starting point to understand how long publishing could take.

For over one-third (37%), the most submissions they had ever done to place a manuscript was 3-4.   A lucky 27% said 1-2 submissions, but an almost equal percent (26%) said 5-6 submissions. Finally, 10% said 7 or more submissions.  

First thing you should take from these numbers is that it is common for it to take a few submissions before your work sticks.  You should not feel bad if you’ve gotten a few rejections for a paper because most of us have been there: 73% had 3 or more submissions.  In fact, you should feel accomplished that you’re putting yourself out there, use the opportunity to strengthen your paper, and, for those of you with less publishing experience, learn more about how to write for your discipline from the feedback you’ve received.  In fact, I’ve found that besides a few grumpy reviewers, the feedback I’ve gotten along the way has been gold.  

Why Does it Take so Many Submissions?

How many submissions it takes to get published is affected by a number of different factors that I want to acknowledge to explain the results above.  First, some papers are harder to place than others due to limited venues, sample size constraints, or controversial topics. For instance, I have a paper based on interviews with about 35 respondents.  It’s a respectable number of interviewees, but some editors and some reviewers don’t like that I’m looking at subgroups within the 35 for my analysis because that splits them into smaller groups.  

Second, where you aim to place will influence how many submissions it takes.  A common publishing strategy is to aim higher than you’re willing to have your work land, which means starting with journals that often have more submissions and higher rejection rates.  I personally use and encourage others to use this approach because you’re likely to get feedback from other experts before your paper ends up at the venue you’d be really happy getting a publication with, but wouldn’t know where to send it to next if it got rejected.  Now this isn’t always possible as some topics have a limited number of appropriate venues, but I implement it whenever I can.  

The other way to go about choosing a venue is to target the “perfect fit” journal on your first submission.  For this approach, your work needs to be a good fit for what the journal does (or for a specific special issue) and have solid methods and analysis.  My suspicion is that some of the folks who answered 1-2 submissions in the poll have taken this approach. I’ve done this for at least one manuscript, which I submitted to a special issue in a subfield journal.  The article fit the theme really well and while the reviewers and editors asked for pretty major revisions to the framing, they didn’t have major concerns about my data source or analytical approach, so the paper was accepted.  The downside to the perfect fit approach is that you could get rejected from the perfect venue for the paper. So if you’re going this route, I would recommend getting the paper as polished as possible before submitting. Workshop the heck out of it and get feedback from anyone and everyone who will read it to make sure it’s as tight as possible.  Maybe even pay someone to copy edit before you send it in.  

Finally, the last factor I want to mention is arguably the biggest factor, which is how much you know about writing a good journal article.  Obviously your first academic paper might take longer to get right, which could go two ways. Either it means you spend a lot of time with the paper and revise draft after draft after draft, or it means that your submit it early and often and get a lot of rejections trying to get it right.  There’s no right or wrong approach here because both take time.  

So the moral of this story is you could get lucky and place the first or second place you send your manuscript, but expecting 3-4 submissions is a more reasonable estimate.  

How Does that Translate to Time?

This is the part that is a little tricky.  Some journals have a fast turnaround with desk rejections within 1-2 weeks and reviews back within 3 months.  But others take a longer time due to a large number of submissions, challenges recruiting reviewers, reviewers taking longer to submit their reports, and editors having other demands on their time.  Realistically, you could not hear for a year if your manuscript gets sent out to reviewers. (Side note: If it’s taking a long time based on any information about timeline provided on the journal’s website and information you’ve heard from advisors and colleagues, it’s okay to contact the editor to ask for an update.)  

Given that you will likely need 3-4 submissions to place and that it could take up to a year to hear back from each of those, your worst case scenario is that it takes 3-4 years to place a manuscript.  Obviously not every submission is going to take a year, so, in reality, this might be closer to 2-3 years. The point is you probably won’t be able to lock in a publication over the summer before you go on the job market (or in the two months before you submit your tenure file for that matter), so starting early is to your advantage.

Rack up Those Rejections

This is why writers of all genres promote accumulating rejections .  You’re not going to get a publication if you’re not submitting your work to journals.  Furthermore, your manuscripts are likely to get better with more and more feedback on specific papers.  While it’s never easy to get that email with that sentence starting with “Unfortunately…,” it also gets a little easier to stomach the more you get.  Courage (read with French accent) to all of you in putting your manuscript babies out there!

Communicating research findings is an essential step in the research process. Often, peer-reviewed journals are the forum for such communication, yet many researchers are never taught how to write a publishable scientific paper. In this article, we explain the basic structure of a scientific paper and describe the information that should be included in each section. We also identify common pitfalls for each section and recommend strategies to avoid them. Further, we give advice about target journal selection and authorship. In the online resource 1, we provide an example of a high-quality scientific paper, with annotations identifying the elements we describe in this article.

Scientists are becoming increasingly frustrated by the time it takes to publish a paper. Something has to change, they say.

When Danielle Fraser first submitted her paper for publication, she had little idea of the painful saga that lay ahead.

She had spent some 18 months studying thousands of fossil species spread across North America from the past 36 million years, and now she had an intriguing result: animal populations were spread widest across latitudes in warm, wet climates. Her work, crucial to earning her PhD at Carleton University in Ottawa, Canada, might be used to make predictions about the response of mammals to climate change — a key question in ecology today. So, with her PhD adviser's encouragement, she sent it to Science in October 2012.

Ten days later, the paper was rejected with a form letter. She sent it to another prestigious journal, the Proceedings of the National Academy of Sciences . Rejected. Next, she tried Ecology Letters . Bounced. “At this point, I definitely was frustrated. I hadn't even been reviewed and I would've loved to know how to improve the paper,” recalls Fraser. “I thought, 'Let's just get it out and go to a journal that will assess the paper'.”

In May 2013, she submitted the paper to Proceedings of the Royal Society B , considered a high-impact journal in her field. The journal sent it out for review — seven months after her initial submission to Science . “Finally!” Fraser thought. What she didn't know was that she had taken only the first steps down the long, bumpy road to publication: it would take another three submissions, two rejections, two rounds of major revisions and numerous drafts before the paper would finally appear. By that point, she could hardly bear to look at it.

Fraser's frustration is widely shared: researchers are increasingly questioning the time it takes to publish their work. Many say that they feel trapped in a cycle of submission, rejection, review, re-review and re-re-review that seems to eat up months of their lives, interfere with job, grant and tenure applications and slow down the dissemination of results. In 2012, Leslie Vosshall, a neuroscientist at the Rockefeller University in New York City, wrote a commentary that lamented the “glacial pace” of scientific publishing 1 . “In the past three years, if anything, it's gotten substantially worse,” she says now. “It takes forever to get the work out, regardless of the journal. It just takes far too long.”

But is the publication process actually becoming longer — and, if so, then why? To find out, Nature examined some recent analyses on time to publication — many of them performed by researchers waiting for their own work to see the light of day — and spoke to scientists and editors about their experiences.

The results contain some surprises. Daniel Himmelstein, a computational-biology graduate student at the University of California, San Francisco, analysed all the papers indexed in the PubMed database that had listed submission and acceptance dates . His study, done for Nature , found no evidence for lengthening delays 2 : the median review time — the time between submission and acceptance of a paper — has hovered at around 100 days for more than 30 years (see 'Paper wait'). But the analysis comes with major caveats. Not all journals — including some high-profile ones — deposit such time-stamp data in PubMed, and some journals show when a paper was resubmitted, rather than submitted for the first time. “Resetting the clock is an especially pernicious issue,” Himmelstein says, and it means that the analysis might be underestimating publication delays.

Some data suggest that wait times have increased within certain subsets of journals, such as popular open-access ones and some of the most sought-after titles. At Nature , the median review time has grown from 85 days to just above 150 days over the past decade, according to Himmelstein's analysis, and at PLoS ONE it has risen from 37 to 125 days over roughly the same period.

Many scientists find this odd, because they expect advances in digital publishing and the proliferation of journals to have sped things up. They say that journals are taking too long to review papers and that reviewers are requesting more data, revisions and new experiments than they used to. “We are demanding more and more unreasonable things from each other,” says Vosshall. Journal editors counter that science itself has become more data-rich, that they work to uphold high editorial and peer-review standards and that some are dealing with increasing numbers of papers. They also say that they are taking steps to expedite the process.

Publication practices and waiting times also vary widely by discipline — with social sciences being notoriously slow. In physics, the pressure to publish fast is reduced because of the common practice of publishing preprints — early versions of a paper before peer review — on the arXiv server . Some of the loudest complaints about publication delays come from those in biological fields, in which competition is fierce and publishing in prestigious journals can be required for career advancement. This month, a group of more than 70 scientists, funders, journal editors and publishers are meeting at the Howard Hughes Medical Institute campus in Chevy Chase, Maryland, to discuss whether biologists should adopt the preprint model to accelerate publishing . “We need a fundamental rethinking of how we do this ,” Vosshall says.

In March 2012, Stephen Royle, a cell biologist at the University of Warwick, UK, started on a publication mission of his own. His latest work answered a controversial question about how cells sense that chromosomes are lined up before dividing, so he first sent it to Nature Cell Biology ( NCB ), because it is a top journal in his field and an editor there had suggested he send it after hearing Royle give a talk. It was rejected without review. Next, he sent it to Developmental Cell . Rejected. His next stop, the Journal of Cell Biology , sent the paper out for review. It came back with a long list of necessary revisions — and a rejection.

Royle and his lab spent almost six months doing the suggested experiments and revising the paper. Then he submitted the updated manuscript to Current Biology . Rejected. EMBO Journal . Reviewed and rejected.

Finally, in December 2012, he submitted it to the Journal of Cell Science ( JCS ), where it was reviewed. One reviewer mentioned that they had already assessed it at another journal and thought that it should have been published then. They wrote that the work was “beautifully conducted, well controlled, and conservatively interpreted”. A second reviewer said that it should not be published. The editor at JCS decided to accept it. The time between first submission to Nature Cell Biology and acceptance at JCS was 317 days. It appeared online another 53 days later 3 . The work went on to win the JCS prize as the journal's top paper for 2013.

Despite the accolade, Royle says that the multiple rejections were demoralizing for his student, who had done the experiments and needed the paper to graduate. He also thinks that the paper deserved the greater exposure that comes from publication in a more prestigious journal. “Unfortunately, the climate at the moment is that if papers aren't in those very top journals, they get overlooked easily,” he says. And Royle, who has done several publication-time analyses and blogged about what he found, has shown that this experience is not unusual. When he looked at the 28 papers that his lab had published in the previous 12 years, the average time to gestate from first submission to publication was the same as a human baby — about 9 months (see go.nature.com/79h2n3 ).

But how much of these delays were his own doing? To publish the chromosome paper, Royle indulged in the all-too-familiar practice of journal shopping: submitting first to the most prestigious journals in his field (often those with the highest impact factor) and then working his way down the hierarchy . ( Nature Cell Biology 's current impact factor is 19; JCS 's is 5.) Journal impact factor or reputation are widely used by scientists and grant-review and hiring committees as a proxy for the quality of the paper. On the flip side, critics say that editors seek out the splashiest papers to boost their publication's impact factor, something that encourages journal shopping, increases rejection rates and adds to the wait time. Journal editors reject this; Ritu Dhand, Nature editorial director in London, says that Nature 's policy of selecting original, important work “may lead to citation impact and media coverage, but Nature editors aren't driven by those considerations”.

How much time does journal shopping add? In the analysis of his group's research papers, Royle found that more than half were shopped around, and that this consumed anywhere from a few days to more than eight months. He went on to analyse all the papers published in 2013 that are indexed in PubMed, and examined whether higher impact factor correlated with longer median publication times. He found an inverted bell-shaped curve — the journals with the lowest and highest impact factors had longer review times than did those in the middle. For the vast majority of those in the middle, review times stood at around 100 days — matching Himmelstein's analysis. Those with the very highest impact factors (30–50) had a review time of 150 days, supporting the idea that pitching a paper to a series of top journals could result in significant delays in publication.

Many scientists, editors and publishers have long acknowledged that journal name is a flawed measure of the quality and value of a piece of research — but the problem shows no signs of going away . “Where your paper is published doesn't say anything about you, your paper's impact or whether it's right or wrong,” says Maria Leptin, director of EMBO, an organization of Europe's leading life scientists and publisher of the EMBO Journal . “Nobody has the courage to say, we, as a funding organization, or we, as a tenure committee, are not going to look at where you publish as opposed to what you publish .”

And the obsession with prestigious journals is just one source of delay — as Fraser, who was battling to publish her paper on ancient animal populations — was about to found out.

Peer review

By October 2013, a full year had passed since Fraser had first submitted her paper to a journal, and she had pretty much stopped caring about impact factor. By this point, the paper had spent two months in review at Proceedings of the Royal Society B , before coming back with mixed reports — and a rejection. So Fraser decided to try PLoS ONE , a journal that says it will publish any rigorous science, regardless of its significance, scope or anticipated citations. It has an impact factor of 3, and a reputation for rapid publication.

PLoS ONE sent the paper out to a single reviewer. Two months later, Fraser got a decision letter that essentially stated that the paper was rejected but might be eligible for re-review if the suggested revisions were made. She made the revisions, adding citations and a small amount of reanalysis. In March 2014, she resubmitted the manuscript, which PLoS ONE sent out to a different reviewer. Another two months passed before she received the new review: major revisions, please.

“I'm just happy they didn't tell me to go away,” recalls Fraser. “I do have e-mails from the time that say, '1-millionth draft'!” She persevered, making more revisions to meet the reviewer's demands, and in June 2014 submitted the paper to PLoS ONE for a third time. Success! The paper 4 was published online 23 months after she had first sent it to Science . The long peer-review and revision process did improve the paper, Fraser says now. “It was really much better.” But did the main conclusion of the paper change? “Not really.”

It takes forever to get the work out, regardless of the journal.

Last year, Chris Hartgerink, a behavioural-sciences graduate student at Tilburg University in the Netherlands, ran an analysis of the Public Library of Science (PLOS) family of journals since the first one launched in 2003. (He chose the journals largely because they make the data easily accessible, and because he was waiting for a paper to be published in PLoS ONE .) He found that the mean review time had roughly doubled in the past decade, from 50–130 days to 150–250 days, depending on the journal (see go.nature.com/s3voeq ). And when Royle looked at eight journals that had published cell-biology papers over the past decade, he found that publication times had lengthened at seven of them, mostly because review times had stretched out.

One contention is that peer reviewers now ask for more. When Ron Vale, a cell biologist at the University of California, San Francisco, analysed biology papers that had been published in Cell , Nature and the Journal of Cell Biology , in the first six months of 1984 and compared that with the same period in 2014, he found that both the average number of authors and the number of panels in experimental figures rose by 2–4 fold 5 . This showed, he argued, that the amount of data required for a publication had gone up, and Vale suspects that much of the added data come from authors trying to meet reviewers' demands. Scientists grumble about overzealous critics who always seem to want more, or different, experiments to nail a point. “It's very rare for the revisions to fundamentally change a paper — the headline doesn't change,” Royle says. His analysis of his group's publication times showed that almost 4 months of the average 9-month gestation was spent revising papers for resubmission.

Many scientists also blame journal editors, who, they say, can be reluctant to provide clear guidance and decisions to authors when reviews are mixed — unnecessarily stringing out the review and revision process. Journal heads disagree, and say that their editors are accomplished at handling mixed reviews. Cell editor-in-chief Emilie Marcus in Cambridge, Massachusetts, says that editors at her journal take responsibility for publication decisions and help authors to map out a plan for revisions.

Technological advances mean that research now involves handling more and more data, editors say, and there is greater emphasis on making that information available to the community. Marcus says that her journal is working to cut review times by, for example, increasing the number of papers that go through only one round of revision — 14% of their papers did so in 2015. In 2009, Cell also restricted the amount of supplemental material that could accompany papers as a way to keep requests for “additional, unrelated experiments” at bay.

PLOS executive editor Veronique Kiermer, based in San Francisco, declined to discuss the specifics of Fraser's paper, but she called its total review time of nine months an “outlier” and said that it was “not ideal to have research being evaluated by a single person”. She acknowledges that PLoS ONE 's publication time has risen; one factor is that the volume of papers has, too — from 200 in 2006 to 30,000 per year now — and it takes time to find and assign appropriate editors and reviewers. (PLOS used 76,000 reviewers in 2015.) Another, says Kiermer, is that the number of essential checkpoints — including competing-interest disclosures, animal-welfare reports and screens for plagiarism — have increased in the past decade. “We'll do everything we can both in terms of technology and looking at workflows to bring these times to publication down,” she says.

Dhand says that at Nature , too, editors find it harder to find reviewers than in the past, “presumably because there are so many more papers that need reviewing”. Himmelstein found that the number of papers in PubMed more than doubled between 2000 and 2015, reaching nearly 1 million articles.

Technology advances

Digital publishing may have had benefits in shortening 'production' time — the time from acceptance to publication — rather than time in review. In Himmelstein's analysis, time spent in production has halved since the early 2000s, falling to a stable median of 25 days.

Several new journals and online publishing platforms have promised to speed up the process even more. PeerJ, a family of journals that launched in 2013, is one of several that now encourage open peer review, in which reviewers' names and comments are posted alongside articles. The hope is that the transparency will prevent unnecessary delays or burdensome revision requests from reviewers.

It's very rare for the revisions to fundamentally change a paper.

The biomedical and life-sciences journal eLife launched in 2012 with a pledge to make initial editorial decisions within a few days and to review papers quickly. Reviewers get strict instructions not to suggest the 'perfect experiment', and they can ask for extra analysis only if it can be completed within 2 months. Otherwise, the paper is rejected. Randy Schekman, a cell biologist at the University of California, Berkeley, and editor-in-chief of eLife , says that these policies mean that more than two-thirds of the journal's accepted papers undergo just one round of review.

In a 2015 analysis, Himmelstein created a ranking by the median review time for all 3,482 journals that had papers with time stamps in the PubMed database from January 2014 to June 2015 (see go.nature.com/sscrr6 ). PeerJ had a relatively fast time: 74 days after submission. At eLife , it took 108 days, and PLoS ONE took 117. By comparison, Cell 's review time was 127 days; Nature 's was 173 days; PLoS Medicine took 177 days; and Developmental Cell was among the slowest of the popular biomedical journals, at 194 days. Marcus notes that comparison between journals is difficult because the publications define received, revised and accepted days differently, and that Developmental Cell places a high priority on timely review.

Preprints reconsidered

One way for biologists to accelerate publication is by embracing preprints. These allow work to quickly receive credit and critique, says Bruno Eckhardt, associate editor of Physical Review E and a theoretical physicist at the University of Marburg in Germany. “It is almost like going on Facebook — it means you are ready to go public,” he says. A preprint submitted to bioRxiv — a server run by Cold Spring Harbor Laboratory in New York — is published online within 24 hours and given a digital object identifier (DOI); subsequent revisions are time-stamped and anyone can read and comment on the paper. “The minute a research story gets into the public domain, it benefits from the collective power of different brains looking at a problem,” says Vale. What's more, proponents say, preprint publishing can simply be added onto the conventional publication process. F1000Research , which launched in 2012, does this by publishing papers first, then inviting open peer review and revision.

Some scientists are going a step further, and using platforms such as GitHub, Zenodo and figshare to publish each hypothesis, data collection or figure as they go along. Each file can be given a DOI, so that it is citable and trackable. Himmelstein, who already publishes his papers as preprints, has been using the Thinklab platform to progressively write up and publish the results of a new project since January 2015. “I push 'publish' and it gets a DOI with no delay,” he says. “Am I really gaining that much by publishing [in a conventional journal]? Or is it better to do what is fastest and most efficient to get your research out there?”

But preprints and real-time digital publishing platforms are no panacea. Vosshall says that many biologists are “terrified” of preprints because they fear getting scooped by competitors or losing credit and intellectual-property rights for their ideas. And even after preprint publishing, scientists can still find themselves slogging through peer review and chasing high-impact journals for a final publication to adorn their CV. Vosshall says that the scientific community relies on conventional journals to serve as a 'prestige filter' so that important papers are brought to the attention of the right readers. Without them, “How do we find the good stuff?” she asks.

For Fraser, her PLoS ONE publication proved a success. When the paper was finally published after its almost-two-year wait, she got positive responses, she says. It has been viewed nearly 2,000 times, had 51 shares on Facebook and Twitter and got 280 downloads. The publication also helped her to secure her current position — as a postdoctoral fellow at the Smithsonian Institution Museum of Natural History in Washington DC. “I pretty much got the top postdoc that I could have gotten.”

Still, the whole process is not something she wants to endure again — so these days, she tends to send her papers to mid-range journals that are likely to publish her work right away. “If my ultimate goal is to get a faculty job, I can't afford to wait two years on a single paper,” she says.

How to write your first research paper.

Writing a research manuscript is an intimidating process for many novice writers in the sciences. One of the stumbling blocks is the beginning of the process and creating the first draft. This paper presents guidelines on how to initiate the writing process and draft each section of a research manuscript. The paper discusses seven rules that allow the writer to prepare a well-structured and comprehensive manuscript for a publication submission. In addition, the author lists different strategies for successful revision. Each of those strategies represents a step in the revision process and should help the writer improve the quality of the manuscript. The paper could be considered a brief manual for publication.

It is late at night. You have been struggling with your project for a year. You generated an enormous amount of interesting data. Your pipette feels like an extension of your hand, and running western blots has become part of your daily routine, similar to brushing your teeth. Your colleagues think you are ready to write a paper, and your lab mates tease you about your “slow” writing progress. Yet days pass, and you cannot force yourself to sit down to write. You have not written anything for a while (lab reports do not count), and you feel you have lost your stamina. How does the writing process work? How can you fit your writing into a daily schedule packed with experiments? What section should you start with? What distinguishes a good research paper from a bad one? How should you revise your paper? These and many other questions buzz in your head and keep you stressed. As a result, you procrastinate. In this paper, I will discuss the issues related to the writing process of a scientific paper. Specifically, I will focus on the best approaches to start a scientific paper, tips for writing each section, and the best revision strategies.

1. Schedule your writing time in Outlook

Whether you have written 100 papers or you are struggling with your first, starting the process is the most difficult part unless you have a rigid writing schedule. Writing is hard. It is a very difficult process of intense concentration and brain work. As stated in Hayes’ framework for the study of writing: “It is a generative activity requiring motivation, and it is an intellectual activity requiring cognitive processes and memory” [ 1 ]. In his book How to Write a Lot: A Practical Guide to Productive Academic Writing , Paul Silvia says that for some, “it’s easier to embalm the dead than to write an article about it” [ 2 ]. Just as with any type of hard work, you will not succeed unless you practice regularly. If you have not done physical exercises for a year, only regular workouts can get you into good shape again. The same kind of regular exercises, or I call them “writing sessions,” are required to be a productive author. Choose from 1- to 2-hour blocks in your daily work schedule and consider them as non-cancellable appointments. When figuring out which blocks of time will be set for writing, you should select the time that works best for this type of work. For many people, mornings are more productive. One Yale University graduate student spent a semester writing from 8 a.m. to 9 a.m. when her lab was empty. At the end of the semester, she was amazed at how much she accomplished without even interrupting her regular lab hours. In addition, doing the hardest task first thing in the morning contributes to the sense of accomplishment during the rest of the day. This positive feeling spills over into our work and life and has a very positive effect on our overall attitude.

Rule 1: Create regular time blocks for writing as appointments in your calendar and keep these appointments.

2. start with an outline.

Now that you have scheduled time, you need to decide how to start writing. The best strategy is to start with an outline. This will not be an outline that you are used to, with Roman numerals for each section and neat parallel listing of topic sentences and supporting points. This outline will be similar to a template for your paper. Initially, the outline will form a structure for your paper; it will help generate ideas and formulate hypotheses. Following the advice of George M. Whitesides, “. . . start with a blank piece of paper, and write down, in any order, all important ideas that occur to you concerning the paper” [ 3 ]. Use Table 1 as a starting point for your outline. Include your visuals (figures, tables, formulas, equations, and algorithms), and list your findings. These will constitute the first level of your outline, which will eventually expand as you elaborate.

1. What is the topic of my paper?
2. Why is this topic important?
3. How could I formulate my hypothesis?
4. What are my results (include visuals)?
5. What is my major finding?

The next stage is to add context and structure. Here you will group all your ideas into sections: Introduction, Methods, Results, and Discussion/Conclusion ( Table 2 ). This step will help add coherence to your work and sift your ideas.

1. Why is your research important?
2. What is known about the topic?
3. What are your hypotheses?
4. What are your objectives?
1. What materials did you use?
2. Who were the subjects of your study?
3. What was the design of your research?
4. What procedure did you follow?
1. What are your most significant results?
2. What are your supporting results?
1. What are the studies major findings?
2. What is the significance/implication of the results?

Now that you have expanded your outline, you are ready for the next step: discussing the ideas for your paper with your colleagues and mentor. Many universities have a writing center where graduate students can schedule individual consultations and receive assistance with their paper drafts. Getting feedback during early stages of your draft can save a lot of time. Talking through ideas allows people to conceptualize and organize thoughts to find their direction without wasting time on unnecessary writing. Outlining is the most effective way of communicating your ideas and exchanging thoughts. Moreover, it is also the best stage to decide to which publication you will submit the paper. Many people come up with three choices and discuss them with their mentors and colleagues. Having a list of journal priorities can help you quickly resubmit your paper if your paper is rejected.

Rule 2: Create a detailed outline and discuss it with your mentor and peers.

3. continue with drafts.

After you get enough feedback and decide on the journal you will submit to, the process of real writing begins. Copy your outline into a separate file and expand on each of the points, adding data and elaborating on the details. When you create the first draft, do not succumb to the temptation of editing. Do not slow down to choose a better word or better phrase; do not halt to improve your sentence structure. Pour your ideas into the paper and leave revision and editing for later. As Paul Silvia explains, “Revising while you generate text is like drinking decaffeinated coffee in the early morning: noble idea, wrong time” [ 2 ].

Many students complain that they are not productive writers because they experience writer’s block. Staring at an empty screen is frustrating, but your screen is not really empty: You have a template of your article, and all you need to do is fill in the blanks. Indeed, writer’s block is a logical fallacy for a scientist ― it is just an excuse to procrastinate. When scientists start writing a research paper, they already have their files with data, lab notes with materials and experimental designs, some visuals, and tables with results. All they need to do is scrutinize these pieces and put them together into a comprehensive paper.

3.1. Starting with Materials and Methods

If you still struggle with starting a paper, then write the Materials and Methods section first. Since you have all your notes, it should not be problematic for you to describe the experimental design and procedures. Your most important goal in this section is to be as explicit as possible by providing enough detail and references. In the end, the purpose of this section is to allow other researchers to evaluate and repeat your work. So do not run into the same problems as the writers of the sentences in (1):

1a. Bacteria were pelleted by centrifugation. 1b. To isolate T cells, lymph nodes were collected.

As you can see, crucial pieces of information are missing: the speed of centrifuging your bacteria, the time, and the temperature in (1a); the source of lymph nodes for collection in (b). The sentences can be improved when information is added, as in (2a) and (2b), respectfully:

2a. Bacteria were pelleted by centrifugation at 3000g for 15 min at 25°C. 2b. To isolate T cells, mediastinal and mesenteric lymph nodes from Balb/c mice were collected at day 7 after immunization with ovabumin.

If your method has previously been published and is well-known, then you should provide only the literature reference, as in (3a). If your method is unpublished, then you need to make sure you provide all essential details, as in (3b).

3a. Stem cells were isolated, according to Johnson [23]. 3b. Stem cells were isolated using biotinylated carbon nanotubes coated with anti-CD34 antibodies.

Furthermore, cohesion and fluency are crucial in this section. One of the malpractices resulting in disrupted fluency is switching from passive voice to active and vice versa within the same paragraph, as shown in (4). This switching misleads and distracts the reader.

4. Behavioral computer-based experiments of Study 1 were programmed by using E-Prime. We took ratings of enjoyment, mood, and arousal as the patients listened to preferred pleasant music and unpreferred music by using Visual Analogue Scales (SI Methods). The preferred and unpreferred status of the music was operationalized along a continuum of pleasantness [ 4 ].

The problem with (4) is that the reader has to switch from the point of view of the experiment (passive voice) to the point of view of the experimenter (active voice). This switch causes confusion about the performer of the actions in the first and the third sentences. To improve the coherence and fluency of the paragraph above, you should be consistent in choosing the point of view: first person “we” or passive voice [ 5 ]. Let’s consider two revised examples in (5).

5a. We programmed behavioral computer-based experiments of Study 1 by using E-Prime. We took ratings of enjoyment, mood, and arousal by using Visual Analogue Scales (SI Methods) as the patients listened to preferred pleasant music and unpreferred music. We operationalized the preferred and unpreferred status of the music along a continuum of pleasantness. 5b. Behavioral computer-based experiments of Study 1 were programmed by using E-Prime. Ratings of enjoyment, mood, and arousal were taken as the patients listened to preferred pleasant music and unpreferred music by using Visual Analogue Scales (SI Methods). The preferred and unpreferred status of the music was operationalized along a continuum of pleasantness.

If you choose the point of view of the experimenter, then you may end up with repetitive “we did this” sentences. For many readers, paragraphs with sentences all beginning with “we” may also sound disruptive. So if you choose active sentences, you need to keep the number of “we” subjects to a minimum and vary the beginnings of the sentences [ 6 ].

Interestingly, recent studies have reported that the Materials and Methods section is the only section in research papers in which passive voice predominantly overrides the use of the active voice [ 5 , 7 , 8 , 9 ]. For example, Martínez shows a significant drop in active voice use in the Methods sections based on the corpus of 1 million words of experimental full text research articles in the biological sciences [ 7 ]. According to the author, the active voice patterned with “we” is used only as a tool to reveal personal responsibility for the procedural decisions in designing and performing experimental work. This means that while all other sections of the research paper use active voice, passive voice is still the most predominant in Materials and Methods sections.

Writing Materials and Methods sections is a meticulous and time consuming task requiring extreme accuracy and clarity. This is why when you complete your draft, you should ask for as much feedback from your colleagues as possible. Numerous readers of this section will help you identify the missing links and improve the technical style of this section.

Rule 3: Be meticulous and accurate in describing the Materials and Methods. Do not change the point of view within one paragraph.

3.2. writing results section.

For many authors, writing the Results section is more intimidating than writing the Materials and Methods section . If people are interested in your paper, they are interested in your results. That is why it is vital to use all your writing skills to objectively present your key findings in an orderly and logical sequence using illustrative materials and text.

Your Results should be organized into different segments or subsections where each one presents the purpose of the experiment, your experimental approach, data including text and visuals (tables, figures, schematics, algorithms, and formulas), and data commentary. For most journals, your data commentary will include a meaningful summary of the data presented in the visuals and an explanation of the most significant findings. This data presentation should not repeat the data in the visuals, but rather highlight the most important points. In the “standard” research paper approach, your Results section should exclude data interpretation, leaving it for the Discussion section. However, interpretations gradually and secretly creep into research papers: “Reducing the data, generalizing from the data, and highlighting scientific cases are all highly interpretive processes. It should be clear by now that we do not let the data speak for themselves in research reports; in summarizing our results, we interpret them for the reader” [ 10 ]. As a result, many journals including the Journal of Experimental Medicine and the Journal of Clinical Investigation use joint Results/Discussion sections, where results are immediately followed by interpretations.

Another important aspect of this section is to create a comprehensive and supported argument or a well-researched case. This means that you should be selective in presenting data and choose only those experimental details that are essential for your reader to understand your findings. You might have conducted an experiment 20 times and collected numerous records, but this does not mean that you should present all those records in your paper. You need to distinguish your results from your data and be able to discard excessive experimental details that could distract and confuse the reader. However, creating a picture or an argument should not be confused with data manipulation or falsification, which is a willful distortion of data and results. If some of your findings contradict your ideas, you have to mention this and find a plausible explanation for the contradiction.

In addition, your text should not include irrelevant and peripheral information, including overview sentences, as in (6).

6. To show our results, we first introduce all components of experimental system and then describe the outcome of infections.

Indeed, wordiness convolutes your sentences and conceals your ideas from readers. One common source of wordiness is unnecessary intensifiers. Adverbial intensifiers such as “clearly,” “essential,” “quite,” “basically,” “rather,” “fairly,” “really,” and “virtually” not only add verbosity to your sentences, but also lower your results’ credibility. They appeal to the reader’s emotions but lower objectivity, as in the common examples in (7):

Another source of wordiness is nominalizations, i.e., nouns derived from verbs and adjectives paired with weak verbs including “be,” “have,” “do,” “make,” “cause,” “provide,” and “get” and constructions such as “there is/are.”

8a. We tested the hypothesis that there is a disruption of membrane asymmetry. 8b. In this paper we provide an argument that stem cells repopulate injured organs.

In the sentences above, the abstract nominalizations “disruption” and “argument” do not contribute to the clarity of the sentences, but rather clutter them with useless vocabulary that distracts from the meaning. To improve your sentences, avoid unnecessary nominalizations and change passive verbs and constructions into active and direct sentences.

9a. We tested the hypothesis that the membrane asymmetry is disrupted. 9b. In this paper we argue that stem cells repopulate injured organs.

Your Results section is the heart of your paper, representing a year or more of your daily research. So lead your reader through your story by writing direct, concise, and clear sentences.

Rule 4: Be clear, concise, and objective in describing your Results.

3.3. now it is time for your introduction.

Now that you are almost half through drafting your research paper, it is time to update your outline. While describing your Methods and Results, many of you diverged from the original outline and re-focused your ideas. So before you move on to create your Introduction, re-read your Methods and Results sections and change your outline to match your research focus. The updated outline will help you review the general picture of your paper, the topic, the main idea, and the purpose, which are all important for writing your introduction.

The best way to structure your introduction is to follow the three-move approach shown in Table 3 .

a. Show that the general research area is important, central, interesting, and problematic in some way;
a. Indicate a gap in the previous research, or extend previous knowledge in some way.
a. Outline purposes or state the nature of the present research;
b. List research questions or hypotheses;
c. Announce principle findings;
d. State the value of the present research;
e. Indicate the structure of the research paper.

The moves and information from your outline can help to create your Introduction efficiently and without missing steps. These moves are traffic signs that lead the reader through the road of your ideas. Each move plays an important role in your paper and should be presented with deep thought and care. When you establish the territory, you place your research in context and highlight the importance of your research topic. By finding the niche, you outline the scope of your research problem and enter the scientific dialogue. The final move, “occupying the niche,” is where you explain your research in a nutshell and highlight your paper’s significance. The three moves allow your readers to evaluate their interest in your paper and play a significant role in the paper review process, determining your paper reviewers.

Some academic writers assume that the reader “should follow the paper” to find the answers about your methodology and your findings. As a result, many novice writers do not present their experimental approach and the major findings, wrongly believing that the reader will locate the necessary information later while reading the subsequent sections [ 5 ]. However, this “suspense” approach is not appropriate for scientific writing. To interest the reader, scientific authors should be direct and straightforward and present informative one-sentence summaries of the results and the approach.

Another problem is that writers understate the significance of the Introduction. Many new researchers mistakenly think that all their readers understand the importance of the research question and omit this part. However, this assumption is faulty because the purpose of the section is not to evaluate the importance of the research question in general. The goal is to present the importance of your research contribution and your findings. Therefore, you should be explicit and clear in describing the benefit of the paper.

The Introduction should not be long. Indeed, for most journals, this is a very brief section of about 250 to 600 words, but it might be the most difficult section due to its importance.

Rule 5: Interest your reader in the Introduction section by signalling all its elements and stating the novelty of the work.

3.4. discussion of the results.

For many scientists, writing a Discussion section is as scary as starting a paper. Most of the fear comes from the variation in the section. Since every paper has its unique results and findings, the Discussion section differs in its length, shape, and structure. However, some general principles of writing this section still exist. Knowing these rules, or “moves,” can change your attitude about this section and help you create a comprehensive interpretation of your results.

The purpose of the Discussion section is to place your findings in the research context and “to explain the meaning of the findings and why they are important, without appearing arrogant, condescending, or patronizing” [ 11 ]. The structure of the first two moves is almost a mirror reflection of the one in the Introduction. In the Introduction, you zoom in from general to specific and from the background to your research question; in the Discussion section, you zoom out from the summary of your findings to the research context, as shown in Table 4 .

a. State the study’s major findings.
b. Explain the meaning and importance of your finding.
c. Consider alternative explanations of the findings.
a. Compare and contrast your findings with those of other published results.
b. Explain any discrepancies and unexpected findings.
c. State the limitations, weaknesses, and assumptions of your study.
a. Summarize the answers to the research questions.
b. Indicate the importance of the work by stating applications, recommendations, and implications.

The biggest challenge for many writers is the opening paragraph of the Discussion section. Following the moves in Table 1 , the best choice is to start with the study’s major findings that provide the answer to the research question in your Introduction. The most common starting phrases are “Our findings demonstrate . . .,” or “In this study, we have shown that . . .,” or “Our results suggest . . .” In some cases, however, reminding the reader about the research question or even providing a brief context and then stating the answer would make more sense. This is important in those cases where the researcher presents a number of findings or where more than one research question was presented. Your summary of the study’s major findings should be followed by your presentation of the importance of these findings. One of the most frequent mistakes of the novice writer is to assume the importance of his findings. Even if the importance is clear to you, it may not be obvious to your reader. Digesting the findings and their importance to your reader is as crucial as stating your research question.

Another useful strategy is to be proactive in the first move by predicting and commenting on the alternative explanations of the results. Addressing potential doubts will save you from painful comments about the wrong interpretation of your results and will present you as a thoughtful and considerate researcher. Moreover, the evaluation of the alternative explanations might help you create a logical step to the next move of the discussion section: the research context.

The goal of the research context move is to show how your findings fit into the general picture of the current research and how you contribute to the existing knowledge on the topic. This is also the place to discuss any discrepancies and unexpected findings that may otherwise distort the general picture of your paper. Moreover, outlining the scope of your research by showing the limitations, weaknesses, and assumptions is essential and adds modesty to your image as a scientist. However, make sure that you do not end your paper with the problems that override your findings. Try to suggest feasible explanations and solutions.

If your submission does not require a separate Conclusion section, then adding another paragraph about the “take-home message” is a must. This should be a general statement reiterating your answer to the research question and adding its scientific implications, practical application, or advice.

Just as in all other sections of your paper, the clear and precise language and concise comprehensive sentences are vital. However, in addition to that, your writing should convey confidence and authority. The easiest way to illustrate your tone is to use the active voice and the first person pronouns. Accompanied by clarity and succinctness, these tools are the best to convince your readers of your point and your ideas.

Rule 6: Present the principles, relationships, and generalizations in a concise and convincing tone.

4. choosing the best working revision strategies.

Now that you have created the first draft, your attitude toward your writing should have improved. Moreover, you should feel more confident that you are able to accomplish your project and submit your paper within a reasonable timeframe. You also have worked out your writing schedule and followed it precisely. Do not stop ― you are only at the midpoint from your destination. Just as the best and most precious diamond is no more than an unattractive stone recognized only by trained professionals, your ideas and your results may go unnoticed if they are not polished and brushed. Despite your attempts to present your ideas in a logical and comprehensive way, first drafts are frequently a mess. Use the advice of Paul Silvia: “Your first drafts should sound like they were hastily translated from Icelandic by a non-native speaker” [ 2 ]. The degree of your success will depend on how you are able to revise and edit your paper.

The revision can be done at the macrostructure and the microstructure levels [ 13 ]. The macrostructure revision includes the revision of the organization, content, and flow. The microstructure level includes individual words, sentence structure, grammar, punctuation, and spelling.

The best way to approach the macrostructure revision is through the outline of the ideas in your paper. The last time you updated your outline was before writing the Introduction and the Discussion. Now that you have the beginning and the conclusion, you can take a bird’s-eye view of the whole paper. The outline will allow you to see if the ideas of your paper are coherently structured, if your results are logically built, and if the discussion is linked to the research question in the Introduction. You will be able to see if something is missing in any of the sections or if you need to rearrange your information to make your point.

The next step is to revise each of the sections starting from the beginning. Ideally, you should limit yourself to working on small sections of about five pages at a time [ 14 ]. After these short sections, your eyes get used to your writing and your efficiency in spotting problems decreases. When reading for content and organization, you should control your urge to edit your paper for sentence structure and grammar and focus only on the flow of your ideas and logic of your presentation. Experienced researchers tend to make almost three times the number of changes to meaning than novice writers [ 15 , 16 ]. Revising is a difficult but useful skill, which academic writers obtain with years of practice.

In contrast to the macrostructure revision, which is a linear process and is done usually through a detailed outline and by sections, microstructure revision is a non-linear process. While the goal of the macrostructure revision is to analyze your ideas and their logic, the goal of the microstructure editing is to scrutinize the form of your ideas: your paragraphs, sentences, and words. You do not need and are not recommended to follow the order of the paper to perform this type of revision. You can start from the end or from different sections. You can even revise by reading sentences backward, sentence by sentence and word by word.

One of the microstructure revision strategies frequently used during writing center consultations is to read the paper aloud [ 17 ]. You may read aloud to yourself, to a tape recorder, or to a colleague or friend. When reading and listening to your paper, you are more likely to notice the places where the fluency is disrupted and where you stumble because of a very long and unclear sentence or a wrong connector.

Another revision strategy is to learn your common errors and to do a targeted search for them [ 13 ]. All writers have a set of problems that are specific to them, i.e., their writing idiosyncrasies. Remembering these problems is as important for an academic writer as remembering your friends’ birthdays. Create a list of these idiosyncrasies and run a search for these problems using your word processor. If your problem is demonstrative pronouns without summary words, then search for “this/these/those” in your text and check if you used the word appropriately. If you have a problem with intensifiers, then search for “really” or “very” and delete them from the text. The same targeted search can be done to eliminate wordiness. Searching for “there is/are” or “and” can help you avoid the bulky sentences.

The final strategy is working with a hard copy and a pencil. Print a double space copy with font size 14 and re-read your paper in several steps. Try reading your paper line by line with the rest of the text covered with a piece of paper. When you are forced to see only a small portion of your writing, you are less likely to get distracted and are more likely to notice problems. You will end up spotting more unnecessary words, wrongly worded phrases, or unparallel constructions.

After you apply all these strategies, you are ready to share your writing with your friends, colleagues, and a writing advisor in the writing center. Get as much feedback as you can, especially from non-specialists in your field. Patiently listen to what others say to you ― you are not expected to defend your writing or explain what you wanted to say. You may decide what you want to change and how after you receive the feedback and sort it in your head. Even though some researchers make the revision an endless process and can hardly stop after a 14th draft; having from five to seven drafts of your paper is a norm in the sciences. If you can’t stop revising, then set a deadline for yourself and stick to it. Deadlines always help.

Rule 7: Revise your paper at the macrostructure and the microstructure level using different strategies and techniques. Receive feedback and revise again.

5. it is time to submit.

It is late at night again. You are still in your lab finishing revisions and getting ready to submit your paper. You feel happy ― you have finally finished a year’s worth of work. You will submit your paper tomorrow, and regardless of the outcome, you know that you can do it. If one journal does not take your paper, you will take advantage of the feedback and resubmit again. You will have a publication, and this is the most important achievement.

What is even more important is that you have your scheduled writing time that you are going to keep for your future publications, for reading and taking notes, for writing grants, and for reviewing papers. You are not going to lose stamina this time, and you will become a productive scientist. But for now, let’s celebrate the end of the paper.
