Urgent Care Business Plan

You’ve come to the right place to create your Urgent Care business plan.

We have helped over 1,000 entrepreneurs and business owners create business plans and many have used them to start or grow their Urgent Care centers.

Below is a template to help you create each section of your Urgent Care business plan.

Executive Summary

Business overview.

SpeedyCare is a new urgent care clinic that serves the residents of Tampa, Florida. The urgent care clinic will be located in an area of town that has few medical facilities and is currently underserved. We offer numerous services to help our patients, including treating minor illnesses, diagnostics, lab testing, X-rays, and more. With our amazing customer service and in-demand medical care, we expect to be the #1 medical facility in the area in the next five years.

SpeedyCare is run by Jennifer Gibbs, who has been a doctor for 15 years. While working at a nearby hospital, she noticed that the facility was overwhelmed because there weren’t any urgent care facilities nearby to share the load. As a result, patients dealt with long wait times or were turned away if their symptoms weren’t severe enough. Jennifer wanted to ensure that every person who is ill or injured receives care so she began planning a new urgent care clinic that would help the local community.

Because of this, Jennifer has dedicated the past few months to starting a successful urgent care clinic so local residents could get the care they need.

SpeedyCare History

Jennifer Gibbs incorporated SpeedyCare as an S-corporation on March 15th, 2023 and found a clinic space soon after. Since its incorporation, SpeedyCare has achieved the following milestones:

  • Hired a contractor for the clinic build-out
  • Determined equipment and fixture requirements
  • Began recruiting key employees with previous healthcare experience

Industry Analysis

Urgent care centers provide essential services to their communities. There are many times where individuals need to get medical care but can’t wait to schedule an appointment with their providers. Urgent care centers provide a quick and easy option to get care urgently for non-emergency situations.

Urgent care clinics offer a wide variety of services. They can treat numerous minor and non-emergency illnesses, injuries, and other conditions. To do this they can run tests, take vitals, provide wellness tests, and provide treatment. Because urgent care centers can help so many people, there has been an observed trend in patients choosing urgent care clinics over their doctor or hospital settings.

According to Grand View Research, the urgent care industry is expected to grow at a CAGR of 10.99% from now until 2030. This is due to the rise in popularity of these centers and the increase in demand for their services. With such expansive growth, this is a great time to start up a new urgent care clinic in an underserved area.

Customer Analysis

Demographic profile of target market.

SpeedyCare will serve the community residents of Tampa, Florida, and its surrounding areas. The community that we will be located in is currently underserved as there are only a few medical clinics and hospitals in the area. Therefore, we expect to be very popular with local residents as we will be providing a service that is in great demand.

Customer Segmentation

The company will primarily target the following customer segments:

  • Middle-class residents
  • Individuals with chronic health conditions

Competitive Analysis

Direct and indirect competitors.

SpeedyCare will face competition from other companies with similar business profiles. A description of each competitor company is below.

St. Michael’s Hospital

Founded in 1985, St. Michael’s Hospital is one of the most popular hospitals in the area. Thousands of residents get all their primary care and emergency care needs taken care of with St. Michael’s. It provides almost every service you can think of and enlists the help of thousands of doctors, nurses, and other expert medical professionals.

However, due to the overwhelming demand for medical care, St. Michael’s has been overwhelmed the past few years. As a result, many patients wait hours for emergency care or get turned away if their symptoms are not deemed severe enough. SpeedyCare is opening to provide fast care to those who have non-emergency conditions.

QuickCare is an urgent care clinic that provides numerous urgent care services. They have numerous locations throughout Florida and have a great reputation for offering fast medical care services.

While QuickCare is successful and offers numerous locations, none of those locations are in our local community. As such, local residents have to travel far if they want to receive care from this clinic. SpeedyCare will be located in the heart of our community, which will be much more convenient for local residents.

Sunshine Hospital

Sunshine Hospital is a major hospital system located on the other side of Tampa. They employ thousands of staff and provide award winning medical services. Their campus is enormous and has over a dozen different facilities. As such, Sunshine Hospital can handle nearly every patient that walks through its doors, whether they have a minor cold or an emergency.

Though Sunshine is a popular and wonderful medical facility, it is located on the other side of town, making it difficult to reach from our community. Residents who don’t have easy means of travel will find SpeedyCare a much more convenient option.

Competitive Advantage

SpeedyCare enjoys several advantages over its competitors. These advantages include:

  • Location : SpeedyCare’s will be located in a community that is currently underserved. We expect to be very popular with the community as our services are in great demand.
  • Patient-oriented service : SpeedyCare will have a staff that prioritizes the needs of the patients and educates them on the proper way to take care of themselves.
  • Management : Jennifer Gibbs has a genuine passion to help the community. Her previous experience and reputation in the medical community make her fully equipped to open this clinic.

Marketing Plan

Brand & value proposition.

SpeedyCare will offer a unique value proposition to its clientele:

  • Client-focused healthcare services
  • Speedy services
  • Big-hospital expertise in a small clinic environment
  • Moderate pricing

Promotions Strategy

The promotions strategy for SpeedyCare is as follows:

SpeedyCare understands that the best promotion comes from satisfied patients. The clinic will encourage its patients to refer their friends and family by providing healthcare benefits for every new client produced. This strategy will increase in effectiveness after the business has already been established.

Social Media

We will maintain a social media presence to attract local clients looking for quality and speedy medical care. We will post information about our team, services, and general health tips for better wellness. To create a genuine connection with our patients, we will also use social media to engage with them and answer any questions they may have about our practice.

SpeedyCare will have an informative and attractive website featuring all its services and referrals from other satisfied patients. The website will be highly informative and be designed in a way that is friendly and eye-catching.

SpeedyCare will invest in a high SEO presence so that the clinic is listed at the top of the Google or Bing search engine when a potential patient is searching for urgent care clinics in Tampa, Florida.

SpeedyCare’s pricing will be moderate so that patients feel they are receiving great value when utilizing our services. We will partner with as many insurance companies as possible to ensure that our patients’ medical care is covered. For services not fully covered by insurance, we offer a flexible payment program so patients are not overwhelmed by their medical bills.

Operations Plan

The following will be the operations plan for SpeedyCare. Operation Functions:

  • Jennifer Gibbs will operate as the CEO of SpeedyCare. She will run all the general operations and executive functions of the company. She will also provide basic medical care for patients until she can hire a full medical staff. Jennifer is joined by Jane Harper, who will serve as the Marketing Manager and run all of the marketing and advertising efforts.
  • Jane is also joined by Matthew Kornei who will serve as the clinic’s Accountant.
  • Jennifer will also hire several Receptionists to check patients into the clinic.
  • Jennifer will also hire a large team of medical staff to treat SpeedyCare’s growing patient list. The team will consist of doctors, nurses, physicians, and other necessary medical staff.

  • 6/202X Hire and train initial staff
  • 7/202X Kickoff of promotional campaign

She is passionate about helping her patients and wants to ensure every person who needs help gets the speedy care they need.

Though she has never run an urgent care clinic herself, she has worked in the industry long enough to gain an in-depth knowledge of the business, including the operations side (e.g., running day-to-day operations) and the business management side (e.g., staffing, marketing, etc.).

Urgent Care Center Business Plan [Sample Template]

By: Author Tony Martins Ajaero

Home » Business ideas » Healthcare and Medical » Urgent Care

Do you want to start an urgent care center and need to write a plan? If YES, here is a sample urgent care center business plan template & feasibility report.

The urgent care industry in recent years have been driven by a new breed of healthcare consumer that wants quality medical care served with the sort of ease that fits snugly into their on-demand lifestyles. The long waits to see a traditional doctor, the lack of after-hours care, and cost-effective healthcare services are booming this business.

Many doctors, private equity firms, and even legacy medical providers such as hospitals and primary care physicians are now beginning to open urgent care clinics. So, if you’re one of those who think urgent care is the right business opportunity for you, then have it in mind that your success requires more than money and a healthcare provider.

A Sample Urgent Care Centre Business Plan Template

1. industry overview.

Urgent care centres are convenient, on-demand care outlets akin to walk-in retail clinics, but instead of treating low-acuity conditions such as bronchitis and minor infections, urgent care clinics are equipped to handle more serious ailments, including fractures, sprains, and wounds. They also offer services like blood tests, stitching, and X-rays.

These centres can serve as a first step in the patient’s journey as well by referring patients to follow-up appointments or ERs. Although these centres are not meant for life-threatening emergencies, urgent care clinics provide easy access to quality healthcare for times when primary care doctor are not readily available.

According to industry reports, the number of urgent care facilities in the united states increased from 6,400 in 2014 to 8,100 in 2018, with another 500 to 600 expected to open. Some 24/7 urgent care centres function like satellite emergency rooms, and incur similar costs, while other centres simply charge co-pays.

Howbeit, urgent care visit is a money-saver for patients. Statistics have it that ER treatment costs were about 10 times more (an average of about $2,200) than in an urgent care centre (about $168) — even for patients with the same diagnosis.

Due to the overlap urgent care centres have with family medicine and emergency medicine, they are more likely to be staffed accordingly with at least one medical physician or specialist, as well as a physician assistant, nurse practitioner, or radiologist available to see patients any time the facility is open.

2. Executive Summary

Rose Petal Clinic (RPC) will be developed to complement the existing acute care hospital (St. Rose Dominican Hospital) located in Henderson, Nevada, to provide direct healthcare access to the populace. Urgent care is the delivery of ambulatory care in a facility dedicated to the delivery of unscheduled, walk-in care outside of a hospital emergency department.

Development of the facility will facilitate access to care providers through extended service hours within closer geographic proximity to patients, families, and caregivers.

Under the leadership of the Nevada Board of Health (BOH), the linkage between Rose Petal Clinic and St. Rose Dominican Hospital will limit the duplication of services that would lead to unnecessary medical spending without discernible quality or service benefits by providing administrative and medical oversight.

By organising RPC under the Nevada BOH, we hope to minimize our operating costs by leveraging the existing infrastructure provided by BOH. The Office of Emergency Services will provide clinical monitoring to ensure quality service provisions.

RPC will also be integrated into the emergent care system of Henderson. We will act to alleviate demand for ED services by shifting lower acute patients to a less resource-intensive environment. Emergent patients entering our clinic will be triaged and stabilized.

Meanwhile, ambulance service will be located at Rose Petal Clinic to transfer emergent patients to the St. Rose Dominican ED. Also, locating ambulances at RPC provides superior response times to the far ends of the city. Our facility design must meet the needs of clinicians and consumers.

We understand that consumers invariably associate the quality of healthcare services with the aesthetics of the site of care. At RPC, our facility will be designed to blend into the local architecture to be a part of our community. Design will focus more on clinical efficiency and safety.

Our urgent care centre will be designed to accommodate urgent patients who must be continually monitored by our staff. Also, the waiting area will remain in the line of sight to a receptionist to quickly respond to patient needs. Our exam room will be located around the central nursing/physician station to allow for continual monitoring.

Additionally, the central workstation will provide our staff the opportunity to remain in constant contact, promoting communication and teamwork. A single entry point will be available at the front of the facility with a separate exit point. An ambulance entrance will also be provided for quick exit by the EMTs located onsite.

3. Our Products and Services

At Rose Petal Clinic, we will provide treatment to patients suffering from non-life-threatening conditions that require quick attention, including bone fractures, pneumonia, flu, and minor lacerations. For decades, hospitals have looked to urgent care centres to reduce rates of inappropriate ED utilization by triaging non-emergent patients to less acute settings.

Non-urgent patients account for well over 10 percent of the average EDs caseload, and semi-urgent cases account for another 20 percent. At the other end of the acuity spectrum, most emergent patients would be better served in an inpatient unit, but many are forced to board in the ED because beds are unavailable. Triaging patients to appropriate site of care properly allocates resources to meet patient acuity and result in better clinical outcomes.

Patients get more abbreviated and pointed clinical work-ups, which provides care more efficiently done by clinicians who are oriented to less intense discovery and intervention. We will also address community needs for convenient, reliable access to care.

Our clinic will fill the gap, acting as mid-level service provider in between that of the ED and GPs. To meet the needs of the community and provide the appropriate level of care without unnecessary duplication of a resource intensive Emergency Department, our clinic will provide basic emergent procedures, diagnoses and treatments.

Although, we plan to ensure that we inform the community about the limitations of our clinic and also maintain St. Rose Dominican ED as the focal point for high-acuity patients. The following are basic list of services we will offer at Rose Petal Clinic;

  • Nursing triage
  • Physician Assessments
  • Minor procedures
  • Basic Lab Services
  • Basic Diagnostic Imaging
  • Vital signs

4. Our Mission and Vision Statement

  • Our mission at Rose Petal Clinic is to promote the health and well-being of the population of Henderson and the State of Nevada by providing accessible, high-quality urgent care for people of all ages.
  • At Rose Petal Clinic, our vision is to provide services that will exceed the expectations of our patients, resulting in a successful and profitable business.

Our Business Structure

6. SWOT Analysis

We understand the importance of the services we want to offer at RPC. We aim to protect lives and provide essential healthcare services to the growing Henderson populace. We’re conducting a detailed SWOT analysis. This SWOT analysis was to understand our key strengths and possible pitfalls in the industry.

We have also taken time, with help from notable experts, to make sure we utilize our strengths and work on our weaknesses. Below is the summary of the SWOT Analysis;

Our strength at RPC will be our direct focus on patient care and the growing importance of preventative care. We plan to implement an aggressive and accurate recall system to remind patients to have regular checkups. Also, the incentives we provide to our staff to benefit from increased profits generated by the clinic will also serve as a strength. Also, our streamlined office system will draw us closer to the heart of our customers.

Our weakness in this market will be the time it will take to make people understand the roles of urgent care centres. Most people believe that any other facility other than a well pronounced hospital is below par. We plan to remedy this weakness with the connection we have already with St. Rose Dominican hospital.

  • Opportunities

Current healthcare services in Henderson are largely concentrated near or within Siena and Rose de Lima areas, suggesting that other parts of the city are left disadvantaged.  Henderson with an estimated population of 310,390 in 2018, boasts of just two major hospitals to attend to the needs of this growing population. We plan to compliment St. Rose Dominican Hospital by providing direct healthcare access to the populace.

We will be competing against already existing businesses in Henderson. These businesses include small and private owned healthcare facilities. Although it won’t be easy for a new entrant in the industry, the services we offer and our alliance with St. Rose Dominican hospital will serve as an advantage.

  • Market Trend

A lot of patients need continued treatment before or even after a hospital stay, causing an increase in demand for outpatient services. Interest in the on-demand, affordable care of urgent care clinics has been rising rapidly. Statistics have it that the total number of urgent care centres in the U.S. reached 8,774 in November 2018 — up eight percent from 8,125 in 2017.

These urgent care clinics handle about 89 million patient visits each year, which includes more than 29 percent of all primary care visits in the US, and nearly 15 percent of all outpatient physician visits. And nearly all of those visits are more convenient and affordable than a trip to the ER.

The UCA’s 2018 Benchmarking Report found that more than 70 percent of patients waited less than 20 minutes to see a provider at an urgent care centre, and nearly 94 percent were seen in less than 30 minutes. Overall, 85 percent of urgent care centres patients are taken care of in under an hour.

Urgent care centres play an increasingly crucial role in the continuum of care, providing services for a wide array of patients who may be unable to see a primary care physician for various reasons, including simply not yet affiliating with one. This is especially true of millennials, who are leading the way in driving demand and increased utilization of urgent care centres.

Just as illnesses evolve and become more complex, urgent care centres become even more valuable. Interdisciplinary skills are quickly becoming a must-have in the healthcare industry , and as a result, medical professionals are learning many valuable skills from areas such as the dental field to social disciplines as well. Also, diversity within the U.S. population—and increased life-expectancy—is changing the entire healthcare system.

As aging communities in the U.S. increase in number and live longer, urgent care centres and all other healthcare facilities must learn and adopt treatments to meet the needs of these communities. Also, the care giving field needs to research, study, and keep up with current research. The best way to do that is by subscribing to a few medical journals. Plenty of advances in medical research are being developed currently.

8. Our Target Market

Our business location boasts of many advantages that will propel our business to success. It is the second-largest city in Nevada, after Las Vegas, with an estimated population of 310,390 in 2018. It is ranked as one of the safest places in Nevada and also one of the best places to raise a family.

Rose Petal Clinic will focus all our energy on providing urgent care services to the entire population. Below are the reasons why we believe Henderson is the best location for us;

  • The people of Henderson rarely have the patience, and often cannot wait more than 30 minutes to see a doctor. They would rather “wait it out” on all but urgent matters.
  • Also, the rate of development in the city due to its ever increasing tourist rate. Henderson is always booming with tourists coming in to enjoy the city’s diverse resources or passing through to other big cities like Las Vegas.
  • Rose Petal Clinic is an urgent care centre, and will treat patients of all ages, incomes, physical abilities, races, and ethnicities. As a UCC clinic, there is no need to create marketing materials targeted at only one or two of these groups, but we can appeal to all with a similar message.

Our Competitive Advantage

The growing population base in Henderson and the limited number of doctors create a great potential for meeting our patient load goals. Most patients when choosing an urgent care clinic go for a place they believe is knowledgeable and skilled to listen and urgently attend to their health needs.

These same people are more likely to return to a health clinic whose location and hours are convenient and accessible, who have short waiting times for getting appointments, whose staff is friendly and helpful, and who work effectively with their insurance provider. These are the sort of services we plan to render in at Rose Petal Clinic.

We will stop at nothing to achieve our business goals and visions. Also, our well conducted and experienced workforce is another advantage we have in Henderson. We have put plans in place to educate our employees on the need to remain friendly and calm with any patient.

  • Sources of Income

Our primary source of revenue at Rose Petal Clinic will be the medical services provided by our workforce. Rose Petal Clinic will provide treatment to patients suffering from non-life-threatening conditions that require quick attention, including bone fractures, pneumonia and flu, and minor lacerations. We will also have additional revenue opportunities by leveraging the convenient retail setting to provide clinical services.

Occupational Safety Testing could be provided utilizing a secure bathroom to provide basic drug testing at a pre-packaged price. Currently the service is offered at the hospital, but is much better suited for a freestanding centre. The diagnostic lab and x-ray services available for our patients could also be offered as a diagnostic referral site for local GPs.

10. Sales Forecast

All our pricing will be set according to Medicare, Medicaid and other insurance regulation so pricing is not a major factor of consideration. The projection below is a very conservative sales forecast for our business for the next three years.

  • First Fiscal Year: $980,000
  • Second Fiscal Year: $1,813,000
  • Third Fiscal Year: $3,422,000
  • Marketing Strategy and Sales Strategy

At Rose Petal Clinic, we intend leveraging a number of marketing strategies that will allow us to easily target men, women, and families living and coming into Henderson. These strategies include traditional print advertisements and ads placed on search engines on the internet.

We also plan to make use of an internet based strategy. This is very crucial to the success of our clinic, as many people seeking local services, such as medical services, go to the Internet to conduct their preliminary searches. We will also register Rose Petal Clinic with online portals so that people in city and those still coming in can easily reach us.

We are currently developing our own website. Our plan is to maintain a sizable amount of print and traditional advertising methods within local markets to promote all the medical services we render at Rose Petal Clinic. We will also maintain an extensive marketing campaign that will ensure maximum visibility for the clinic.

We will also build relationships with doctors all around Nevada and also implement a local campaign in Henderson with flyers, local newspaper advertisements, and word of mouth.

11. Publicity and Advertising Strategy

Our publicity and advertising strategy will be aimed particularly at tourists who visit Nevada. Rose Petal Clinic will run a strong publicity and advertising strategy, which is why we have partnered with Magic Image consulting firm, an advertising firm that specialises in business advertisements, to help us with boosting the image of Rose Petal Clinic.

  • Rose Petal Clinic will pay Magic Image $25,000 to determine the needs of our market and how best we can meet those needs with promotions, literature and other marketing programs.
  • Our Publicity and Advertising campaigns will be partially outsourced to Magic Image due to their expertise on the field
  • Our Admin and Personnel Manager will work with Magic Image to inform potential clients of our clinic and encourage an image of community involvement for Rose Petal Clinic.

12. Our Pricing Strategy

At Rose Petal Clinic, we will use the most advanced computer, server and software systems, as well as Internet connections, in order to optimize the potential EMR and PMS systems software as well as in other software and network system utilized resulting in faster verification, efficient patient information transfer, reduction in administrative costs, computer breakdown or malfunction, as well as allowing outside access for the physician in order to access important patient information for hospital admissions and in other important situations.

We also plan to make use of an outside electronic medical billing company. We at Rose Petal Clinic believe that this option will allow us to focus our strength on patient care satisfaction.

This electronic medical billing company, Winter Health Billings, will use electronic claim billing and filing, which in turn will allow us to fully utilize the benefits of electronics claim filing while at the same time letting us maximize valuable clinic time and man power. Winter Health Billings charge 8 percent of the total expenses collected.

  • Payment Options

At Rose Petal Clinic, we know that good payment options are a powerful business strategy which will attract customers, and we are very much ready to make use of it. We will be bringing payment options that are unique and will make the payment for the service we offer very easy for our customers.

  • Payment by via bank transfer
  • Payment via online bank transfer
  • Payment via check
  • Payment via mobile money
  • Payment with cash

Rose Petal Clinic have partnered with a renowned bank in the country to enable us provide the above payment options. Our bank account numbers will be made available on our website and promotional materials so that it will be easier for clients to make payments when necessary.

13. Startup Expenditure (Budget)

Our industry is capital intensive but at RPC we are ready to make good use of the funds we have. We also acknowledge that prices of equipment can differ across different locations in the country, but the difference we believe can’t be much and can be overlooked. Below is a detailed analysis of how we want to spend our startup capital;

  • The Total Fee for Registering the Business in Henderson, Nevada: $750.
  • Legal expenses for obtaining licenses and permits: $1,500.
  • Marketing promotion expenses: $150,000
  • Cost for hiring Consultant – $55,000.
  • Insurance (general liability, workers’ compensation and property casualty) coverage at a total premium – $30,800.
  • Cost of accounting software, CRM software and Payroll Software – $3,000
  • Cost for leasing facility for the clinic: $100,000
  • Cost for facility remodelling – $50,000.
  • Other start-up expenses including stationery – $1000
  • Phone and utility deposits – $3,500
  • Operational cost for the first 3 months (salaries of employees, payments of bills et al) – $80,000
  • Cost for medical equipment – $1,700,000
  • The cost of Launching a Website: $600
  • Miscellaneous: $5,000

From our detailed analysis above, we will need $2,195,620 to start up Rose Petal Clinic.

Generating Funding/Startup Capital of Rose Petal Clinic

At Rose Petal Clinic, we believe in our workforce and our vision to save lives in a conducive environment. Rose Petal Clinic was founded and will be managed by a great medical doctor Dr Dorothy Connor. The business will be funded by her until we decide to accept investors or partners. Ways we hope to raise our startup capital may include;

  • Generate part of the startup capital from personal savings
  • Generate part of the startup capital from friends and other extended family members
  • Generate part of the capital from the bank (loan facility).

Note : Dr Dorothy Connor has been able to raise $1,500,000 ($1,000,000 from personal savings and $500,000 as soft loans from family and friends) and we are at the final stages of obtaining a loan facility of $1,000,000. We have verified all the necessary procedures to actualize or get our startup cost.

14. Sustainability and Expansion Strategy

Staffing for our clinic will entail supporting the overall emergent system for Henderson.  Rose Petal Clinic will be required to manage emergent cases until transport to St. Rose Dominican is available. Our site selection focuses on increasing access to care and facilitating better emergency and disaster response.

Currently ambulances are based at St. Rose Dominican which doubles response times for emergent events at some parts of the city. Positioning of the ambulance services also factors into the physical placement of our clinic. Our clinic will be situated adjacent to a Fire Service facility in Henderson providing opportunities for coordination of emergency services between our clinic and the city Fire Service.

Rose Petal Clinic will open after the normal working hours of local physicians. Operating during these limited hours will reduce the potential for triplication of services between St. Rose Dominican hospital, GPs, and our clinic. These operating hours also align with the peak ED visit times that significantly trail off after midnight.

Also, based on demand for service and the ability to recruit and train staff, RPC will take a phased approach to increasing hours of operation. Patients will initially be received by the receptionist and then triaged by a nurse or medical assistant.

Each patient will be assessed by a physician. Patient visit times will be approximately 15 minute per visit with a potentially large range explained by various levels of acuity and service intensity required for each patient.

Operational management at our clinic will rest within the Nevada Board of Health and utilize managerial staff to ensure standardization of services and effective implementation of best practices. Billing and records management will be centralized to our billing partner and St. Rose Dominican to benefit from the existing infrastructure.

Medical oversight will integrate our clinic into the emergency system for Henderson and be provided by the Office of Emergency Medicine at St. Rose Dominican Hospital. Our marketing strategies will be reviewed every 6 months to enable us understand what our customers want and how best to reach them.

Welcome to our blog post on how to write a business plan for an urgent care center! With the rapid growth of the urgent care industry, there has never been a better time to enter this market. According to recent statistics, the urgent care industry is projected to reach a value of $26.2 billion by 2023, growing at a CAGR of 5.9%. This highlights the immense potential for success in this field. In this article, we will guide you through the key steps in developing a comprehensive business plan for your urgent care center. Let's get started!

Identify Target Market And Competition

In order to develop a successful business plan for an urgent care center, it is crucial to identify your target market and understand your competition. By doing so, you can effectively tailor your services to meet the needs of your potential customers and identify gaps in the market that you can capitalize on.

Identify your target market: Start by defining the demographic characteristics of your potential customers. Consider factors such as age, gender, income level, and location. For example, your target market may primarily consist of working professionals in their 30s and 40s who require immediate medical attention during non-traditional business hours.

Conduct market research: This step involves gathering information about your target market's preferences, needs, and healthcare habits. Utilize surveys, focus groups, and online research to gain insights into what drives their healthcare decision-making process and how they perceive urgent care centers.

Analyze your competition: Identify existing urgent care centers and healthcare providers in your area that offer similar services. Evaluate their strengths and weaknesses, pricing strategies, marketing efforts, and reputation. This analysis will help you identify opportunities for differentiation and determine how to position your urgent care center in the market.

  • Tip 1: Utilize social media platforms and online forums to gather information about patients' experiences with urgent care centers in your area.
  • Tip 2: Consider conducting a competitive analysis to compare your urgent care center to your main competitors in terms of services offered, pricing, and overall patient satisfaction.

By identifying your target market and understanding your competition, you can tailor your business plan to effectively meet the needs of your potential customers and position your urgent care center as a preferred choice in a competitive market.

Conduct Market Research

Market research is a crucial step in the business planning process for an urgent care center. It allows you to gather valuable information about your target market, understand the competition, and identify opportunities for your business.

1. Identify your target market: Begin by defining the demographic, geographic, and psychographic characteristics of your target market. This will help you understand their needs, preferences, and behaviors, enabling you to tailor your services and marketing efforts accordingly.

2. Analyze the competition: Research existing urgent care centers in your area to determine their offerings, pricing, location, and reputation. This will provide insights into the competitive landscape and help you identify what sets your business apart.

3. Identify market trends and growth potential: Look for industry trends, such as growing demand for urgent care services, advancements in medical technology, and shifts in healthcare policies. Understanding these trends will allow you to anticipate future opportunities and challenges.

4. Gather patient feedback: Conduct surveys or interviews with potential patients to gather feedback on their experiences with urgent care services. This will provide valuable insights into what patients value most, allowing you to tailor your services to meet their needs.

Tips for conducting market research:

  • Utilize online resources, such as industry reports, healthcare databases, and census data, to gather relevant information.
  • Consider partnering with a market research firm to conduct a comprehensive analysis of your target market.
  • Visit and observe existing urgent care centers to understand their operations and customer interactions.
  • Network with healthcare professionals and local agencies to gain insights and build relationships within the industry.

By conducting thorough market research, you will gain a deeper understanding of your target market, competition, and industry trends. This knowledge will inform your decision-making process and enable you to develop a business plan that effectively meets the needs of your urgent care center's future patients.

Determine Services To Be Offered

One of the crucial steps in creating a business plan for an urgent care center is determining the services that will be offered. This step involves carefully considering the specific medical needs of the target market and tailoring the services to meet those needs.

First and foremost, it is important to identify the non-life-threatening medical issues that the urgent care center will address. These may include common ailments such as minor injuries, infections, allergies, and basic diagnostic tests. By focusing on these types of issues, the urgent care center can provide convenient and timely care for individuals who require immediate attention but do not need to visit the emergency room.

In addition to determining the types of medical issues to be addressed, it is important to decide on the specific services that will be provided . This may include general consultations, x-rays, laboratory tests, vaccinations, and minor procedures. Offering a range of services can help attract a broader customer base and provide comprehensive care to patients.

Tips for determining services to be offered:

  • Conduct research on the healthcare needs of the target market to identify common medical issues that require urgent care.
  • Consider the expertise and capabilities of the medical staff to determine the range of services that can be provided.
  • Take into account the resources and equipment available to support the desired services.
  • Stay updated with the latest medical advancements and industry trends to offer innovative services.
  • Consult with healthcare professionals and experts in urgent care to gain insights and recommendations.

By carefully determining the services that will be offered, an urgent care center can differentiate itself from competitors and attract a loyal customer base. Providing convenient, high-quality care for non-life-threatening medical issues can fulfill a vital need in the community and contribute to the success of the business.

Assess Location And Facility Requirements

Choosing the right location and facility for your urgent care center is crucial to its success. Assessing location and facility requirements involves considering various factors that can impact the accessibility, visibility, and functionality of your center. Here are some essential steps to follow:

  • 1. Location: Research the demographics and healthcare needs of the area you plan to serve. Look for areas with a high population density, convenient access to major roads, and a lack of nearby urgent care centers. Consider factors like parking availability, public transportation access, and proximity to pharmacies or other medical facilities that may complement your services.
  • 2. Size and Layout: Evaluate the physical space required to accommodate your urgent care center's operations. Consider the number of patient rooms, waiting area capacity, administrative space, storage areas, and specialized facilities like X-ray or laboratory rooms. Ensure that the facility meets all the necessary local building codes and regulations.
  • 3. Accessibility: Prioritize accessibility for both patients and staff. Look for facilities that have appropriate wheelchair access, ramps, and elevators if needed. Evaluate the location's proximity to major transportation routes and consider the convenience it offers to potential patients seeking urgent medical care.
  • 4. Visibility: Consider the visibility and signage options to attract patients and make your urgent care center easily identifiable. Look for locations with high visibility from the road and adequate space for outdoor signage.
  • 5. Lease or Purchase: Determine whether leasing or purchasing a facility suits your business model better. Assess the financial implications and long-term commitment associated with each option.

Tips for Choosing the Right Location and Facility:

  • Consider conducting a thorough site visit to assess the suitability of a potential location before finalizing any lease or purchase agreements.
  • Engage with local real estate agents or commercial leasing professionals who specialize in healthcare facilities to gain insights and access to potential properties.
  • Study the demographics and healthcare trends of the area to ensure there is an adequate patient base for your services.
  • Consider the possibility of future expansion and growth when evaluating the size and layout of the facility.

Assessing location and facility requirements requires careful consideration to ensure that your urgent care center is accessible, functional, and appealing to patients. By selecting the right location and facility, you can provide convenient healthcare services to your target market while setting the foundation for a successful business.

Develop A Comprehensive Financial Plan

Developing a comprehensive financial plan is crucial for the success of any urgent care center. Here are the important steps to consider when creating your financial plan:

  • Analyze startup costs: Start by determining the initial costs required to set up your urgent care center. This may include expenses such as leasing a facility, purchasing medical equipment, hiring staff, and obtaining necessary licenses and permits.
  • Estimate monthly expenses: Calculate the recurring expenses that your urgent care center will incur on a monthly basis. This may include rent, utilities, salaries, medical supplies, insurance premiums, and marketing expenses.
  • Project revenue: Determine how much revenue you expect to generate each month. This can be done by analyzing the expected number of patient visits, average billing per visit, and the percentage of patients with insurance coverage.
  • Forecast cash flow: Use your projected revenue and expenses to create a cash flow forecast. This will help you understand when and how much cash your urgent care center will generate or require at various stages of operation. It also enables you to plan for potential financial challenges.
  • Research funding options: Investigate different funding options to ensure you have enough capital to start and sustain your urgent care center. You may consider self-funding, seeking investors, applying for business loans, or exploring grants or other financial assistance programs.

Tips for Developing a Comprehensive Financial Plan:

  • Consult with financial professionals: Seek the expertise of accountants or financial advisors who specialize in the healthcare industry to help you accurately assess your financial projections.
  • Consider potential contingencies: Plan for unforeseen circumstances by creating a contingency fund. This can help mitigate any financial risks that may arise and ensure the long-term sustainability of your urgent care center.
  • Regularly review and update your financial plan: As your urgent care center grows and evolves, it is essential to regularly review and update your financial plan. This will help you adapt to changing market conditions and make informed financial decisions.

Developing a comprehensive financial plan provides you with a clear roadmap for managing the financial aspects of your urgent care center. Taking the time to analyze costs, projected revenue, and funding options will help ensure the long-term success and sustainability of your business.

Determine Legal Requirements And Regulations

When establishing an urgent care center, it is crucial to determine the legal requirements and regulations that apply to your business. Compliance with these laws and regulations is essential to ensure smooth operations and avoid legal complications. Here are some key steps to help you in this process:

  • Research local, state, and federal regulations: Start by researching the legal requirements specific to urgent care centers in your local area, state, and at the federal level. This will provide you with a comprehensive understanding of the regulations you need to comply with.
  • Identify licensing and certification requirements: Check the licensing and certification requirements for operating an urgent care center. This may include specific permits, certifications, or licenses from regulatory bodies such as the Department of Health. Ensure that you have all the necessary documentation to legally operate your center.
  • Comply with healthcare laws and regulations: As a healthcare facility, you must comply with various healthcare laws and regulations, such as patient privacy and confidentiality laws (e.g., HIPAA). Familiarize yourself with these laws and implement necessary measures to protect patient information.
  • Ensure appropriate staffing and credentialing: Verify the legal requirements for hiring medical professionals and staff members. Ensuring that your staff meets the necessary licensing and credentialing requirements is vital for delivering high-quality care and maintaining compliance.
  • Establish billing and coding practices: Familiarize yourself with the legal requirements related to billing and coding practices for healthcare services. Understanding coding protocols and documentation requirements will help you navigate insurance reimbursement processes correctly.
  • Consider seeking legal counsel: Consulting an attorney who specializes in healthcare law can provide valuable insights and guidance throughout the process of determining legal requirements and regulations.
  • Stay updated on changes: The healthcare industry is subject to evolving regulations. Stay informed about any updates or changes in laws, ensuring ongoing compliance to avoid legal issues.
  • Network with regulatory agencies: Building relationships with local regulatory agencies can help you stay informed and navigate the legal landscape more effectively.

By carefully determining the legal requirements and regulations applicable to your urgent care center, you can operate within the confines of the law and provide quality care to your patients. Adhering to these legal obligations will also help foster trust and credibility with both patients and regulatory authorities.

Create A Marketing And Advertising Strategy

Marketing and advertising are vital components of any successful business. When establishing an urgent care center, it is crucial to create a comprehensive marketing and advertising strategy to increase awareness and attract potential patients. Here are key steps to consider:

  • Identify your target audience: Begin by identifying your ideal patient demographic. Determine the age range, geographic location, and medical needs of your target market. This information will help you tailor your marketing efforts effectively.
  • Define your unique selling proposition (USP): Clearly outline what sets your urgent care center apart from competitors. Is it shorter wait times, convenient hours, specialized services, or exceptional customer service? Highlight your USP in your marketing messages to attract potential patients.
  • Establish a strong online presence: In today's digital age, having a robust online presence is essential. Create a professional website that showcases your services, staff, and facility. Optimize your website for search engines, making it easier for potential patients to find you online. Utilize social media platforms, such as Facebook, Twitter, and Instagram, to engage with your audience and share valuable healthcare information.
  • Utilize traditional advertising methods: While digital marketing is crucial, don't overlook traditional advertising methods. Consider placing ads in local newspapers, magazines, and community bulletin boards. Leverage radio and television advertisements to reach a wider audience. Sponsor local events or host community health fairs to increase brand visibility.
  • Implement referral programs: Develop partnerships with local healthcare providers, such as primary care physicians and specialists, to establish referral programs. Offer incentives to encourage them to refer patients to your urgent care center. This collaboration can strengthen your reputation and attract a steady stream of patients.

Tips for Creating an Effective Marketing and Advertising Strategy:

  • Stay updated with healthcare industry trends and adapt your strategies accordingly.
  • Monitor and analyze your marketing efforts to determine which channels and tactics generate the most results.
  • Consider hiring a marketing professional or agency with expertise in the healthcare industry.
  • Regularly communicate and collaborate with your marketing team to refine and improve your strategies.

By creating a well-rounded marketing and advertising strategy, you can effectively promote your urgent care center, increase patient flow, and establish a strong brand presence in the healthcare market. Remember to continuously assess the success of your marketing efforts and make adjustments as needed to achieve the desired outcomes.

Develop an Operational Plan

The operational plan is a crucial part of a business plan for an urgent care center as it outlines the day-to-day activities and processes necessary for the center to function effectively. This plan details the tasks, responsibilities, and procedures required to deliver high-quality care to patients.

1. Define the workflow: Start by identifying the key operational activities involved in running an urgent care center. This can include patient registration, triage, medical examinations, diagnostic tests, treatment, and discharge procedures. Clearly define each step and establish the sequence in which they should be carried out.

2. Establish staffing requirements: Determine the number and types of healthcare professionals needed to efficiently operate the center. This could include doctors, nurses, medical assistants, laboratory technicians, and administrative staff. Take into consideration the patient volume, clinic hours, and skill requirements to ensure appropriate staffing levels.

3. Create standard operating procedures (SOPs): Develop SOPs for each operational activity to ensure consistency and quality in patient care. These written guidelines should outline the step-by-step processes and protocols for each task, including infection control measures, medication administration, record-keeping, and handling emergencies.

4. Implement quality control measures: Establish mechanisms to monitor and evaluate the quality of care provided. This can include regular audits, patient satisfaction surveys, and clinical outcome measures. Continuously strive to improve the operational processes based on feedback and data analysis to enhance patient experience and outcomes.

5. Source necessary equipment and supplies: Compile a detailed list of medical equipment, supplies, and pharmaceuticals needed to support the provision of urgent care services. Ensure the availability of essential diagnostic tools, treatment supplies, personal protective equipment, and medications. Establish relationships with reliable vendors to maintain a consistent supply chain.

Tips for Developing an Operational Plan:

  • Collaborate with healthcare professionals experienced in urgent care to gain valuable insights into operational requirements and best practices.
  • Regularly review and update the operational plan to adapt to changes in the healthcare industry, regulations, and patient demands.
  • Invest in advanced technology and electronic medical record systems to streamline processes and improve efficiency.
  • Train staff on the operational procedures and provide ongoing education to stay updated on the latest medical advancements and best practices.

By developing a comprehensive operational plan, an urgent care center can ensure efficient workflow, high-quality care, and a positive patient experience. This plan serves as a blueprint for success, allowing the center to meet the healthcare needs of the target market effectively.

Identify Key Personnel And Their Roles

As you develop your business plan for an urgent care center, it is essential to identify the key personnel who will play a crucial role in the success and operation of your center. These individuals will help ensure efficient and quality patient care, smooth operations, and effective management. Here are some important positions and their roles to consider:

  • Medical Director: The medical director is a licensed physician who oversees all medical aspects of the urgent care center. They will supervise and collaborate with other healthcare providers, develop clinical protocols, and ensure the highest standard of care is provided.
  • Managing Director: The managing director is responsible for the overall management and administration of the urgent care center. They oversee day-to-day operations, develop and implement policies and procedures, manage finances, and coordinate with staff members.
  • Registered Nurse (RN): Registered nurses are an integral part of the urgent care center's team. They provide patient care, administer medications, assist with procedures, triage patients, and ensure efficient clinic flow. Having experienced and skilled RNs helps maintain quality care and patient satisfaction.
  • Receptionist: The receptionist serves as the initial point of contact for patients and plays a crucial role in providing excellent customer service. They schedule appointments, greet patients, manage administrative tasks, handle phone calls, and maintain patient records. A friendly and organized receptionist is vital for creating a positive first impression.
  • Medical Assistants (MAs): Medical assistants support healthcare providers in delivering patient care by performing various clinical and administrative tasks. They may assist with taking vital signs, performing procedures, collecting specimens, maintaining equipment, and managing medical records.
  • Pharmacy Technician: If your urgent care center dispenses medications, having a pharmacy technician on staff can help ensure accurate and efficient medication management. They assist with medication inventory, prepare prescriptions, provide information to patients, and maintain a safe and organized pharmacy area.

Tips for Identifying Key Personnel:

  • Consider the size and scope of your urgent care center to determine the number of personnel needed for each role.
  • Ensure that the individuals you choose for key positions have the necessary qualifications, experience, and licenses to perform their roles effectively.
  • Collaborate with medical professionals and industry experts to identify additional key personnel specific to the services you plan to offer.
  • Clearly define the responsibilities and expectations for each role in order to create a cohesive and efficient team.
  • Periodically review and evaluate the performance of key personnel to ensure ongoing success and adaptability to changing market needs.

By identifying the key personnel and their roles in your business plan, you demonstrate a clear understanding of the staffing needs and organizational structure of your urgent care center. This will not only attract potential investors and stakeholders but also help guide your recruitment and hiring process as you bring your business plan to fruition.

In conclusion, writing a business plan for an urgent care center involves a thorough and systematic approach. By following the nine steps outlined in this checklist, you can ensure that your business plan is comprehensive and well-prepared. Identifying your target market, conducting market research, determining services to be offered, assessing location and facility requirements, developing a financial plan, understanding legal requirements and regulations, creating a marketing and advertising strategy, developing an operational plan, and identifying key personnel and their roles are all key components of a successful business plan for an urgent care center.

The Ultimate Urgent Care Startup Checklist

The $38.5 billion urgent care industry is growing faster than ever. According to industry statistics , there are more than 9,400 urgent care centers in the United States —a 46 percent increase since 2014. Now is the opportunity to make your mark on the industry by opening your practice.

These facilities provide medical care on an unscheduled, walk-in basis and primarily treat patients who have an illness or injury that requires immediate care but is not dire enough to warrant a trip to a hospital emergency room.

There are many things that factor into the business end of opening this type of medical center. We’ve put together a basic urgent care startup checklist to help you understand the steps needed to get off the ground.

Table of Contents

1. Create a Business Entity

The first step on the urgent care startup checklist is for you to decide what type of business entity you plan to establish. There are various types of business structures, including sole proprietorship, partnership, corporation, and limited liability company (LLC) .

Because an urgent care center has the potential to generate profit, grow at a good pace, and carry a moderate amount of risk, an LLC is a good choice. An LLC can provide you with the following:

  • Personal Liability Protection – Under an LLC, your personal assets (car, house, bank account) are protected in the event your business is sued or if it defaults on a debt.
  • Tax Benefits – LLCs have options to customize their tax structure. This allows you to use the best tax strategy to benefit your urgent care business’s bottom line.
  • Growth Potential – LLCs can grow in profit and risk because they provide personal liability protection and tax benefits.
  • Build Credibility and Consumer Trust – LLCs gain more trust from banks and consumers than informal business structures like sole proprietorships. This can impact your business’s ability to receive loans and can affect marketability.

2. Acquire an Employer ID Number (EIN)

One of the key responsibilities on your urgent care startup checklist is obtaining an Employer Identification Number (EIN) . It is also referred to as the Federal Employer Identification Number (FEIN) or the Federal Tax Identification Number.

It is a unique nine-digit number issued by the Internal Revenue Service (IRS) to identify your business for tax purposes. It is like a social security number but for businesses. You will need this number to open a business bank account, apply for business licenses, and file your tax returns.

3. Register and Research Your Business Name

Depending on the location and structure of your business, you may need to register your business with local and state governments. In most cases, the total cost to register your business will be less than $300. You can check with the secretary of state’s office in your area to find out what they require.

You will also need to research your business name availability. It may already be taken. You should also check to see if the domain name is available for your website. You will want to make sure your business name and entity are approved before you get any signage, business cards, and brochures printed.

4. Establish a Business Bank Account

Once you’ve registered your business, the next step on your urgent care startup checklist is to open a business checking account and credit card account.

5. Create a Business Plan

One of the most important items on your urgent care checklist is to create a business plan that will be the foundation of your walk-in clinic. You’ll need to include the following:

  • Executive Summary – Provide a summary of your entire proposal.
  • Company Summary – Describes the organizational structure of your business and its key players.
  • Services Description – Explain what services you will be offering and how you will price them.
  • Sales and Marketing – Delivers an overview of how people will learn about your business.
  • Management Summary – Highlights the ownership structure.
  • Operational Plan – Details information on the facilities and staff, along with the supplies you’ll require.

6. Secure Funding

Perhaps one of the most challenging tasks on the urgent care startup checklist is securing funding for your new business. One of the primary reasons any new business fails is the lack of working capital during the startup phase.

You’ll want to make sure you have a solid financial plan and robust funding to get your business off the ground. You will want to invest some of your own money and find other investors who are also willing to contribute funding before you approach a lender.

The Small Business Administration has a lender match function to help you find funding for your urgent care clinic. In addition to a small business loan, you may also be eligible for federal funding in the form of grants, loans, or contracts if your walk-in clinic will serve the unmet needs of a community.

7. Research State Licensing Requirements

You will need to determine what type of licenses your urgent care center needs to operate in your area. To do this, contact the licensing agency in your state or check with the local chamber of commerce for assistance.

Researching licensing requirements is an important task on your urgent care startup checklist because requirements in every state are vastly different. It can also take several months to get some licenses, so plan accordingly when considering an opening date.

8. Obtain Business Insurance

Before you open your urgent care clinic , it is imperative for you to get adequate business insurance. Here are some of the types of insurance you will need:

  • Professional liability insurance – Also called “errors and omissions” insurance, this protects you from claims of negligence, malpractice, or incompetence.
  • General liability insurance – This type of insurance protects you against claims involving third-party bodily injury and property damage arising from your product or operation.
  • Cybersecurity insurance – With all the hack attacks, you may also want to consider an insurance policy that protects you from some HIPAA penalties arising from a computer breach that could expose sensitive information about patients.

9. Select a Location for Your Urgent Care

Where you choose to open your urgent care clinic will be one of the most important decisions you will make. You will want to select a location that is near your target patients.

You will also want to make sure the location has high visibility and is easily accessible with plenty of parking. Analyze the demographics, competition, and market so you can make a sound decision on the location.

10. Hire Staff

Since your urgent care business will deal directly with patients in need of medical attention, you want to hire employees who reflect your vision and provide the best possible care. Your business reputation depends on the quality of care you provide.

Networking is one of the best ways to connect with top-rated facility managers and quality medical professionals who may desire a change from the high-stress halls of the emergency room or need a change of pace from a primary care office.

11. Equipment and Services

Another essential step on the urgent care startup list is understanding the proper equipment you will need to run your business. From computer systems to exam tables, you will need to establish relationships with medical equipment wholesalers to get the best deals. You will also need to decide what services you will provide and at what cost.

12. The Franchising Option

If all the above is making you rethink opening your urgent care business, you might consider investing in a franchise such as American Family Care (AFC). One of the major advantages of becoming a franchise owner is that so many of these decisions and resources listed above are already in place.

If you have no experience in the field, a franchise will provide the necessary training and support. The business plan has already been created, and you, as the franchisee, follow the established model.

American Family Care is the original urgent care franchise, and its founder, Dr. Bruce Irwin, is an industry pioneer.  AFC operates more than 240 clinics with 600 in-network physicians caring for nearly 3 million patients a year. AFC is the nation’s leading provider of urgent care , accessible primary care, and occupational medicine.

One of the biggest benefits of being part of a franchise is the business that comes through the partnership. You will receive the company’s name value and brand awareness that resonates with the customers.

That means less time promoting the business and attracting clients, so you can focus on running daily operations. Marketing and PR are part of the franchise agreement, giving you additional visibility and additional customers. American Family Care franchise owners receive these benefits to help them establish and grow their businesses.

A lot of work and preparation goes into starting an urgent care business . The advantage to buying a franchise is that many decisions are already made, and the support and resources are there for you.

Your chances of doing well with your venture are greatly increased when you join the ranks of franchisees rather than going it alone.

Urgent Care Centers: 5 Planning Mistakes to Avoid & How to Prevent Them

  • MicroMD HIT Research Team
  • blogMD , Urgent Care

Which mistake are you making?

With any startup business venture, there are a number of pitfalls that can cause trouble for the new business, from small headaches to fatal mistakes. Urgent care startups are no different. Here we detail five mistakes that urgent care startups make and how to prevent them.

Mistake #1: Selecting a poor location for your urgent care centers

Choosing a solid location requires a delicate balance. While it can be tempting to stick with the familiarity of your hometown, this may not be the best course of action. If adequate access to care already exists in a community, this is not the right location. Another bad choice is opening in a small community with a declining population. Opening in a community with a strong population increases the potential for a lot of future patients.

How do you select a good location for you urgent care practice?

It’s important to choose your location by focusing on site visibility and how much competition you can expect. Use the following questions to qualify any location:

  • Does the location sit on a high traffic road?
  • Is it near a strong retail anchor?
  • What kind of signage opportunities are available?
  • Is there a need for an urgent care facility in this area?

Make sure to choose a location with a strong population that doesn’t currently have a large urgent care presence. Placing your clinic in a high traffic area with plenty of clear signage is critical for success.

Mistake #2: Underestimating the investment needed to start an urgent care

It’s no secret that any urgent care startup needs money to get going and will experience a waiting period before turning a profit. Miscalculating the amount of money needed to get started is easy and this can quickly become the kiss of death for your clinic.

How can you determine the required investment for your new urgent care?

Plan for every possible financial need and challenge during your startup period. Remember that your capital costs go beyond simply buying equipment and paying rent. You’ll also need cash-on-hand to keep you solvent while you get your accounts receivable going, a process that could easily take a few months. Make sure you set realistic expectations of your money coming in versus going out to avoid any unpleasant surprises.

Mistake #3: Failing to create (and follow) a solid urgent care business plan

The three planning mistakes an urgent care startup can make:

  • Not creating a business plan at all
  • Not writing a thorough business plan
  • Blindly sticking to a business plan even if it isn’t working

How can you create a strong express care business plan?

Make a strategic business plan based on accurate data from current statistics and include educated projections for the future. Also, prepare to have a level of flexibility with your plan. If you base your organization’s business plan on solid information it should hold up, but if it becomes clear you need to make changes don’t be afraid to do so.

Mistake #4: Skimping on practice management/EHR software

Choosing the right electronic health records software (EHR) can be intimidating. It can also be tempting to decide not to purchase EHR, if you need to keep costs low as a startup. However, not investing in adequate software now will only hurt your productivity in the long run. This mistake alone will cost you over time.

How can you be sure you’re choosing the right EHR software?

Do your research. Ask colleagues in the field what practice management software they use and what EHR systems they’ve heard about, both good and bad. Study purchasing guides and vendor websites. Get demos of the software products you think might work and ask plenty of questions. When it comes time to sign on the dotted line, resist the urge to choose the least expensive option based on price alone. Choose the vendor that best fits your business model and processes of your unique urgent care practice.

Mistake #5: Inefficient patient billing

There are many ways to mess up when it comes to billing, but the two main mistakes to avoid are choosing an inexperienced person to do your billing and not having a defined billing process. Remember, your billing operation will control your revenue stream so it’s important to have timely reimbursements from your payers.

How can you be sure your billing process will hold up?

First, decide if you’ll do your billing in-house or contract out to a third party. Many urgent cares elect to use a revenue cycle service (RCS) for their billing needs. If you choose an RCS, look for one that is experienced in the specific needs of express care centers and make sure you’re being offered a clear package or listing of the services you’ll be receiving. If you decide to do your billing in-house, hire dedicated billing and coding staff who have ample experience with reviewing claims for accuracy and filing in a timely fashion. Whether you keep your billing internal or hire it out, define your billing process clearly before you open so that you have a plan of what to expect.

As with any startup business, it can be easy to make mistakes when getting an urgent care off the ground. Remember to plan carefully, choose a quality location, be realistic about funding, develop an efficient billing process, and choose the right EHR software.

Recent trends in the Medical Practice industry, such as the shift towards value-based care and the increasing use of telemedicine, are particularly favorable for new entrants like MediTrust Clinic. These trends emphasize the importance of providing high-quality, cost-effective care to patients, which aligns with MediTrust Clinic’s commitment to delivering personalized and accessible healthcare services to the residents of Omaha, NE.

Below is a description of our target customers and their core needs.

Target Customers

MediTrust Clinic will target a diverse range of local residents, encompassing individuals and families seeking primary healthcare services. This broad customer segment is characterized by a need for reliable, accessible healthcare solutions close to home. The clinic will tailor its services to meet the varied healthcare needs of this demographic, ensuring a comprehensive approach to wellness and preventive care.

Additionally, MediTrust Clinic will also focus on serving the elderly population within the community. This segment is in need of specialized care and frequent medical attention. By offering geriatric care and chronic disease management, the clinic will address the specific health concerns prevalent among senior citizens, thus establishing itself as a preferred healthcare provider in the area.

MediTrust Clinic will also cater to the needs of young professionals who often prioritize convenience and efficiency. By incorporating telehealth services and offering flexible appointment schedules, the clinic will attract this busy demographic. This approach is essential for accommodating the healthcare needs of working professionals who might otherwise neglect their health due to tight schedules.

Customer Needs

MediTrust Clinic fulfills a crucial need for high-quality primary care and medical services that residents in the area deeply desire. Patients can expect a comprehensive approach to their health, ensuring that both their immediate and long-term care needs are meticulously addressed. This focus on quality care not only meets but exceeds the expectations of those seeking reliable and thorough medical attention.

In addition to primary care, MediTrust Clinic recognizes the importance of accessibility and convenience for its patients. The clinic provides flexible scheduling options, including the availability of appointments outside of traditional working hours, to accommodate the busy lives of its patients. This commitment to accessibility ensures that individuals can receive the care they need when they need it, without having to compromise their daily responsibilities.

Furthermore, MediTrust Clinic places a strong emphasis on patient education and preventative care, empowering individuals to take an active role in their health management. Patients have access to resources and guidance that help them understand their health conditions and the steps they can take to maintain or improve their well-being. MediTrust Clinic’s competitors include the following companies:

Nebraska Medicine Immediate Care Clinic – Midtown offers a wide range of urgent care services, including treatment for illnesses, minor injuries, and preventative care. Their price points are competitive within the market, aiming to provide affordable care options for individuals without insurance or with high deductibles. The clinic generates substantial revenue by serving a broad customer base, including residents of Omaha and surrounding areas. Key strengths of Nebraska Medicine Immediate Care Clinic – Midtown include its central location, extended hours of operation, and the backing of the Nebraska Medicine network, which ensures access to a wide range of medical specialties. However, a potential weakness is the clinic’s dependency on the larger Nebraska Medicine infrastructure, which could impact flexibility in services and pricing.

South Side Convenient Care caters to urgent and primary care needs, offering services from routine check-ups to treatment for minor emergencies. Their pricing strategy is designed to be transparent and accessible, appealing to families and individuals seeking cost-effective healthcare solutions. The clinic enjoys a steady stream of revenue through a mix of insurance reimbursements and out-of-pocket payments from patients. Located in a residential area of Omaha, South Side Convenient Care primarily serves the local community, providing a convenient healthcare option for those living in the southern part of the city. A key strength is its community-focused approach, which includes personalized care and patient education. However, a limitation is its single location, which may restrict access for patients living further away or in neighboring cities.

Fred & Pamela Buffett Cancer Center specializes in oncology services, offering cutting-edge cancer treatment, research, and support services. Their pricing reflects the specialized nature of their services, with treatments potentially running high due to the use of advanced technologies and therapies. The center generates significant revenue, supported by its reputation as a leading cancer treatment and research facility in the region. It serves a wide geographic area, attracting patients from across Nebraska and neighboring states seeking specialized cancer care. The center’s strengths include its comprehensive approach to cancer treatment, access to the latest research, and a multidisciplinary team of experts. However, the high cost of services and the focus on cancer care exclusively could be seen as limitations for individuals seeking more generalized healthcare services.

Networking with other healthcare professionals and local businesses also provides referral opportunities, further expanding the clinic’s reach.

Traditional advertising methods, such as local newspaper ads and radio spots, complement the clinic’s digital marketing efforts. These mediums target a broader audience, ensuring that information about MediTrust Clinic reaches individuals who may not be active online. Moreover, offering an excellent patient experience remains at the core of MediTrust Clinic’s promotional strategy. Word-of-mouth referrals from satisfied patients are invaluable, serving as a testament to the clinic’s quality of care and customer service.

Urgent care facilities have become extremely popular businesses for qualified physicians to own over the past 15 years. As the cost of medical care have increased substantially, people are frequently looking for alternatives to hospitals to treat severe but not critical conditions. As such, urgent care facilities have bridged the market gap between going to a physician’s office and going to hospital. Frequently, these businesses operate on a 24 hour day. And always have the appropriate staff consisting of physicians as well as nurse practitioners to render services the general public. The startup costs for a new urgent care facility can vary greatly, but generally they rent range anywhere from $300,000 to $1 million to start up depending on whether or not they are located within an existing facility or they are developing a standalone facility. The gross margins generated by an urgent care facility are similar to that of medical practice, which are extremely high. These businesses, as with most other healthcare related businesses, are able to remain profitable and cash flow positive at all times.

An urgent care center business plan should have a three year profit and loss, cash flow analysis, balance sheet, breakeven analysis, and business ratios page included within the document. Again, banks and lenders love to place capital with urgent care centers given their highly stable economic nature as well as the fact that a majority of the capital being used is goes towards tangible purchases. It should be noted that an urgent care center should have a substantial amount of working capital on hand given that medical and healthcare invoices usually require 90 days to 120 days to clear. As such, a owner of an urgent care facility and their CPA should work closely together to determine what the underlying working capital needs will be during the first six months of operation.

A marketing plan for an urgent care facility should also be developed so that people can easily find the business during times of a medical emergency. As many people now use the Internet to find services, it is very important that the urgent care facility maintains an expansive website that is registered with major search engines including Google, Bing, Yahoo, as well as other less frequently used search engines. Additionally, many of these businesses also maintain profiles on popular social networking websites including FaceBook, twitter, and Google. It is very important that people are very are able to very easily find the website so that they can get directions and put that into their smart phones or GPS systems.

After a business plan and marketing plan have been developed, usually most owners of urgent care facilities will develop a SWOT analysis. This includes a discussion regarding strengths, weaknesses, opportunities, and threats. For strengths, and urgent care facilities revenues are immune from negative changes in the in the economy. Additionally there are very high barriers to entry. For weaknesses, that really are not too many weaknesses associated with an urgent care facility outside of the very high operating expenses and liability insurance policies that need to be maintained at all times. Pertaining to opportunities, most owners of these businesses will frequently establish multiple locations in order to service a greater part of the market. Most importantly, it is very easy to obtain the capital needed in order to establish satellite locations. For threats, as with any healthcare business, there remains continued uncertainty regarding publicly funded healthcare system reimbursement as well as changes to private insurance. As such, these businesses need to keep a close watch on any regulatory changes that would impact their revenues.

How to Start an Urgent Care: Tips for Clinic Design and Setup

How to Start an Urgent Care: Tips for Clinic Design and Setup

Some of the most difficult decisions in figuring out how to start an urgent care revolve around selecting, designing and setting up the physical space.

Acquiring or constructing space for your new practice can be expensive, so you should know what you will need and can afford to meet requirements, while planning for future additions if possible.

Clinic Space

General guidelines for sizing indicate that for each provider in your practice you will need four to five exam rooms (9′ x 9′), one radiology suite, a centralized nursing area, and one procedure room. Your clinic must have a welcoming reception area, medical record/business office designed for privacy, an enclosed break room, doctor’s office and adequate storage space. In addition, you will need restrooms in your waiting room, for your staff, for clinical use and for drug screening (preferably one designed with Department of Transportation rules in mind).

It’s best to have shared space for reception, lab, and nursing areas when blending urgent care, occupational health, physical therapy, and/or primary care; however, planning for the future development of any of these services may require careful planning early on in order to reduce the construction cost and prevent possible poor patient flow.

Areas for your patients should be comfortable and efficient, while allowing for patient privacy. Your waiting room should be inviting with media, Wi-Fi, and a centralized nursing station. and discharge routing past the business office or reception desk. For patient privacy and efficiency, it’s helpful to have the x-ray suite near the procedure room.

Equipment Your practice and budget will determine what your radiology requirements will be. A CR Suite (Computerized Radiology) can range between $65,000 for a with a picture archiving and communication system (PACS). A DR Suite (Digital Radiology) can cost up to $95,000, also with PACS. You must order a PACS to manage x-ray images in your new urgent care. Also remember, a physicist must work with you to finish plans and installation of your radiology suite, avoiding issues during final inspection.

Other capital equipment you will need to consider includes exam tables, diagnostic devices, and procedure lights. These can be leased, which provides greater tax deductions and avoids operational capital you might need for something else. Or you can purchase these items, with refurbished equipment a viable consideration. You will also want to limit duplicate equipment within the clinic.

Other Considerations You will want to include computer wiring, wireless access, counter space, water, and cabinetry in exam rooms. Also, be sure to include plenty of electrical outlets. If you are building your space, verify contractors’ references and don’t hire without looking at their completed work. Once building starts, regularly visit the site of your new urgent care and keep contractors on schedule and on design. However, recognize that there could be delays.

Start your urgent care center planning early with a well-designed business plan including a comprehensive timeline and a great location visible to passing traffic. Move on to financing, designing space and purchasing equipment. Be sure to start your credentialing and contracting, marketing and EMR/PM software selection 8 to 12 months before your projected opening date. You can be successful.

About medical services in Moscow

Moscow polyclinic

Moscow polyclinic

Emergency medical care is provided free to all foreign nationals in case of life-threatening conditions that require immediate medical treatment. You will be given first aid and emergency surgery when necessary in all public health care facilities. Any further treatment will be free only to people with a Compulsory Medical Insurance, or you will need to pay for medical services. Public health care is provided in federal and local care facilities. These include 1. Urban polyclinics with specialists in different areas that offer general medical care. 2. Ambulatory and hospitals that provide a full range of services, including emergency care. 3. Emergency stations opened 24 hours a day, can be visited in a case of a non-life-threatening injury. It is often hard to find English-speaking staff in state facilities, except the largest city hospitals, so you will need a Russian-speaking interpreter to accompany your visit to a free doctor or hospital. If medical assistance is required, the insurance company should be contacted before visiting a medical facility for treatment, except emergency cases. Make sure that you have enough money to pay any necessary fees that may be charged.

Insurance in Russia

Travelers need to arrange private travel insurance before the journey. You would need the insurance when applying for the Russian visa. If you arrange the insurance outside Russia, it is important to make sure the insurer is licensed in Russia. Only licensed companies may be accepted under Russian law. Holders of a temporary residence permit or permanent residence permit (valid for three and five years respectively) should apply for «Compulsory Medical Policy». It covers state healthcare only. An employer usually deals with this. The issued health card is shown whenever medical attention is required. Compulsory Medical Policyholders can get basic health care, such as emergencies, consultations with doctors, necessary scans and tests free. For more complex healthcare every person (both Russian and foreign nationals) must pay extra, or take out additional medical insurance. Clearly, you will have to be prepared to wait in a queue to see a specialist in a public health care facility (Compulsory Medical Policyholders can set an appointment using EMIAS site or ATM). In case you are a UK citizen, free, limited medical treatment in state hospitals will be provided as a part of a reciprocal agreement between Russia and UK.

Some of the major Russian insurance companies are:

Ingosstrakh , Allianz , Reso , Sogaz , AlfaStrakhovanie . We recommend to avoid  Rosgosstrakh company due to high volume of denials.

Moscow pharmacies

Pharmacies can be found in many places around the city, many of them work 24 hours a day. Pharmaceutical kiosks operate in almost every big supermarket. However, only few have English-speaking staff, so it is advised that you know the generic (chemical) name of the medicines you think you are going to need. Many medications can be purchased here over the counter that would only be available by prescription in your home country.

Dental care in Moscow

Dentamix clinic in Moscow

Dentamix clinic in Moscow

Dental care is usually paid separately by both Russian and expatriate patients, and fees are often quite high. Dentists are well trained and educated. In most places, dental care is available 24 hours a day.

Moscow clinics

«OAO Medicina» clinic

«OAO Medicina» clinic

It is standard practice for expats to visit private clinics and hospitals for check-ups, routine health care, and dental care, and only use public services in case of an emergency. Insurance companies can usually provide details of clinics and hospitals in the area speak English (or the language required) and would be the best to use. Investigate whether there are any emergency services or numbers, or any requirements to register with them. Providing copies of medical records is also advised.

Moscow hosts some Western medical clinics that can look after all of your family’s health needs. While most Russian state hospitals are not up to Western standards, Russian doctors are very good.

Some of the main Moscow private medical clinics are:

American Medical Center, European Medical Center , Intermed Center American Clinic ,  Medsi , Atlas Medical Center , OAO Medicina .

Several Russian hospitals in Moscow have special arrangements with GlavUPDK (foreign diplomatic corps administration in Moscow) and accept foreigners for checkups and treatments at more moderate prices that the Western medical clinics.

Medical emergency in Moscow

Moscow ambulance vehicle

In a case of a medical emergency, dial 112 and ask for the ambulance service (skoraya pomoshch). Staff on these lines most certainly will speak English, still it is always better to ask a Russian speaker to explain the problem and the exact location.

Ambulances come with a doctor and, depending on the case, immediate first aid treatment may be provided. If necessary, the patient is taken to the nearest emergency room or hospital, or to a private hospital if the holder’s insurance policy requires it.
