Creating a Business Plan

The decision to create a business plan is an important one, whether you are starting a new business or growing an established one. A solid business plan is fundamental to long-term business success.

It serves two main purposes:

  • It acts as a roadmap for your business.
  • It is a tool that helps you obtain outside financing.

While the phrase “creating a business plan” may conjure up feelings of trepidation and dread, it will not be as difficult if you break your business plan down into its more essential parts.

Why Do You Need a Business Plan?

Benjamin Franklin said it best: “If you fail to plan, you are planning to fail.” While a business plan will not guarantee success, failing to have one almost guarantees that you will not find the success you seek.

Remember the roadmap analogy? It is an accurate one to consider. The first thing you need to do before creating the roadmap, though, is to figure out where you are heading.

In order to do that, you should ask yourself four simple questions.

  • How do you want your business to look in one year?
  • How would you like it to look in three years?
  • Where do you want to see your business going in five years?
  • What would you like to have accomplished by your tenth year in business?

Seek the answers to those questions, keeping in mind profits, revenues, expansion, growth and other critical drivers and metrics for your business.

What Does a Business Plan Include?

In order to build the roadmap to reach your intended business destinations in a timely manner, you must include key pieces of information and analysis in your plan. The many moving parts of running your business become the fundamental building blocks of your long-term business plan. Consider each of them a pit stop along the road to business success.

Business Concept

Your business concept is a summation of your company in a few concise and simple sentences. It should clearly communicate the idea, design or value proposition behind your business so that a customer, investor or potential partner can quickly grasp what you will do and the value it will provide. Keep the concept statement to one paragraph.

Business Strategy

Your business strategy provides the detail on how you will execute the business concept. It describes your industry, explains your product or service, and the critical factors that will drive your business success. Those factors might include such things as your management team, operational plans or cost advantages. In essence, it is an executive summary that explains why your business is uniquely suited to succeed.

Specific things you should consider while creating the strategy section of your plan include:

  • Products or services offered now.
  • Products or services to offer in the future.
  • The size of the market.
  • How the market is changing.
  • Industry trends.

Market Analysis

In the market analysis section of your plan, you need to explore the ins and outs of your potential customers or markets.

  • Who are they?
  • Where are they?
  • What motivates them to buy the items or services you offer?
  • What do they want or need from you?
  • How are you going to attract new customers?
  • What do you plan to do to keep them coming back?

Most importantly, though, is to answer this one question: “How are you profitably going to meet the needs of your target customer?”

Competitive Analysis

In order to be complete, your marketplace analysis must pay attention to your competitors. This is necessary whether you are an established business looking to expand or a new business interested in taking business away from other established businesses in the area.

Questions to ask yourself here, include:

  • How is your business going to succeed in a market that is already being sufficiently served by another business in your industry?
  • Is there sufficient demand to bring another business into the market or expand your existing business?

Financial Analysis

This section of your business plan will look at the financial aspects of your business. As a new business you will need to include:

  • Break-even analysis.
  • Financial ratio calculations.
  • Internal and external funding requirements.
  • Projected revenues and profits over one, three, and five-year terms.

Don’t forget to include plans for assets the business needs to acquire and the costs of the marketing plan the business intends to follow coming out of the gate.

Existing businesses need to include cash flow statements, balance sheets, and pro-forma income statements, for example.

Keep in mind, you should provide information that will assist potential lenders (banks and credit unions) and investors in approving loans or green-lighting investments in your business.

Maintaining Your Business Plan

You should not just write a business plan and place it in a drawer. To get the most benefit from it, it should be a dynamic evolving plan. You must adjust your plan as necessary with changing markets, new product concepts, evolving technology, need for additional financing, and goal achievements, just to name a few. An old business plan may not reflect reality any longer, so be sure to revisit your business plan periodically. Having a update checklist helps you to do just that.

In the beginning, making a business plan may seem like a onerous task. It can be simpler if you break it down into its individual components. Once you have a plan in place, you will begin to see the effectiveness of how such a simple business tool can take the guesswork out of starting a business or growing one.

The food and beverage industry includes all businesses involved in the production, distribution, and sale of food and drinks.

The global food and drink market is expected to grow at an annual rate of 11.9%, reaching a market volume of $3.8 billion by 2027. This increase sharply contrasts the declining industry performance over the last three years.

Contributing factors to this performance are:

  • Expected ease of inflation over the next year.
  • Continued innovation in beverage and grab-and-go options.
  • Increased interest in health-conscious options.
  • Lifestyle changes as consumers increase travel and return to the office.

Additionally, the increased adoption of app-based and eCommerce purchasing options will continue to fuel discretionary spending in this category. Portable eating, tech-based purchasing, and alternative health and wellness products or services all show great promise for new entrants.

How to start a food and beverage business

To start a food and beverage business, you need to focus on the following:

1. Identify an idea that meets current demand

Identify your target market and potential competitors. Then, develop a unique product or service that serves a specific need—such as a particular cuisine, dietary need, or a unique dining experience.

2. Write a business plan

Create a business plan that thoroughly explains your business model, operations, pricing strategy, and financial projections.

5. Location, layout, and staffing

6. Startup costs and financial management

You’ll likely be operating on thin margins, making effective financial planning necessary early on. Take direct inventory of what it will cost to start and run your business for the first year. 7. Marketing and branding

Market analysis

The food and beverage industry is a highly competitive market with established competition and a steady influx of new entrants. Thoroughly document who you will be competing with, how you are different, and your ideal customers. This information will influence everything else about your business.

Business model

You’ll notice a trend through the rest of these, but you need a detailed description of how you will make money. As mentioned before, food and beverage businesses often operate on incredibly thin margins.

You need to be sure that your revenue streams make sense for the market, can consistently bring in cash, and will be sustainable long-term.

Menu and product offerings

Specific to this industry, you must cover what you offer and provide a sample menu or product list. It should directly relate to the interest of your clientele and showcase what you offer.

Describe your location, including a layout of your store or restaurant and details for how your business will operate—how you will work with suppliers, specific workflows, equipment needs, and staffing.

Focus on demonstrating quality and efficiency when outlining your operations, and don’t forget to revisit it as you run your business.

Financial projections

Provide detailed financial projections to map out your revenue and expenses. At a minimum, cover startup costs, break-even analysis, profit and loss forecasts, and cash flow statements.

Include any assumptions behind your projections and map out funding needs if you intend to pursue a loan or other investment.

  • Location – where will your business be located? Where are your customers? What kind of competition will you face in that area? Important things to consider for the perfect location are the cost of rent, accessibility to potential customers, distances to competitors and any plans for the future.
  • Marketing – include your business name and logo. What is your branding and marketing strategy? 
  • Financial projection and budget – create a forecast of expenses you will incur e.g. inventory (food and beverage), labour, rent and utilities
  • Operations – what is the structure of your business going to be like? Think about management style for front-of-house and back-of-house staff

Most F&B businesses fail in the first year because they struggle to breakeven.

So your financial projection and budgeting part of your F&B business plan is crucial.

Be sure to include the following in your F&B financial projection:

  • Sales projection – estimate the average purchase per customer visit and the average cost of goods sold (COGS) per customer visit to get an understanding of when how much you need to sell and for how long before you can breakeven within a given timeframe
  • Salary expenses – include labour cost into your Cost of Goods Sold (COGS)
  • Startup cost – rent, utilities, equipment, starting cash balance, initial inventory

Step 3: Secure funding

Now it’s time to think about how you are going to fund your F&B business. 

It can cost up to RM500,000 to start a cafe or restaurant in Malaysia. The bulk of it will come from renovations and equipment purchases. Here’s a quick breakdown for your reference:

  • Licences, permits and business insurance
  • Technology setup (WiFi, business software, etc.)

And this is just the one-off cost.

After this, you have your ongoing cost where you’ll probably spend between RM25,000 – RM50,000 per month on recurring payments like loan repayments, rent, salaries, insurances, and utilities.

So basically, you need a lot of capital to get started, and enough capital to keep you going.

Luckily, there are a lot of other ways to fund your new venture:

  • SME business loan from banks or the government 
  • Find investors or get into a partnership 
  • Family/friend loans 

Think about starting a small F&B business first and you can the scale it up later.

Don’t expect to make a profit right away and understand that money will always be a little tight at first. 

Step 4: Sort out legal paperwork

Make sure you do your research and get all the relevant licensing and permits you’ll need for your F&B business.

According to the Malaysian government’s official website , some general licenses that are applicable for any business include:

  • Company Registration
  • Company and Employees Income Tax Registration
  • Employees Provident Fund
  • Social Security Organisation
  • Human Resources Development Fund
  • Business Premise Licenses and Signboard Licenses

And since you’re in the food and nbeverage industry, you’ll need some specific permits and certificates like the ones below to run your cafe/restaurant/quick-serve:

  • Food handling permits
  • Alcohol license
  • Halal certifications 
  • Health & Safety permit 

TIP: The licenses you need for your F&B business depend on the state you’re in – Kuala Lumpur, Sabah, Penang, etc..

So be sure to check with your State Authority on what permits and certificate you need to get for your F&B business.

Step 5: Ensure you have a good supply chain

In order for your F&B business to succeed, you need to look for a good and reliable supplier.

Ideally, you should be getting the freshest produce and ingredients at the right quantity and at the right time. 

Maintaining a good relationship with your supplier is also important to ensure that any future problems can be fixed immediately e.g. a last-minute increase in supply needs.

Make sure to keep in constant contact with your supplier and give them enough time to source and deliver your ingredients.

Step 6: Buy or rent F&B equipment

Once you’ve secured your finances, it’s time to start looking for all the equipment you’ll need for your restaurant or cafe.

For F&B businesses, restaurant equipment and appliances are going to be one of your most significant startup expenses. 

Create a list and compare costs for each equipment in order to find the best deals. Here are a few items you may need:

  • Work surfaces e.g. countertops, cutting boards and food serving tables
  • Kitchen appliances e.g. stoves, fryers, microwaves and ovens
  • Utensils e.g. frying pans, pots and cooking utensils
  • Cold appliances e.g. refrigerators and freezers
  • Furniture e.g. tables, chairs, booths, decorations
  • Glassware and silverware
  • Tablecloths, placemats and napkins

Savvino-storozhevsky monastery and museum.

Savvino-Storozhevsky Monastery and Museum

Zvenigorod's most famous sight is the Savvino-Storozhevsky Monastery, which was founded in 1398 by the monk Savva from the Troitse-Sergieva Lavra, at the invitation and with the support of Prince Yury Dmitrievich of Zvenigorod. Savva was later canonised as St Sabbas (Savva) of Storozhev. The monastery late flourished under the reign of Tsar Alexis, who chose the monastery as his family church and often went on pilgrimage there and made lots of donations to it. Most of the monastery’s buildings date from this time. The monastery is heavily fortified with thick walls and six towers, the most impressive of which is the Krasny Tower which also serves as the eastern entrance. The monastery was closed in 1918 and only reopened in 1995. In 1998 Patriarch Alexius II took part in a service to return the relics of St Sabbas to the monastery. Today the monastery has the status of a stauropegic monastery, which is second in status to a lavra. In addition to being a working monastery, it also holds the Zvenigorod Historical, Architectural and Art Museum.

Belfry and Neighbouring Churches

Located near the main entrance is the monastery's belfry which is perhaps the calling card of the monastery due to its uniqueness. It was built in the 1650s and the St Sergius of Radonezh’s Church was opened on the middle tier in the mid-17th century, although it was originally dedicated to the Trinity. The belfry's 35-tonne Great Bladgovestny Bell fell in 1941 and was only restored and returned in 2003. Attached to the belfry is a large refectory and the Transfiguration Church, both of which were built on the orders of Tsar Alexis in the 1650s.

To the left of the belfry is another, smaller, refectory which is attached to the Trinity Gate-Church, which was also constructed in the 1650s on the orders of Tsar Alexis who made it his own family church. The church is elaborately decorated with colourful trims and underneath the archway is a beautiful 19th century fresco.

Nativity of Virgin Mary Cathedral

The Nativity of Virgin Mary Cathedral is the oldest building in the monastery and among the oldest buildings in the Moscow Region. It was built between 1404 and 1405 during the lifetime of St Sabbas and using the funds of Prince Yury of Zvenigorod. The white-stone cathedral is a standard four-pillar design with a single golden dome. After the death of St Sabbas he was interred in the cathedral and a new altar dedicated to him was added.

Under the reign of Tsar Alexis the cathedral was decorated with frescoes by Stepan Ryazanets, some of which remain today. Tsar Alexis also presented the cathedral with a five-tier iconostasis, the top row of icons have been preserved.

Tsaritsa's Chambers

The Nativity of Virgin Mary Cathedral is located between the Tsaritsa's Chambers of the left and the Palace of Tsar Alexis on the right. The Tsaritsa's Chambers were built in the mid-17th century for the wife of Tsar Alexey - Tsaritsa Maria Ilinichna Miloskavskaya. The design of the building is influenced by the ancient Russian architectural style. Is prettier than the Tsar's chambers opposite, being red in colour with elaborately decorated window frames and entrance.

At present the Tsaritsa's Chambers houses the Zvenigorod Historical, Architectural and Art Museum. Among its displays is an accurate recreation of the interior of a noble lady's chambers including furniture, decorations and a decorated tiled oven, and an exhibition on the history of Zvenigorod and the monastery.

Palace of Tsar Alexis

The Palace of Tsar Alexis was built in the 1650s and is now one of the best surviving examples of non-religious architecture of that era. It was built especially for Tsar Alexis who often visited the monastery on religious pilgrimages. Its most striking feature is its pretty row of nine chimney spouts which resemble towers.

The Unique Burial of a Child of Early Scythian Time at the Cemetery of Saryg-Bulun (Tuva)

In 1988, the Tuvan Archaeological Expedition (led by M. E. Kilunovskaya and V. A. Semenov) discovered a unique burial of the early Iron Age at Saryg-Bulun in Central Tuva. There are two burial mounds of the Aldy-Bel culture dated by 7th century BC. Within the barrows, which adjoined one another, forming a figure-of-eight, there were discovered 7 burials, from which a representative collection of artifacts was recovered. Burial 5 was the most unique, it was found in a coffin made of a larch trunk, with a tightly closed lid. Due to the preservative properties of larch and lack of air access, the coffin contained a well-preserved mummy of a child with an accompanying set of grave goods. The interred individual retained the skin on his face and had a leather headdress painted with red pigment and a coat, sewn from jerboa fur. The coat was belted with a leather belt with bronze ornaments and buckles. Besides that, a leather quiver with arrows with the shafts decorated with painted ornaments, fully preserved battle pick and a bow were buried in the coffin. Unexpectedly, the full-genomic analysis, showed that the individual was female. This fact opens a new aspect in the study of the social history of the Scythian society and perhaps brings us back to the myth of the Amazons, discussed by Herodotus. Of course, this discovery is unique in its preservation for the Scythian culture of Tuva and requires careful study and conservation.
