Here’s how to find a project management template in Excel’s template gallery :

  • Open Excel and go to “ Home” > “More Templates .”

Depending on your version of Excel, you can also go to the “ Home ” menu, click “ New, ” and search for free project management Excel templates from there.

Now, let’s look at some of my favorite project management Excel templates.

Some of my favorite project management templates in Excel are free in the online template gallery. Below is a mix of templates available in Excel’s gallery or my pre-made templates.

If you want to use any of these templates, you download and customize the template rather than making one from scratch.

How to edit an Excel template.

Just make sure you click on “ Edit a copy ” in the top right corner or “ File ” > “ Save as ” > “ Download a copy .”

The Project Planner Gantt template is a free Excel project management template that you can find in the template gallery.

This template has a simple table for inputting your activities and periods and a Gantt chart dashboard for visualizing the timelines for each activity.

I particularly like this template because it is excellent for tracking the timelines of tasks in a project. However, the downside is that it uses periods for intervals instead of dates, which might not suit your project (that’s why I’ve included a custom Gantt chart in this list, too).

The template has the following features:

  • Columns for activity names, statuses, planned start, start duration, and end duration.
  • A Gantt chart to visualize the timeline for each activity in the project
  • Visual indicators, such as color-coded cells or icons, indicate the progress of the project statuses  (e.g., plan duration, actual start, completed).
  • Filters and sorting options to organize projects by status, priority, or deadlines.

  • Customizable spreadsheet with columns for different project management components (e.g., task name, assigned to, duration, and work hours).

You don’t always need project management tools to manage projects. Sometimes a simple spreadsheet can do the job. Here are some situations where project management in Excel makes sense:

  • You work on simple projects: If you work on projects with very few dependencies and team members, you may not need project management software. A simple spreadsheet to track project tasks is perfect for such simple projects.
  • You work on one project at a time: If you work on multiple projects simultaneously, you’ll need to share team members across projects. Shared resources create complex dependencies. But if you work on a single project at a time, spreadsheets are often enough.
  • You already have access to Microsoft Office: Almost everyone already has access to Microsoft Office. You, too, can consider using Excel for managing projects if you have easy access to it. 

Even if you have access to Excel and manage simple projects, Excel still may not be the right choice. These are some of the disadvantages of Excel project management:

  • No communication features: All spreadsheets, including Excel, lack communication features. Communicating with clients and other team members can be a big challenge.
  • No collaboration features:   There’s no way to share files or documents via Excel. You’ll have to use a file hosting service to share files. On the other hand, most PM tools come with built-in file sharing.
  • Information overload: Over time, Excel spreadsheets accumulate a lot of information. Clients and most team members rarely need access to all this information. As a result, time is wasted looking for information.
  • Hard to ensure data integrity: When everyone is updating the same sheet, it’s easy for someone to update or remove information accidentally. Plus, project information can get lost as we discuss tasks over chat or email.
  • Expensive in the long run: Most PM tools have a free plan. Paid plans often cost less than $10 per user per month. Considering the above disadvantages, using Excel for project management can be expensive in the long run.

Other than the above-mentioned disadvantages:

  • Excel timelines are hard to keep up to date. 
  • There’s no way to add milestones to an Excel Gantt timeline.
  • And, it’s almost impossible to work collaboratively on an Excel project timeline.

List down all the start with their start and end dates. Assign tasks to team members. And, finally include a column to track task status. You can either create a simple to-do list using checkboxes or include more task statuses in a dropdown.

Tracking task progress using Excel suffers from the same disadvantages mentioned above. Also:

  • You cannot create custom task workflows.
  • Unlike Kanban boards, it’s not easy to visualize task progress in Excel.

Planning resource availability and allocating them to projects is the next use case for Excel project management.

You’ll need two separate spreadsheets — one to track off-days and another to track project allocation.

It is a type of bar chart that shows the start and end times for each task in a project schedule. The tasks are usually categorized using a work breakdown structure with summary tasks for the main project deliverables and sub-tasks that break the project down into a detailed and manageable task hierarchy. This template contains the core functionality needed to create a simple Gantt chart easily. Each row of the worksheet represents a separate task. All you need to do is define the start date and duration of each task.

  • To add more tasks, you just copy and paste rows (or insert a row then press Ctrl + D to copy formulas down).
  • To change the range of dates displayed in the chart area, just slide the scroll bar.
  • To track the status of a task, edit the % Complete column. The bars in the chart show the % complete for each task.
  • The vertical red line shows the current date.
  • To use the automatic work breakdown structure numbering, copy the formula for the appropriate level from the bottom of the worksheet.

While planning a project, you may also want to use a yearly calendar or project budget worksheet.

Creating Dependent Tasks in a Gantt Chart with Excel

One of the reasons why Excel is a useful tool for creating Gantt Charts is that task dependencies can be defined by using Excel formulas. Gantt Chart Template Pro is designed to make this easier than entering your own formulas, but here are a few simple examples you can try:

1. Start a Task the Day After a Predecessor Task

   where end_date is a reference to cell (e.g. D10 ) containing the END date of the predecessor task.

2. Start a Task on the Same Day as another task

   where start_date is a reference to cell containing the START date of the other task.

3. Start a Task the next WORK day after a Predecessor task (excludes Sat & Sun)

   Use the WORKDAY.INTL() function in Excel 2010+ to define a custom work week (days other than only Sat & Sun)

The problem with only using formulas is that you can't see the dependencies between tasks when you view or print the chart. Other Gantt chart software may show dependencies as lines connecting the bars in the gantt chart, but I've never found a simple way for Excel to do that (and the lines can get really messy).

The simple approach is to list the WBS number of the Predecessor in another column , like in the critical path example above. In the CPM template and in Gantt Chart Template Pro, formulas calculate the start dates based on what you enter. If you want to try doing this on your own, here is a formula to get you started:

4. Start a Task the next day after a Predecessor task listed in another column

Gantt Chart Pro uses a formula like this, but it allows up to three predecessors and it accounts for work days.

Showing Critical Tasks in a Gantt Chart

Some Gantt charts are designed to show the critical path and available slack or float time for each task. If every task must be done in sequence, every task is critical and there is no slack time (because if one task is delayed, it delays the entire project). However, if some tasks can be done in parallel and have some available slack time, then the project manager may be able to free up some resources to devote to the more critical tasks.

Currently, the only template I have so far that uses the Critical Path Method (CPM) algorithm to show critical tasks and available float time is the CPM Template shown in the image on the left. The Gantt chart in this example shows the critical tasks in red and the available slack time in gray.

The CPM algorithm requires a fully defined task dependency structure, meaning that every task must have a successor (another task that depends on it). A simple Gantt chart may not need to have the dependencies between tasks fully defined, which is why you will see many project schedules with tasks defined only with a start and end date.

With this template, you can create a comprehensive Gantt chart with minimal effort. Just enter each task, complete with a description, who it's assigned to, a percentage to indicate progress, a start date, and allocated days until completion. This template is a Microsoft Excel default.

Which Schedule Template to Use?

Once you decide on a daily, weekly, or monthly template, you then need to choose a layout, duration type (do you want Monday-Friday or Sunday-Saturday?), the sharing capabilities, and printing options. With all these factors to consider, it can be difficult to know which schedule template to use. 

Here are some things to consider as you’re searching for a schedule template:

1. What is your timeframe or duration?

You first need to figure out if you need a daily, weekly, or monthly template. The daily schedule is the only template that has duration in hours (with 30 minute increments), the weekly schedule’s duration is broken up into morning, afternoon, and evening, and the monthly template has the least amount of granularity, with duration in days. 

The events, tasks, or projects that you need to track on the schedule will dictate what kind of template you need. If you need to organize to-dos or appointments, the daily schedule will work the best. If you need to track longer term tasks or repeating events, consider a template that spans more time.

2. How many people will be using it?

Think about who you need to share your schedule with. Is this a personal document that you will to track your own tasks and to-dos? Is this a family housekeeping/chore schedule that you need to print out and tape on the fridge or email to your spouse and children? Or, will you be using this schedule at work, collaborating and editing it with colleagues and external collaborators? 

As a general tip, if you need to share your schedule with more than one person, you should look for an online version of the template so you can share, collaborate, and edit it in real time. If it will be a personal schedule, then make sure you have robust customization and printing capabilities to make sure it fits all your needs.

3. How many events or projects need to be tracked?

While you can choose the level of granularity in duration of your schedule, you also need to identify the level of detail you need to add to your template and the number of items you want to include. 

To get a sense of the complexity of your events or projects, jot down one or two items you anticipate adding to your schedule. Write down all the details you need to include (item name, item details, assigned to, due date, location, contact information, etc). This exercise will give you a sense of the amount of space you need on your schedule. If you are sticking with a high-level view of the details, you could use the monthly schedule. If you are tracking multiple tasks per day, you may want to look at the daily schedule template.

How to Customize Your Excel Template

It’s easy to customize your daily, weekly, or monthly schedule template in Excel. You can color-code certain items, like appointments or birthdays, or change font size and type. You can even add a logo to the calendar if you’re using it for work or with clients.

1. Format Fonts

  • To change the font size of the headers, first highlight all the headers. In the Home tab, you can format the font type and size. 
  • To format the date or time markers, highlight the entire column or all the date boxes. In the Home tab, you can adjust the font type and size.

2. Change Colors

You can change the font colors or the background colors in your schedule. Color-coding may be especially helpful for labeling certain types of events or tasks. 

  • To change the background color of a header, highlight the whole row, click the paint bucket icon, and select the fill color. 
  • To color code an event, type a task or appointment into a date box. Then, select the text, click the paint bucket icon, and select the appropriate fill color.

3. Add a Photo

Customize your schedule by adding images, like your company logo.

  • In the Insert tab, click Pictures . Upload the picture you would like to use. 
  • The image will be added to your spreadsheet and you can drag it anywhere in the sheet. 

If you would like to add your logo or picture to the top of the schedule, you may need to add extra space so the image can fit. 

  • Right-click the first row of the whole spreadsheet and select Insert. 
  • Click Entire Row . 
  • Repeat depending on how many extra rows you’d like. 
  • To make the background of the new rows white, highlight the new rows, click the paint bucket icon, and select white. 
  • To remove the grid line above the title row, select the title row, click the grid icon, and click the options with the removed gridlines.
