What to Document

The first question to ask when deciding to create a port mapping is which details should you record. The answer completely depends on your specific environment and what you plan to do with the documentation. Different requirements demand different data to be collected. I recommend you identify what you would like to do with this documentation before collecting and creating it. All that being said, the template linked to on this post contains a baseline of the most common data points which can provide a solid starting point.

Type This field details the layer-1 and layer-2 media and protocols used on the wire. Layer-1 can be things like RJ45, OM2 (SC), OS1 (LC), etc. Layer-2 can be things like Ethernet, PPP, or God forbid, Frame Relay.

Source Device Hostname & Port These fields record the hostname and port information of the source device. Whenever possible, I will use the port name as it is seen in the configuration terminal of the device.

***NOTE*** In case you are wondering the difference between the source device and the destination device, there really is no difference other than the fact that the focus of the document is always on the source device. In other words, the complete listing of ports for a device can be found in the section of the document where it is focused on as the source.

Patch Panel Fabric & Port When there is infrastructure cabling used in-between the source and destination device: it is handy to note down which patch panel and port is used for the connection. The “Fabric” column can be replaced with “Panel Name” or anything else which specifies the infrastructure cabling extension set.

Destination Hostname & Port This field defines the remote (non-focused) device and port where the connection terminates. When the port on the source device is empty and unused, these fields will be blank.

Destination Device Notes These fields can be used for notations about the destination device including information about its role, purpose, and if the documented link is in an aggregated group (port-channel).

Scripting Columns The scripting columns are used to generate configuration scripts using the information contained in the other columns. The scripting columns in the template are set up to generate port descriptions for Cisco based switches and will automatically detect when the different “Notes” fields are populated.

Tool to map network cabling between patch panels and switches

I'm planning a switch from the spaghetti wiring of my current networking rack to an organized cut-to-length system. I'd really like to plan ahead as much as possible. The best way I can imagine doing this is to map all the connections virtually first. In the image below you can see my attempt to do just that with Visio 2010. Unfortunately the connector tool in Visio doesn't seem capable of handling this because it always finds the shortest path between two points.

Are there free or low-cost tools available to do this?

enter image description here

  • Anytime I've ever seen maps, they have been spreadsheets with port numbers. Each row is a cable path and each column is a switch/patch panel/wall plate/etc. Just make sure that you use something like a ptouch machine to label everything. Each cable should also be flagged with the port it goes into on both ends with a to/from model (only covers the points it touches, not the whole path). –  MaQleod Oct 12, 2011 at 16:54
  • Do you have a suggestion on handling length? I suspect that with things mapped out in Excel the tech would be measuring and cutting each cable as he plugs them in rather than doing it ahead of time. I have a limited amount of time to redo my networking rack and I am hoping to visualize/plan the cable lengths ahead of time too. Thoughts? –  Chris76786777 Oct 12, 2011 at 17:04
  • You typically want to cut to length as you are making the cables. You can certainly have a number of pre-cut cables that are all the about same length for a switch to patch-panel project and then cut down to exact length (plus a small service loop) when the cables are actually being terminated. –  MaQleod Oct 12, 2011 at 17:15

Network Diagram Template Features

This Excel template allows you to create a Network Diagram in two ways :

  • Input all your data into the table and then create a network diagram based on the data input.
  • Visually create a network diagram using the interactive buttons and shapes without filling the data table.

Both of those methods are connected, so if you make changes in the table, they are reflected in the graph. On the other hand, the changes you directly execute in the chart will show up in the table too.

With additional settings (buttons), the Excel template allows you to customize your network diagram according to your needs.

In the advanced settings part of the template, you can rearrange the diagram settings. Such as: distance measures for the shapes and icons, the width and height of each shape/box and label/main font sizes .

Network-Diagram-Excel-Template-Someka-S02

Furthermore, here you can customize your diagram further by setting the colors for connector , shape and font . By using the dropdown options, you can decide on the connector and shape types . As well as the chart style: whether icons or shapes !

Network Diagram Template For Excel

What are your network diagram needs.

Network diagrams visualize the connections between devices and hardware in given a computer network. Symbols, shapes, and icons are used to depict devices such as laptops, routers, desktops, and servers. Whether you are mapping out a personal home network or multiple networks as part of a larger organization, a well-made network diagram simplifies and clarifies complex systems. This step-by-step guide will explain how to create a network diagram template in Lucidchart and integrate it into Excel.

3 minute read

Want to make a network diagram of your own? Try Lucidchart. It's quick, easy, and completely free.

How to make a network diagram in Excel

It easy to organize large amounts of data into neat rows and columns using Excel, but it’s diagramming features are limited. Excel lacks the specific shapes necessary to create a network diagram without spending hours creating custom shapes from scratch or paying for additional extensions. That’s why we have outlined the steps to create a network diagram in Lucidchart and import it into Excel.

1. Sign up for a free Lucidchart Account

2. create a new document and add basic shapes .

When you create a new document in Lucidchart, there are two options: starting from scratch or using a template. Templates are a great option if you want to save time, but don’t be deterred by creating your own from scratch— with Lucidchart both options are simple and straightforward.

Starting from a template

Lucidchart offers several pre-made network diagram templates in its library. To find the right template that fits your needs click  “+Document” or the “More Templates” button. Then select “Network” from the panel on the left. You can also use the search bar in the upper lefthand corner and search “network diagram.” For additional information on the different templates, click it once to read more about it.

port mapping excel template

All Lucidchart templates are customizable—move, add, or delete shapes and arrows until the diagram suits your needs

Starting from scratch

If you would rather create your own network diagram using the shape library, open a blank document by clicking “+Blank” at the top of the homepage.

3. Add shapes and lines

It’s easy to quickly add all the shapes, lines, and text you will need when you use Lucidchart.

First, you will need to add the correct shape library to your shape menu. To do this select “+Shape” in the bottom left of the shape menu. A pop-up window will appear. In the left panel scroll down until you find “Cisco Network Icons” and select it. A checkmark will appear in the box indicating that it was added to your shape menu. A preview of the shapes will appear to ensure that you selected the correct library. Exit the window.

port mapping excel template

Drag and drop shapes onto the canvas to start diagramming. To connect the shapes, click and drag your cursor drawing a line between them.

  • Connect the red dots with lines to keep the shapes linked.

port mapping excel template

4. Add text

Now that you have your network diagram mapped with the appropriate devices and shapes it is time to add text. Double-click the shape to add text and begin typing.

To add text to your arrows double click the arrow and begin typing.

It’s just as easy to edit text—simply repeat the same process. Modify the text size, font, color, and more using the properties bar at the top of the editor.

port mapping excel template

Once you’ve finished you will have a complete network diagram. Continue to move and add device shapes as needed if your network grows.

Managed Switch Port Mapping Tool Overview, Details and Videos

What exactly is the managed switch port mapping tool.

It's a powerful switch information gathering tool for network administrators - interested? read on...

Managed Switch Port Mapping Tool Overview

The Managed Switch Port Mapping Tool is a Windows application designed to 'map' or discover information about a network switch's ports and report on the attached devices. It does this by accessing switch internal information using Simple Network Management Protocol (SNMP) over the network. SNMP access credentials must be provided in order to access the data in the switch. The amount of data retrieved depends on the extent of the switch manufacturer's SNMP implementation.

What information can we get from the switch?

The Managed Switch Port Mapping Tool can retrieve essential information needed by network administrators such as the port identification or naming, status, speed and VLAN assignments. See the MAC addresses of attached devices and optionally IP addresses and device hostnames. Need help with topology? we can display LLDP, CDP, Link Aggregation (LACP/LAG/IEEE802.3ad/PAGP) information recorded by the switch showing connectivity to devices, other switches or servers.

Switches can be manually mapped one at a time or in groups using Switch Lists

Switch mappings can be done manually from the GUI interface or through command line parameters on a scheduled basis using Windows Task Scheduler (the GUI will appear even if started from the command line). The results of every switch mapping are automatically saved into an SQLite database for later retrieval, searching or analysis. Results may be optionally saved to XML text files for independent analysis using spreadsheets.

Product Information

  • The Managed Switch Port Mapping tool communicates with managed Ethernet network switches using SNMPv1/v2c/v3 and discovers the MAC addresses and other information about devices attached to the physical port jacks on the front of the switches. The app requires Microsoft Windows® and can be also used on Apple MAC OSX if you use Windows inside a virtual machine like VMware Fusion or Parallels.
  • No switch is too big or too small, but it must be capable of being 'managed' using SNMP (simple network management protocol) and it must support certain MIBs. It's been used on switches as small as the Cisco SF 300-08 series all the way up to core switches like the Cisco 6500 series.
  • Simple to use: enter the switch IPv4 address and the SNMP v1/v2c/v3 read-only credentials. Then press Map Switch. We do the rest. Watch one of the videos to see it in action.
  • Results are presented in a spreadsheet-like grid. Print the results or export them to your favorite spreadsheet program as either tab-delimited text or as XML.
  • Available as an app installed on your hard drive or as a fully portable app that runs from a USB Flash Drive.
  • Fast - supports SNMP v2c/v3 Bulk Transfer mode. This mode reduces required SNMP bandwidth.
  • Map Switches Manually one at a time or as a set of switches in a list.
  • Switch Lists - map a group or set of switches, record the mapping results in the History Database and optionally automatically export the XML results for each switch to files as the switch list is mapped.
  • History Database - all switch mappings are automatically saved here. Searchable. Review a switch mapping at a later time.
  • SNMPv1/v2c/v3 - supports USM access model SNMPv3 requests.
  • Command Line - run the app from the command line using various options. Use Windows Task Scheduler to map a switch or switch list when you need it mapped. (The GUI will appear if started from the command line)
  • Optional Columns - over 25 optional columns supporting RMON and Cisco packet related counters including overruns etc. Also columns reporting Voice VLAN, Trunking, Port Security (preceding are for Cisco switches only) and Assigned VLANs.
  • LLDP and CDP neighbor information are reported by the switch. See neighboring devices like other switches and routers connected to a switch port (if they have LLDP or CDP enabled).
  • Link Aggregation - LACP LAG (IEEE 802.3ad), PAGP and legacy HP Trunk links between switches or switches to servers are shown in the Type column and color coded for easy identification of the aggregation ports and their member ports.

The Details - what we get from the switch

  • Optional Info

Switch Properties

Basic information retrieved from the switch.

The software uses SNMP to retrieve information (raw data) from the switch. The information, if available, is presented in a spreadsheet-like grid with each switch port represented as a row and the data type as a column.

Default Columns

  • Interface description, name, alias (ifDescr, ifName, ifAlias - 3 columns)
  • Interface type (ethernet, gigabit ethernet, tunnel, virtual, loopback etc. Shows Link Aggregation LACP/LAG/IEEE802.3ad/PAGP member ports and aggregator port.)
  • VLAN (default and multiple VLAN assignments per port or by device, Voice VLAN column is optional)
  • Port Status (up, down or other)
  • Port Speed (10Mbps, 100Mbps, 1Gbps etc.)
  • Port Duplex mode (full, half, auto, FDx, HDx etc.)
  • MAC addresses of devices attached to ports
  • IPv4 addresses and Hostnames of those devices if available**
  • Attached device interface manufacturer - helps identify devices.
  • LLDP (Link Layer Discovery Protocol) - shows neighbor connection information between devices attached to the port like switches and routers.
  • CDP (Cisco Discovery Protocol) - shows neighbor connection information between devices attached to the port like switches and routers.
  • Connector Present - shows whether a physical connector is present.
  • Last Change Time column shows the elapsed time since a port status was changed from up to down or from down to up. Useful in determining how long a device has been online or offline.
  • Interface Index (ifIndex)

**About IP Addresses

Managed switches usually operate at layer 2 which means they keep track of the MAC addresses attached to their ports not the IP addresses. When we retrieve the data from the switch, we have to find the IP address that matches the list of device MAC addresses for each port. We do this by searching ARP tables from various devices.

Optional Information Retrieved from the Switch

More columns are available to show optional data - if supported by the switch. Use Settings and Tools/Column Order and Visibility Editor to add them in.

Optional Columns

  • Voice VLAN (currently Cisco only)
  • Assigned VLANs per port
  • Trunking - shows Cisco switch ports operating in VLAN trunking mode
  • Port Security - shows Cisco switch ports with port security enabled
  • Dot1x - shows 802.1x configuration data for each port
  • Partner Port Id - shows the Link Aggregation IEEE802.3ad or PAGP partner port remote ID
  • Spanning Tree Protocol (STP) information including port status and root information
  • From RMON-MIB: Dropped Packets, CRC Errors, Undersized Packets, Oversized Packets, Fragmented Packets, Jabber Packets, Collision Errors
  • From OLD-CISCO-MIB: CRC Errors, Framing Errors, Overrun Errors, Packet Ignored Errors, Packet Abort Errors, Output Collision Errors, Input Queue Full Dropped Packets
  • Port input and output byte counts

We also retrieve basic properties of the switch - they are not shown in the results grid. They are shown in the web browser report and by using a right-click menu Properties selection.

  • Switch Name
  • Description
  • Manufacturer
  • Contact and Location (you can change these if you have write privileges)

Manufacturer Specific Switch Properties

We also retrieve manufacturer specific properties of the switch - if available. They are also shown in the web browser report and by using a right-click menu Properties selection.

  • Model Number
  • Serial Number
  • Software Version (ie. IOS x.x, JUNOS, NX-OS etc.)
  • Firmware Version
  • Hardware Revision
  • Asset Number
  • Stack members are shown in the post-mapping web page report

How the Switch Mapping Results are presented

When a switch mapping is completed, you are presented with a Summary Report in your web browser. This report can be saved or printed as desired. It provides a high level analysis of what was retrieved from the switch.

The app shows the Switch Mapping results in a spreadsheet style grid. The columns of the grid can be reordered and made visible or invisible to suit the your needs. The results are searchable using one of the many selections available from the right-click popup menu.

You can export the results as either tab delimited text or XML suitable for opening directly by Microsoft Excel or OpenOffice. The imported spreadsheet retains the look and presentation of the results in the program.

Switch List results can be exported in XML and opened in Excel with each switch in the list appearing on a separate spreadsheet tab.

  • Manufacturer Independent - capable of mapping many different brands and models of SNMP managed switches.

Switch Templates

Switch templates can be used to create switches and switch ports using templates. Once you create the templates, you can either add/edit switch and switch ports using the UI or REST APIs.

Network switch templates for new and existing ports and switches

port mapping excel template

Switch Templates – Legacy can be used to not only create new switches and ports, but also to edit existing switches and ports.

Switch Templates 2.0 – is very similar to Legacy, however, the user doesn't have to enter port information as we discover the port definition from the hardware models to auto create the ports. You can select the hardware models that you want to generate switches from and it will create them for you.  If your hardware model also has parts slots (for modular switches) then you will be able to populate the part models that you want to prepopulate those switches with. This is typically used when manually adding these hardware types and not relying on auto-discovery of switches.

Extended properties for a switch port

port mapping excel template

Module or Asset to show if a port belongs to a blade or fabric extender. Network switch 2nd would represent cluster switch in case of stacked switches or 2nd switch in case of paired switches.

Catering to different switch types in the templates

Whether the switch is singular, modular and/or distributed, you can add any type from the templates. Also, stacked switches and paired switches can be added. All different options are discussed below.

Singular switch

port mapping excel template

For a simple switch, you can choose (or add) the hardware module and add the ports in that switch with port prefixes. In example shown above, ports gbe/ 24 gig0/ and fiber/ 2 Fiber would be created (you can choose port starting number for each port template). Once you save this, on the list page it displays a create/edit link next to the switch. Once you click that you can choose an existing switch or add name for new one and rest is done automatically for you.

Stacked switches

port mapping excel template

Taking a page from Cisco's 3750 switches, you can add multiple singular switches to the stack. Stack itself is represented by a cluster device in device42. All physical switches would belong to the cluster device and all ports would have switch2 as the cluster switch. Once you click on create switches, you would be presented with following screen.

port mapping excel template

Here you can enter a name for the cluster device(or choose an existing one) and similarly enter values for switches in the stack. Switch ports (and switches) are created based on the template.

Modular/Distributed Switch

port mapping excel template

This type can be used to represent modular and/or distributed switches, e.g., a single 6509 switch with modules, Nexus 7k or Nexus 5k with fabric extender modules. Modules with hardware model, slot #, port prefixes and # of ports can be added here. You can also add asset templates( for Fabric Extenders) on this screen. Based on template values, you would be asked for switch/asset name etc. and it would create the switch, modules, assets(Fabric extenders) and switch ports based on the template.

Paired modular/distributed switches

port mapping excel template

This template can serve few different use case scenarios. For example, Cisco VSS paired 6509s or 2 Nexus 5k running in active/active mode. You can add various port info, etc., and it will create modules/assets/switch ports. Ports on the fabric extender can be marked to show if they are connected to both the switches or just one.
