What are the differences between Exchange Online Plan 1 and Microsoft 365 Business Basic?

What forms of payment can I use?

Pay with all major credit cards, and your subscription amount will appear on your credit card statement. For Microsoft 365 business plans, you have the option to receive an invoice and, depending on your choice of services, you’ll be billed monthly or annually. Receive an email message when your invoice is ready to be viewed and, if a purchase order number is entered when you buy your subscription, that number is included in your invoice.

What payment options are available? Can I pay monthly or annually?

Choose a monthly commitment payment or an annual commitment payment for Microsoft 365.

• Monthly commitment payment: Pay month by month and cancel at any time.

After you cancel your subscription, data associated with your Microsoft 365 account will be available to your administrator(s) in a limited-function account for 90 days.

Can I switch to other Microsoft 365 plans?

Yes, you can transition your account to a different plan.

In most cases, you can use the switch plans wizard in your Admin Center to upgrade your plan. If your subscription has more than 300 users or if you used a prepaid card to purchase your plan, the switch plans wizard is not available. NOTE: When you change your account, your domain name is transferred to your new account, whether you brought your existing domain name to the Microsoft 365 account or you set up a new domain name with Microsoft 365.

Compare all Microsoft Office 365 Plans in one Overview

The Microsoft Office 365 plans offer great tools for businesses and enterprises to fully work in the cloud. Microsoft has changed the names of most plans to Microsoft 365 but also kept partially the Office 365 label. Comparing all the plans together on the Microsoft site can sometimes be a bit challenging, so to help you out I have created an overview to compare all office 365 plans.

If you have a small business with less than 300 users, then the most interesting plans are the Microsoft 365 Business plans. Large organizations will have to look at the Office 365 Enterprise and Microsoft 365 plans.

Microsoft Office 365 Comparison Chart

The table below will help you to compare the Office 365 plans. The prices are based on an annual subscription model. Enterprise plans are only available in a yearly agreement.

Microsoft 365 Business plans

For most small businesses is the Microsoft 365 Business Standard plan the best choice. With a price of $12.50 per user per month, you get the full Office 365 suite, with the desktop apps, Exchange Online, SharePoint, OneDrive, etc. Everything you need to get your business started in the cloud. If you also want to fully manage your devices (computers, mobile phones) or make use of advanced threat protection, then take a look at the Business Premium plan.

Office 365 Enterprise plans

The Enterprise plans can also be used by companies with less than 300 users, but they are more meant for companies that also need Active Directory integration or features like Litigation Hold and eDiscovery. You get more storage for Exchange Online, OneDrive, and SharePoint with the Enterprise plans.

Microsoft Office 365 license comparison

Start with an microsoft office 365 trial.

It can be difficult to select the right plan for your business with the many options that are available for Office 365. It’s good to start with the comparison of Office 365 plans, but keep in mind that you can also start with an Office 365 Trial . This way you can see what will work for your organization.

You can use your own domain for the trial, but only do that when you are really sure you are going to proceed with Office 365. Otherwise use a temporary domain, like Contoso-lab01, to test out Office 365.

There are a couple of trails available, Microsoft 365 Business Standard and Premium and Office 365 Enterprise E3 and E5 . If you have a small company, with less than 50 employees I recommend starting with a Microsoft 365 Business Premium trial. The business plans give you some nice features like Invoicing and Outlook Customer Manager which can be really useful in smaller companies.

If you have more than 50 employees I would recommend going for the Enterprise solution. It’s more expensive, but the Compliance and Information Protection services will help you protect your data and make it easier for you to comply with Business regulations and industry standards.

Exchange Online vs Office 365: What Should You Choose?

For the uninitiated, Office 365 is the cloud-based SaaS offered by Microsoft that consists of a comprehensive suite of productivity applications including Microsoft Word, Microsoft PowerPoint, Microsoft Excel, and Outlook for the desktop; and server-based applications such as Exchange and SharePoint .

However, many may be stuck with the dilemma of choosing between Exchange Online and Office 365. The Exchange Online vs Office 365 matchup is confusing because users can either opt-in for only Microsoft’s email solution, Exchange Online, or they can choose the complete suite of productivity applications by purchasing an Office 365 license. If your company is considering a migration to the cloud from on-premises servers running some edition of Microsoft Exchange Server (for example), this could be a genuine decision-making challenge.

Therefore, in this article, we will compare both products including Exchange Online and Office 365 to help you decide whether the former would be enough for you or if it would make more sense to choose the latter.

Is Office 365 Different from Exchange Online?

Many assume that Microsoft Exchange Online and Office 365 are two different products altogether. However, this is not categorically true. Exchange Online is simply one of the many products that are included in Office 365, which is a collection of tools rather than a single product. You can purchase either product without the other; it is possible to opt-in for Microsoft Exchange Online without the Office 365 suite, but you can also purchase the Office 365 Pro Plus edition that doesn’t include Exchange Online.

However, no matter the case, Exchange Online complements Office 365 (and hence doesn’t compete with it). For example, if you choose Exchange Online as a standalone email service now, you can always upgrade to Office 365 later.

What Is Your Business Requirement?

If you are looking only for a cloud-based email service, Exchange Online is more than enough. You can choose between two Exchange Online plans : Plan 1 & Plan 2.

Exchange Online Plan 1 offers up to 50 GB storage per user along with the web-based and app-based versions of the Outlook client and enterprise-level email security through Exchange Online Protection.

Exchange Online Plan 2 offers unlimited storage and unified messaging services, with advanced security features like Data Loss Prevention (DLP), In-Place Hold, and hosted voicemails. Generally required by large companies.

However, Office 365 can be considered if you’re looking for a comprehensive suite of collaboration and productivity tools. Depending on your requirements, you can choose between various Office 365 plans such as Office 365 Business Essentials, Office 365 Business, and Office 365 Business Premium. If you are a larger organization with more than 300 users, you may choose Office 365 Enterprise plans: Enterprise E1 , Enterprise E3 , and Enterprise E5 .

Do note that all those editions (Business and Enterprise) include Exchange Online as part of the product package except Office 365 Pro Plus.

The Size of Your Company Matters

If you are a small enterprise with no more than, say, 50 members or so, it is fine to migrate to Exchange Online only. This is because we anticipate that as you are a small company, you may not need advanced collaboration features that Office 365 offers. However, if you have a considerable number of employees and you expect your team size to grow further in the future, consider getting some edition of Office 365. With Office 365, you get not only the email solutions of Exchange Online, but you also get business communication tools such as Microsoft Teams and Skype for Business . Ultimately, as your company grows bigger, you are going to need more than just email, and that is where Office 365’s applications come in handy.

What Is the Nature of Your Business?

If your nature of business is such that it requires a lot of collaboration, consider going for Office 365. The software package comes with a host of useful applications such as Microsoft Teams , Skype for Business, SharePoint, OneDrive for Business , and more. If you have a service-based company, you can expect your users to collaborate online a lot; therefore, in such cases, Office 365 is the correct choice for your company. However, if your business is such that your users don’t need to collaborate online, Exchange Online is what you must go for as it only offers email functionality.

So, as you see, it all boils down to your company’s requirements. If you are still confused, you can begin by going for Microsoft Exchange Online and then later migrate to Office 365 full suite as your company’s needs grow.

Upgrade from Exchange Online Plan1 to Office 365 Business Essentials

I currently have an Exchange Online Plan 1 with 15 users. I want to change to the 365 Business Essential plan. I asked this question on a telephone support call a few months ago and was told it would be a seamless transition. But after searching online for a clarification on is, and it appears I have to export user data and re-import it as described in this thread https://community.office365.com/en-us/f/685/t/271446

Most of the threads I've found are over a year old. I just want to be sure of the process before I proceed. What steps to I need to take if I choose to change my plan from the portal?

You don’t need to export user data and re-import it now. Although it’s not feasible to change from Exchange Online Plan 1 to Business Essential directly using the Switch Plan Wizard, you can do it with some manual steps. During the process, the transition of the user data will be seamless and users normally won’t notice the change. Here are the detailed steps: 1. Go to the PURCHASE SERVICES page from the left panel in Office 365 admin center. 2. Find the Business Essential plan and purchase the licenses. 3. Go to USERS > Active Users in the portal and edit the users’ licenses. 4. Contact support again to cancel the Exchange Online Plan 1 subscription.

Thanks for the reply. Just curious, when I go to Billing then Subscriptions, It shows my current plan with the option to Change Plans. I am then presented with all of the options to upgrade to. According to the help (link below) "Learn more about switching plans", it states that I should be able to use the Switch Plans wizard since I am presented with the "Switch Plans" button. Is this not correct? I'd just want to make the transition as seamless as possible.

According to the Table 1 you can only switch from Exchange Online (Plan 1) to Office 365 Enterprise E1/E3/E4 using the switch plans wizard.

But in your case switching from Exchange Online (Plan 1) to Office 365 Business Essentials you can able to switch plans manually.

Switching plans manually means that you’re completing the following separate procedures instead of using the switch plans wizard. The procedures are:

1. Buy licenses for the subscription you’re switching users to. 2. Verify the subscription is ready to switch users to. 3. Reassign user licenses 4. Remove unneeded licenses from the subscription you’re switching from. 5. Cancel the original subscription (if switching all users).

Across the UK, anger is brewing amongst some farmers.

On the Sky News Daily , Niall Paterson is joined by West of England and Wales correspondent Dan Whitehead to find out why farmers are so concerned, and speaks to Liz Webster, the founder of Save British Farming, about why she believes eating British isn't just good for our farmers - it's good for the nation's health, too.   

In response to our report, Farming Minister Mark Spencer, said: "We firmly back our farmers. British farming is at the heart of British trade, and we put agriculture at the forefront of any deals we negotiate, prioritising new export opportunities, protecting UK food standards and removing market access barriers. 

"We've maintained the £2.4bn annual farming budget and recently set out the biggest ever package of grants which supports farmers to produce food profitably and sustainably."

The Welsh government said: "A successful future for Welsh farming should combine the best of our traditional farming alongside cutting-edge innovation and diversification. 

"It will produce the very best of Welsh food to the highest standards, while safeguarding our precious environment and addressing the urgent call of the climate and nature emergencies."

Speaking to Sky political editor  Beth Rigby , Sir Keir Starmer has defended his decision to allow Tory MP Natalie Elphicke into Labour.

Ms Elphicke was on the right of the Conservative spectrum, and previously defended her sex-offender ex-husband, comments which she apologised for this week following her defection.

Addressing Tory voters, Sir Keir says he wants Labour to be a "place where they who have ambitions about their families, their communities, their country, can join and be part of what we are trying to build for their country".

Asked by Beth if he was ruthless, Sir Keir said: "Yes, I'm ruthless in trying to ensure we have a Labour government that can change this country for the better.

"Not ruthless for my own ambition, not ruthlessness particularly for the Labour Party - I'm ruthless for the country. 

"The only way we'll bring about a change in this country is if we're ruthless about winning that general election and putting in place a government of public service, that’ll be a major change.

"Politics, I believe, should be about public service, that's what I've been about all my life."

She reminded him that he previously ruled out doing a deal with the SNP - but has not done so for the Liberal Democrats.

Sir Keir again ruled out a coalition with the SNP - adding that he is aiming for a "majority Labour government".

He says Labour needs "to keep working hard, keep disciplined and getting our message across, which is something fundamental to me".

Pushed on his lack of ruling out a possible agreement with the Lib Dems, Sir Keir says: "I'm going for a majority.

"That's the answer I gave you a year ago. It's the same answer I'm giving you now."

Sir Keir Starmer was earlier today pushed on whether Rwanda deportation flights will take off if he was prime minister - although it was not clear if he would cancel flights which had already been organised.

Sky News understood that previously booked deportation flights to Rwanda would still go ahead if Sir Keir entered Number 10. 

But the Labour leader has now gone further.

Speaking to political editor Beth Rigby , Sir Keir has ruled out any flights taking off.

"There will be no flights scheduled or taking off after general election if Labour wins that general election," he says.

He says: "Every flight that takes off carries with it a cheque to the Rwanda government. 

"So I want to scrap the scheme - so that means the flights won't be going."

Sir Keir says he would rather spend the money on his own measures to counter small boats.

"No flights, no Rwanda scheme. It's a gimmick," he says.

Scotland's new first minister has told Sky News that the controversial gender recognition reforms "cannot be implemented."

John Swinney,  who became first minister this week , has faced questions over his stance on gender recognition after MSPs voted in 2022 to pass a bill to make it simpler for people to change their gender without having to obtain a medical diagnosis.

The UK government blocked the bill from being made into law and the Supreme Court rejected a request by the Scottish government for a judicial review.

Asked if he would be fighting to push the bill through, Mr Swinney told Sky News: "The reality of the situation we face is that the Supreme Court has said that we can't legislate in that area. We can't take forward that legislation."

The UK economy is no longer in recession, according to official figures.

Gross domestic product (GDP) grew by a better-than-expected 0.6% between January and March, the Office for National Statistics (ONS) said.

Economists had predicted the figure would be 0.4%.

Prime Minister Rishi Sunak said it showed the economy had "turned a corner".

He told Sky News's Ed Conway: "I am pleased that while there's more work to do, today's figures show that the economy now has real momentum, and I'm confident that with time, people will start to feel the benefits of that.

"We've had multiple months now where wages are rising, energy bills have fallen, mortgage rates are down and taxes are being cut... I'm pleased with the progress that we're making."

Mr Sunak added: "I am confident the economy is getting healthier every week."

Rishi Sunak has criticised Sir Keir Starmer's position on Rwanda as "rank hypocrisy".

Speaking to broadcasters, the prime minister says the Labour leader has announced things the government is "already doing".

He gives the example of "punching through the backlog, having more law enforcement officers do more, that's all happening already".

"We've announced all of that more than a year ago," the prime minister adds.

"The question for Keir Starmer if he cares so much about that, why did he vote against the new laws that we passed to give our law enforcement officers new powers? 

"They've now used those to arrest almost 8,000 people connected with illegal migration, sentenced them to hundreds of years in prison.

"And if it was up to him, all those people would be out on our streets, so I think it's rank hypocrisy property of his position."

1 User mailboxes must reside on Exchange 2013 or later. 2 An Archive Mailbox can be used only to archive mail for a single user or entity for which a license has been applied. Using an Archive Mailbox as a means to store mail from multiple users or entities is prohibited. For example, IT administrators can’t create shared mailboxes and have users copy (through the Cc or Bcc field, or through a transport rule) a shared mailbox for the explicit purpose of archiving. 3 For a list of supported Microsoft Outlook versions, see Client features in Exchange Online Archiving . 4 Azure Information Protection isn't included, but can be purchased as a separate add-on and will enable the supported Information Rights Management (IRM) features. Requirements

To use Exchange Online Archiving for Exchange Server, user mailboxes must reside on Exchange Server 2019, Exchange Server 2016, or Exchange Server 2013.

User subscriptions

Each user who accesses the Exchange Online Archiving service must have an Exchange Online Archiving subscription. Each email archive subscription can be used only for storage of one user's messaging data.

Federated identity and single sign-on

Administrators can use a single sign-on approach to authentication with on-premises Active Directory. To achieve this, administrators can configure on-premises Active Directory Federation Services—a Microsoft Windows Server® 2008 service—to federate with the Microsoft Federation Gateway. After Active Directory Federation Services is configured, all users whose identities are based on the federated domain can use their existing corporate sign in to automatically authenticate to Office 365.

Archive storage quota

Administrators can't adjust the storage quota. The archiving feature (called auto-expanding archiving ) provides more storage space in archive mailboxes, up to a maximum of 1.5 TB. Each Exchange Online Archiving subscriber initially receives 100 GB of storage in the archive mailbox. When auto-expanding archiving is turned on, extra storage space is automatically added when the 100-GB storage capacity is reached. In Exchange hybrid deployments, auto-expanding archiving is only supported for cloud-based archive mailboxes when the on-premises user's mailbox resides on Exchange Server 2019, Exchange Server 2016, or Exchange Server 2013 SP1 and later.

Auto-expanding archive is only supported for mailboxes used for individual users or shared mailboxes with a growth rate that doesn't exceed 1 GB per day . Using journaling, transport rules, or auto-forwarding rules to copy messages to Exchange Online Archiving for the purposes of archiving isn't permitted. A user's archive mailbox is intended for just that user. Microsoft reserves the right to deny archiving in instances where a user's archive mailbox is used to store archive data for other users or in other cases of inappropriate use.

Auto-expanding archiving

The archiving feature called auto-expanding archiving provides extra storage space in archive mailboxes. Each Exchange Online Archiving subscriber initially receives 100 GB of storage in the archive mailbox. When auto-expanding archiving is turned on, additional storage space is automatically added when the 100-GB storage capacity is reached. This incremental addition of storage space continues until the archive storage reaches 1.5 TB. In Exchange hybrid deployments, auto-expanding archiving is only supported for cloud-based archive mailboxes when the on-premises user's mailbox resides on Exchange Server 2019, Exchange Server 2016, or Exchange Server 2013 (SP1 or later). Administrators can't adjust the storage quota.
