What are writing skills?

Writing is a technical skill that you use to communicate effectively through the written word. Though these may vary depending on what you’re writing, there are several that transcend categories. Writing skills can more specifically include:

Sentence construction

Research and accuracy

Persuasiveness

Each of these components can influence the quality of writing.

Why are writing skills important?

Being able to write well is a form of effective communication , which many employers see as a crucial job skill . In fact, strong communication—spanning written, verbal, non-verbal, and visual—is among the nine common employability skills that employers seek in job candidates.

Regardless of your role, with good writing skills, you can clearly transcribe your thoughts into meaningful messages, enabling you to share your ideas, build relationships, and strengthen your professional image.

How to improve your writing skills

Writing, like any other skill, is something we can get better at with time and practice. Here are some strategies for developing your own written communication:

1. Review grammar and spelling basics.

Grammar and spelling form the foundation of good writing. Writing with proper grammar and spelling communicates your professionality and attention to detail to your reader. It also makes your writing easier to understand.  

Plus, knowing when and how to use less-common punctuation, like colons, semicolons, and em-dashes, can unlock new ways to structure sentences and elevate your writing. 

If you’re looking to strengthen your grammar and spelling, start by consulting a writing manual. The Elements of Style by William Stunk and E.B. White has long been considered a staple for writers. You can find similar resources at your local library, bookstore, or online.

2. Read what you want to write.

Knowing what a finished piece of writing can look like can guide your own. If you’re trying to write a humorous short story, read humorous short stories. Writing a book review? Find a few and take note of how they’re structured. Pay attention to what makes them good and what you want to emulate (without plagiarizing, of course). If you’re working on a school assignment, you can ask your instructor for examples of successful pieces from past students.

Make reading a part of your everyday life to improve your writing. Try reading the news in the morning or picking up a book before you head to bed. If you haven’t been a big reader in the past, start with topics you’re interested in, or ask friends and family for recommendations. You’ll gradually begin to understand what subjects, genres, and authors you enjoy.

3. Proofread.

While it’s tempting to submit work as soon as you’re done with it, build in some time to revisit what you’ve written to catch errors big and small. Here are a few proofreading tips to keep in mind:

Set your work aside before you edit. Try to step away from your writing for a day or more so you can come back to it with fresh, more objective eyes. Crunched for time? Even allotting 20 minutes between writing and proofreading can allow you to approach your work with renewed energy.

Start with easy fixes, then progress to bigger changes. Starting with easier changes can get you in the rhythm for proofreading, allow you to read through your work once more, and clear distractions so you can focus on bigger edits. Read through your work to catch misspellings, inconsistencies, and grammar errors. Then address the larger problems with structure or awkward transitions. 

If you could say something in fewer words, do so. Being unnecessarily wordy can cloud your message and confuse the reader. Pare down phrases that are redundant, repetitive, or obvious.

Read out loud. Reading out loud can help you find awkward phrases and areas where your writing doesn’t flow well. 

Should you use computer spelling and grammar tools?

Many computer-based tools—like spell check on your word processor, or Grammarly — can help you find and fix simple spelling and grammar errors. These tools are not perfect but can help even the most seasoned of writers avoid mistakes. Take note of any frequently highlighted words or phrases so that you can avoid the same mistakes in the future.

4. Get feedback.

Whether you’re writing emails or essays, asking for feedback is a great way to see how somebody besides yourself will interpret your text. Have an idea of what you’d like your proofreader to focus on—the structure, conclusion, the persuasiveness of an argument, or otherwise. 

Approach a trusted friend, family member, coworker, or instructor. If you’re a student, your school might also have a writing resource center you can reach out to. 

You might also consider forming a writing group or joining a writing class. Find writing courses online, at your local community college, or at independent writing workshops in your city.

5. Think about structure.

Grammar and spelling keep your writing consistent and legible, but structure ensures the big ideas get across to the reader.

In many cases, forming an outline will help solidify structure. An outline can clarify what you’re hoping to convey in each section, enable you to visualize the flow of your piece, and surface parts that require more research or thought. 

Structure might look different depending on what you’re writing. An essay typically has an introduction, body paragraphs, and a conclusion. A fiction piece might follow the six-stage plot structure: exposition, rising action, climax, falling action, resolution, and denouement. Choose what’s best for your purposes.

Like many skills, one of the best ways to improve your writing is to practice. Here are a few ways you can get started:

Start a journal or a blog.

Join a class or writing workshop.

Practice free writing.

Write letters to friends or family.

Put together an opinion piece for your local newspaper or publication you like.

7. Know some common fixes.

Even if a text is grammatically correct, you may be able to make it more dynamic and interesting with some polish. Here are some common ways you can sharpen your writing:

Choose strong verbs (for example, “sprinted,” “dashed,” or “bolted” instead of “ran”).

Avoid passive voice.

Vary sentence length.

Cut unnecessary words.

Replace cliches with original phrasing.

Showing your writing skills in a job search

Your writing skills will shine throughout the job search process , whether or not you intend to show them off. This is because job applications are largely written materials, including your cover letter , resume , and email communications . Use these opportunities to demonstrate your writing skills to prospective employers by submitting clear, accurate, and engaging materials.

Additionally, if you have specialized expertise, such as experience with legal writing, medical writing, technical writing, or scientific writing, you can note that in a resume skills section and further detail that experience within your cover letter or during your interviews .

The 4 Steps in the Writing Process

~ There Is No Magic Pencil ~

When I was in school, the boy who sat next to me said he believed my pencil was magic. From the moment my pencil hit the paper, the words would flow. Meanwhile, he would stare at the page for what seemed like eternity before finally writing his own piece.

He may have thought my pencil was magic, but in retrospect, he was the more advanced writer. The time he spent staring while I hastily scrawled, erased, and rewrote, was time he spent reflecting on the story he wanted to tell. He didn’t make it up as he went along — he carefully crafted it in his mind before ever committing a single word to print. The result? His erasers remained intact and my work rambled, often off topic.

WHAT IS THE WRITING PROCESS?

A great essay, blog post, novel, or even a tweet doesn’t just happen . There is no magic pencil. Like any process, writing has multiple steps: Prewriting, Drafting, Revising, and Editing. It takes practice, and every time you do it, it starts with an idea.

Prewriting, as the name implies, happens BEFORE you write and it’s the step I skipped in school. Prewriting is when brainstorming and outlining happens.

All writers need to brainstorm, talk to others, and take inspiration from the world around them. Whether it be music, a political statement, a photograph, a childhood story or memory, even a blade of grass, the world around us can provide the spark needed to write.  Brainstorming allows writers to think and observe before putting pen to page.

Once writers find that inspiration, the next step is to create an outline. Outlines are important for reasons beyond the fact that every English teacher says so — outlines act as a roadmap for what you are about to write.

Drafting is the “first pass” or “brain dump” of everything developed during prewriting. Don’t worry about spelling and grammar while in this drafting stage, but instead focus on turning ideas into sentences and paragraphs. The outline created in the prewriting stage, if followed, can help create a clear path for the writing.  This stage might take only a few minutes or several hours, but it’s important to get as much written as possible in this initial draft.

The revision stage is often incorrectly used synonymously with editing. Large changes happen in this stage. Entire sections may be added or deleted, the focus of the piece may change, and supporting evidence may be elaborated on or even added or removed completely. In the simplest of implementations, it’s like when you reread a text message right before you send it, and then quickly delete half of it.

Although editing is involved, revising includes much more than just fixing the spelling mistakes. This stage is often a good opportunity for writers to get a second opinion on their work.  Having someone else look at your work allows you to see if you’re taken a reader’s needs into consideration with your piece. Does it make sense to him? Does it answer her questions? Perhaps he has a suggestion for a more compelling introduction.

Once all the heavy lifting is done in the revision stage, and the piece has the foundation to make it structurally sound, it’s time to edit. Word by word, sentence by sentence, spelling and grammar should be reviewed. Spellcheck doesn’t catch everything (their/there/they’re) so it’s important to know your own weaknesses with editing. It takes practice to become a good editor, and it’s often very difficult to edit your own work. It’s ok to seek out a grammar guardian to assist you in the editing process. Some writers even keep a list of their most troublesome words or phrases.

FOUR STEPS AND DONE? EASY.

It’s not that simple.  Most people don’t dart through all four steps once quickly and then they are done. For large, academic pieces, novels, and reports, a writer may cycle through all the steps more than once. If more people review the work, more ideas are shared and the piece may undergo more than one major revision.

First time writers, or those less comfortable with it, may require additional time to complete their work. But one thing is certain, the more time that is spent up front, in the prewriting and drafting stages, the easier revisions and editing become.

I’ve retired my not-so-magical pencil, preferring digital these days, and I still love to write. But looking back at my second-grade short story, I’m glad I’ve refined my process…and I’m glad I have a team of awesome writers to redline my work and brainstorm ideas.

Working for the Weekend: Downtime and Performance

Use weekends to consciously promote relaxation, rejuvenation, and personal fulfillment, and encourage your team to do the same.

Gallup’s  2023 State of the Global Workforce report reveals that 44% of employees worldwide experience work-related stress, a record high for a statistic that has been rising steadily for over a decade. For American workers, that figure is 83% . The report states that while there are a number of factors affecting stress, managers in particular play a significant role in on-the-job stress levels (the Society for Human Resource Management reports that the top employee workplace stressors all involve conditions that managers can address).

The good news for the companies that acknowledge the problem is that working to prevent work-related risks to mental health, and modest spending on the treatment of common mental health issues (such as anxiety and depression), come with an outsized return: for every dollar spent, there is a return of  $4 in improved health and productivity . Yet there are a number of additional actions managers can take to help employees alleviate workplace stress that cost very little or even nothing, including encouraging the adoption of a “vacation mindset” during weekends. Instead of seeing the weekend as an opportunity to play catchup on work and housework, this mindset means you use the time to disengage from everything that feels like “work” and more fully engage in all of the other activities people enjoy — activities that promote relaxation, rejuvenation, personal fulfillment, and interpersonal connection.

Research shows that individuals who adopt this mindset — treating the weekend like a vacation — enjoy this time off more and are better equipped to recharge their batteries. They report greater happiness and overall well-being and feel refreshed and more highly motivated when they return to work on Monday.

Action Steps

By embracing the concept of treating the weekend like a vacation, leaders can empower their teams to cultivate a healthier and more fulfilling approach to work-life integration. Implementing the strategies outlined in the following Action Steps can also help leaders create an organizational culture that values and prioritizes employee well-being, ultimately leading to improved morale, productivity, and retention.

1. Encourage boundary setting.

Encourage team members to establish clear boundaries between work and personal time, particularly during weekends. Emphasize the importance of disconnecting from work-related tasks and technology to fully immerse in leisure activities and quality time with loved ones.

2. Lead by example.

Model healthy work-life integration by prioritizing your own well-being and demonstrating a balanced approach to managing work and personal time. Share your experiences of implementing weekend vacation mindset practices and encourage open dialogue about the benefits with your team.

3. Promote flexibility.

Foster a culture of flexibility within the organization that allows employees to customize their work schedules to accommodate personal priorities and leisure activities during weekends. Empower individuals to design their own weekends to align with their unique preferences and interests.

4. Recognize and reward rest.

Acknowledge and celebrate individuals who prioritize self-care and relaxation during weekends. Incorporate recognition programs or incentives that reward employees for taking proactive steps to maintain a healthy work-life balance and promote well-being.

5. Provide resources and support.

Offer resources, such as workshops, seminars, or wellness programs, that equip employees with practical strategies for integrating leisure and relaxation into their weekends effectively. Provide access to tools and support networks that facilitate stress management and promote holistic well-being.

How Leaders Use It

Jack Jostes, CEO of a digital marketing agency, says he unplugs by turning off email, work notifications, and project management and social media apps. It allows him to recharge his batteries and gain new perspectives, insights, and ideas not only about work-life balance but even about his business (which he doesn’t start applying until he is back at work).

Kelly Ann Collins, founder of digital marketing agency Vult Labs, also protects her weekend downtime through a practice of conscious unplugging. She maintains separate phones for work and personal use with the work phone containing only work contacts and relaxation and weather apps. The separation allows her to disconnect from work distractions completely and to engage fully and guilt-free in activities of her choice that recharge, fulfill, and rejuvenate.
